Formatting presents a consistent and attractive style throughout a document, allowing your readers to understand your message more easily.

Margins Margins – blank areas around the top, bottom, and sides of a page. To change the margin settings, open the File menu and choose Page Setup. Click the margins tab.

Word sets predefined, or default margin settings, which you may keep or change. To change margin settings, open the File menu and choose Page Setup, then click the Margins tab.

Aligning Text Alignment – position of text between the margins. There are four ways to align text: 1: left-aligned 2: centered right 3: Aligned 4: justified 1 2 3 4

Practice Activity (cont’d) Aligning Text Alignment refers to the position of text between the margins. You can choose any of the following text alignments Left-aligned and justified are the two most commonly used text alignments in documents. For invitations, titles, and headings, select Centered as the alignment for your text. Right alignment occurs frequently for page numbers and dates.

Changing Indents Indents – space between the text and a document’s margin. Indent text using the indent markers on the horizontal ruler.

Practice Activity Type the following into your document Changing Indents An indent is the space you insert between text and a document’s margin. You can indent text either from the left margin, from the right margin, or from both the left and right margins. You indent text by using the indent markers on the horizontal ruler. To indent text, select the text you want to indent or position the insertion point in the text you want to indent. Drag the indent markers to the desired point on the ruler.

Line Spacing Line Spacing – amount of space between lines of text. Open the Format menu and choose Paragraph. Select the Indents and Spacing tab and make changes in the Line spacing box. Click the Line Spacing button on the Formatting toolbar.

Practice Activity (cont’d) Type the following: Line spacing refers to the amount of space between lines of text. Word single-spaces text. Single-spacing has no extra spaces between each line. To make text more readable, you can add space between lines of text. Double-spaced text has a full blank line between each line of text.

Practice Activity (cont’d) To change line spacing, open the Format menu and choose Paragraph. Select the Indents and Spacing tab. In the Spacing section, select options from the Line spacing box. You can also change line spacing by cl8icking the Line Spacing button on the Formatting toolbar.

Vertical Alignment Vertical alignment – positioning of text between the top and bottom margins of a page. Open the File menu, choose Page Setup, and select the Layout tab. Click the down arrow on the Vertical Alignment box and choose Top, Center, Justified, or Bottom.

Practice Activity (cont’d) Vertical alignment refers to positioning text between the top and bottom margins of a document. You can align text with the top of the page, center the text, distribute the text equally between the top and bottom margins, or align the text with the bottom of the page. To vertically align text, open the file menu and choose Page Setup. In the Page Setup dialog box, click the Layout tab, click the arrow next to the Vertical alignment box and choose Top, Center, Justified or Bottom.

Setting Tab Stops Tabs – mark the place where the insertion point will stop when the Tab key is pressed. Text alignment can be set with decimal, left, right, or center tab stops.

Outlined Numbered List Outlined numbered list – a list with two or more levels of bullets or numbering. Open the Format menu, choose Bullets and Numbering, and select the Outlined Numbered tab. As you key, click the Increase Indent button and Decrease Indent button to build a multilevel list.

Organizing a Document in Outline View In Outline view, Word formats headings with built-in heading styles. Switch to Outline view by clicking the Outline View button. The Outlining toolbar appears, and an outline symbol appears.
