© Scott/Jones Publishing, Inc. 1 Chapter 17 Using Named Cells Excel 2003, Volume 2 by Karen J. Jolly

© Scott/Jones Publishing, Inc. Outcomes Use names in formulas. Create and define names for individual cells and ranges of cells and edit the named range. Apply names when creating a worksheet. List cell and range names and their references used in a worksheet.

© Scott/Jones Publishing, Inc. Named Cells Specific cells or ranges of cells can be identified by name. The assigned name will be used in formulas. Using named cells assists in proofreading a worksheet. Existing worksheets can be converted to use names. A list of all names used in the workbook can be created.

© Scott/Jones Publishing, Inc. Use Labels to Create a Formula Formulas can be created using the row and column labels.

© Scott/Jones Publishing, Inc. Using Labels Complete formula using name of column and row labels. Total in cell F10 requires special identification --

© Scott/Jones Publishing, Inc. Is Total Column F or Row 10? When two “Total” labels are encountered Excel will ask which label to use in the formula. The Identify Label Dialog Box

© Scott/Jones Publishing, Inc. Creating Names Excel can create names from row and column labels from a suggested range. Use create names when row and column labels will be used as names.

© Scott/Jones Publishing, Inc. Create Names Select a range of cells that include the column and row labels. From the Insert menu select Create; the Create Names dialog box opens.

© Scott/Jones Publishing, Inc. Defining Names Defining a cell name replaces the cell reference with the text name. Naming an individual cell is like using an absolute reference.

© Scott/Jones Publishing, Inc. Define a Name From the Insert menu select Name; then select Define. In Define Name dialog box, define the name.

© Scott/Jones Publishing, Inc. Facts About Define Names The first character must be a letter or underscore. Spaces are NOT allowed. Names are NOT case specific; i.e. the name Product = product. Do not use a cell reference as a name. Names may be up to 253 characters.

© Scott/Jones Publishing, Inc. More Facts About Define Names Named cells function as absolute references. Excel will suggest a name for a cell; you may create your own. Names created in one worksheet apply across all the worksheets in a workbook. To avoid formulas with identical labels, create a 3-D reference by using sheet names.

© Scott/Jones Publishing, Inc. Use Defined Names Paste cell names into formulas. Start formula with =. Access the Paste Name command.

© Scott/Jones Publishing, Inc. Use Defined Names Select name of cell to use. Continue pasting names until formula is complete.

© Scott/Jones Publishing, Inc. Convert Formulas to Names Existing formulas can be converted to ones using named cells. Use Apply Names.

© Scott/Jones Publishing, Inc. Apply Names Click OK to accept names in the Apply Names dialog box.

© Scott/Jones Publishing, Inc. Paste a List In the Paste Name dialog box, select Paste List button. What happens? The list of names used and where they are used is provided.
