Advisory Committee O Core 4 members O Chair O 3 members (including the chair) must be full members of Graduate Faculty O 1 member from outside of the College O Meet at least once each semester

STEP 3 Develop a course of study. DEADLINE: end of the 4 th semester
Course of Study O The purpose of developing a course of study is to plan your remaining coursework and track your progress O Begin early!! O Advisers should reference the Credit Hour Guidelines

STEP 4 Schedule the qualifying examination. DEADLINE: at least 2 weeks prior to the oral examination date
Exam Eligibility O Completed all coursework (or be enrolled in their last semester of coursework) O No unresolved “I” grades on transcript O GPA must be 3.00 or higher O Students can enroll in CJT 767 Dissertation Residency Credit during the semester of taking the qualifying examination, but they must take the exam by the last day of classes that semester
Scheduling the Examination O The written portion is scheduled unofficially through our office by contacting the Associate Dean’s Office O The oral portion is scheduled officially through the Graduate School when the paperwork is submitted Contact the Associate Dean’s Office at least 4 weeks prior to the date you wish to take your ORAL examination
Administering the Exam O Students are given 5 days to complete 4 questions on each of the sections of coursework: 1. Theory 2. Methods 3. Specialization 4. Cognate O Typically students write Monday, Tuesday, Thursday and Friday O Advisers are responsible for getting all 4 questions to the Associate Dean’s Office 24 hours prior to the examination
Format Options In-House FormatTake-Home Format Provided an Internet-disabled computer 4 hours to type responses for each question 1 page of notes for each question (8 ½ x 11” with 1” margins, minimum of 11 point font) Answers are typically 6-10 pages, but may not exceed 15 pages 1 question will be ed directly from the Associate Dean’s Office each day of the written examination 24 hours to type responses for each question Unlimited access to notes and readings Answers are typically 15 pages (APA formatting), but may not exceed 20 pages

*New* Exam Cards Chairs will be ed exam cards. Chairs are responsible for printing it out and obtaining signatures before giving it to the Associate Dean’s Office
STEP 5 Defend the dissertation proposal. DEADLINE: after passing the qualifying examination, prior to working on the dissertation
“Prospectus” = “Proposal” O The dissertation proposal defines the project, indicates specific methods, cites research, and demonstrates how it will advance the field O Typically it focuses on the first three chapters of the dissertation O After the proposal meeting, submit the signed Proposal Defense Form and attach a copy of the accepted, revised dissertation proposal

STEP 6 Apply for a graduate degree. DEADLINE: no later than 30 days after the beginning of the semester of intended graduation (Feb. 20)

STEP 7 Submit the Notification of Intent to Schedule a Final Doctoral Examination (NOTIF). DEADLINE: at least 8 weeks prior to expected final examination date, no later than 30 days after the start of the semester (Feb. 20)
What is the NOTIF? O Used by the Graduate School to appoint an outside examiner O After meeting with the committee, provide a date range for the dissertation defense O You do not need a solidified date and time to submit the NOTIF The Final Examination must take place no later than 8 days prior to the last day of classes of the semester in which the student plans to graduate

STEP 8 Request a final doctoral examination. DEADLINE: at least 2 weeks prior to the date of examination

STEP 9 Submit the accepted, final dissertation document. DEADLINE: within 60 days of the final examination
Submitting the Dissertation O Please check with the UK Graduate School’s website for information regarding formatting and procedures for final submissions of the document…it is very particular!! O Additionally, submit an electronic copy to the Associate Dean’s Office
Rescheduling? If you need to make changes to ANY electronically submitted form (Qualifying Exam, NOTIF, Final Exam) simply resubmit the paperwork with the corrections. It will overwrite the previous paperwork.
