View Building Performance Analysis The Building Performance report documents the Rentable/Usable ratio (which shows how well the building is designed) and the Usable/Rentable ratio (or efficiency rate) which shows how well you are using the rentable space This report is helpful in analyzing space to lease and buildings to purchase, as well as indicate the efficient use of space you already occupy. Note: To ensure that the report uses your latest data, run the Update Area Totals task prior to running this report. If you do not first run this action, the report will present data from the last time that the task was run. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT –Reports role or process and click on the View Building Performance Analysis task. Select a building from the Select Building panel by clicking on it. 2

View Building Performance Analysis The building performance data for the entire building, as well as the performance data for each floor is displayed to the right. The building data is summed from the floor data. Examine the Rentable/Usable and Usable/Rentable ratios for indication of the performance of each floor. The BOMA 2010 Office Space Standard document redefines the calculations for certain key fields found in the Building Performance report, such as R/U ratio and Rentable Area, and introduces new calculations such as R/O Ratio and Occupant plus Allocated Area. The BOMA 2010 standard provides two methods -- Method A and Method B -- for calculating these values. 3

View Remaining Area View Remaining Area 5 2 3 4 The View Remaining Area task is used to determine the amount of area that was not captured in the space inventory and is being charged to cost centers. On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the View Rooms by Building and Floor task. Select a building code from the Select Buildings panel by clicking on it. The floors for the selected building are displayed on the Floors panel with summary information. Select a floor code from the Floors panel by clicking on it. The rooms for the selected floor are displayed on the Rooms panel. To generate the view as a paginated report that is output to a Word document file, click on the DOCX button. 5 2 3 4

Show Cost Center Stack Plan The Show Cost Center Stack Plan is used to quickly visually see how a floor's area is divided among cost centers by displaying a stack plan. On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the Show Cost Center Stack Plan task. On the Filter console, enter a building code. Click on the Show button. The report presents a stack plan for the floor -- a graphical representation of space usage by cost center. Click on any cost center to get the details of the rooms assigned to that cost center. Hover over the cost center with your mouse and additional details are displayed. 3 2 4

Show Cost Center Analysis Chart The Show Cost Center Analysis Chart is used to quickly see the percentage of space each cost center occupies on a floor by viewing a pie chart. On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the Show Cost Center Stack Plan task. Select a Building and Floor from the Select Floor panel by clicking on it. A pie chart is presented, showing how the area on that floor is divided among cost centers. The cost center summary beneath the pie shows the count of records contributing to each cost center’s total. Click on any cost center to get the details of the rooms assigned to that cost center. Hover over the cost center with your mouse and additional details are displayed. 3 2 4

View Non-Assignable Summary by Building The View Non-Assignable Summary by Type task is used to review a summary of service areas within your buildings. The report displays a list of the Non-Assignable types in the building (such as lobby, rest rooms, and equipment rooms) and the total and average area for each type, as well as for the overall building. Note: To ensure that the reports use your latest data, be sure to run the Update Area Totals action prior to running these reports. If you do not first run this action, the reports will present data from the last time that the action was run. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and click on the View Non-Assignable Summary by Building task. Select a building from the Select Building panel by clicking on it. To see the actual details for each Non-Assignable type, click on a blue cell. 2 3

View Non-Assignable Summary by Building The report presents a pop-up displaying the records of this type. Note: The "Pct. of Total Room Area" value for the building is the percentage of the building's area that is dedicated to service area. 4

View Non-Assignable Summary by Type The View Non-Assignable Summary by Type task is used to review a summary of service areas. The report presents a list of the Non-Assignable types (such as lobby, rest rooms, and equipment rooms) and the total and average area for each type, as well as for the overall project. Note: To ensure that the reports use your latest data, be sure to run the Update Area Totals action prior to running these reports. If you do not first run this action, the reports will present data from the last time that the action was run. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and click on the View Non-Assignable Summary by Type task. View Rooms by Building and Floor The View Rooms by Building and Floor task presents the Buildings, Floors, and Rooms data. The Buildings and Floors tables each present summary information from the composing rooms: the total room area, total cost center area (rooms assigned to cost centers), and common area (rooms specified as common area). For the details on common vs. cost center area, review the individual records in the Rooms pane. Rooms that are common areas should not have a college and cost center assignment and, for chargeback purposes, should have a value other than NONE for their Prorate field. On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the View Rooms by Building and Floor task. Select a building code from the Select Buildings panel by clicking on it. 2

View Rooms by Building and Floor The floors for the selected building are displayed on the Floors panel with summary information. Select a floor code from the Floors panel by clicking on it. The rooms for the selected floor are displayed on the Rooms panel. To generate the view as a paginated report that is output to a Word document file, click on the Paginated Report button. 5 3 4

View Rooms by College and Responsible Cost Center The View Rooms by College and Responsible Cost Center task presents the College, Responsible Cost Center and Rooms data along with a total of the occupiable and non-occupiable room area for the selected responsible cost center or college. Managers can use this data for an understanding of the space assigned to and used by their responsible cost centers and colleges. This report also sums the employees assigned to each room allocation to responsible cost center and college and calculates the average area for each employee in the responsible cost center and college. On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the View Rooms by College and Responsible Cost Center task. Select a college code from the Select College panel by clicking on it. 2

View Rooms by College and Responsible Cost Center The cost centers for the selected college are displayed on the Responsible Cost Centers panel with summary information. Select a cost center code from the Responsible Cost Centers panel by clicking on it. The rooms for the selected cost center are displayed on the Rooms panel. To generate the view as a paginated report that is output to a Word document file, click on the Paginated Report button. 5 3 4

View Rooms by Floor and Responsible Cost Center The View Rooms by Floor and Responsible Cost Center task presents the Floors, Responsible Cost Centers, and Rooms data. The room data is summed to responsible cost center , which in turn is summed to the floors on which the cost centers are located. Use this report for an understanding of each responsible cost center rooms on each floor. On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the View Rooms by Floor and Responsible Cost Center task. Select a Building and Floor code from the Select Floor panel by clicking on it. 2

View Rooms by Floor and Responsible Cost Center The colleges and responsible cost centers for the selected building and floor are displayed on the Responsible Cost Centers panel with summary information. Select a college and responsible cost center code from the Responsible Cost Centers panel by clicking on it. The rooms for the selected college and responsible cost center are displayed on the Rooms panel. To generate the view as a paginated report that is output to a Word document file, click on the Paginated Report button. 5 3 4

View Rooms by Category and Area Type The View Rooms by Category and Type task presents a report that can be used for an understanding of how rooms are used at your facility. For example, how many reception rooms, storage rooms, or lounges do you have and what are the total areas of these classifications? On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the View Rooms by Category and Type task. Select a room category from the Select Room Category panel by clicking on it. 2

View Rooms by Category and Area Type The room types for the selected category are displayed on the Types panel with summary information. Select a type from the Types panel by clicking on it. The rooms for the selected type are displayed on the Rooms panel. 3 4

View Room Categories and Area Types by Building The View Rooms by Categories and Area Types by Building task presents a report that can be used for an understanding of how rooms are used throughout your buildings. The report also provides the usable area and total room area for each building and floor. On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the View Rooms by Categories and Area Types by Building task. View Room Categories and Types by College The View Room Categories and Types by College task presents a report that can be used for an understanding of how rooms are used throughout the colleges by room category and type. The report also provides cost center area and the percentage of the cost center area occupied by rooms of each category or type. On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the View Rooms Categories and Types by College task. Select a college from the Select College panel by clicking on it. 2

View Room Categories and Types by Responsible Cost Center The View Room Categories and Types by Responsible Cost Center task presents a report that can be used for an understanding of how rooms are used throughout the cost centers by room category and type. The report also provides cost center area and the percentage of the cost center area occupied by rooms of each category or type. On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the View Rooms Categories and Types by Responsible Cost Center task. Select a cost center from the Select Responsible Cost Center panel by clicking on it. 2

View Room Categories and Types by Responsible Cost Center The room categories for the selected cost center are displayed on the Room Categories panel with summary information. Select a room category from the Room Categories panel by clicking on it. The room types for the selected room category are displayed on the Room Types panel. 3 4

View Employees by All Employees The View Employees by All Employees task presents basic employee information. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and then click on the View Employees by All Employees task. If employee photos are loaded for each employee, you may click on the Employee Photo button to see a picture of the employee. To generate the view as a paginated report that is output to a Word document file, click on the Paginated Report button. 3 2

View Employees by Location The View Employees by Location task provides you with an understanding of the employees that occupy each building, floor, and room. The building and floor panes provide information on the total number of employees in the area and the average area per employee. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and then click on the View Employees by Location task. Select a building code from the Select Buildings panel by clicking on it. The floors for the selected building are displayed on the Floors panel with summary information. Select a floor code from the Floors panel by clicking on it. The rooms for the selected floor are displayed on the Rooms panel. Select a room code from the Rooms panel by clicking on it. 2 3 4

View Employees by Location The employees for the selected room are displayed on the Employees panel. To generate the view as a paginated report that is output to a Word document file, click on the Paginated Report button. 6 5

View Employees by College and Responsible Cost Center The View Employees by Responsible Cost Center and College task presents summary employee data for each college and responsible cost center including employee average area, the average cost per employee, and the overall cost of employee space for the responsible cost center. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and then click on the View Employees by College and Responsible Cost Center task. Select a college code from the Select Colleges panel by clicking on it. The responsible cost centers for the selected college are displayed on the Responsible Cost Centers panel with summary information. Select a responsible cost center code from the Responsible Cost Centers panel by clicking on it. 2 3

View Employees by College and Responsible Cost Center The employees for the selected responsible cost center are displayed on the Employees panel. To generate the view as a paginated report that is output to a Word document file, click on the Paginated Report button. 5 4

View Employees by Standard The View Employees by Standard task allows you to compare your employee inventory against your defined employee standards. For each standard, compare the Entitled Area to the Average Employee Area. Are your employees' space assignments in line with the defined entitled area for their standard? You can also examine the data of the individual employees of each standard. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and then click on the View Employees by Standard task. Select an employee standard from the Select Employee Standards panel by clicking on it. The employees for the selected room standard are displayed on the Employees panel. 2 3

View Employee Average Area by Category and Type The View Employee Average by Category and Type task is used to check the room types and categories used by personnel and the average area per employee for each category and type. Since room categories classify vertical penetration and service area space, you can verify that no employees are assigned to the unoccupiable areas. You can also quickly see the types of rooms occupied by your employees. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and then click on the View Employee Average by Category and Type task. Select a room category from the Employee Average Area of Room Categories panel by clicking on it. The employee data for the selected room category is displayed on the Employee Average Area by Room Types of Category panel. 2 3

View Responsible Cost Centers by All Cost Centers Managers will often need to know how much space each responsible cost center is using. By reviewing this report, you can quickly gather an understanding of the space allocated to each responsible cost center . The View Responsible Cost Centers by All Cost Centers task presents a report that lists the responsible cost centers to which rooms have been assigned and includes a count of the rooms and total area for each responsible cost center . On the Process Navigator, click on the Space Inventory & Performance activity, and click on the UT-Reports role or process and then click on the View Responsible Cost Centers by All Cost Centers task. The Responsible Cost Center Area Summary data is displayed to the right of the form. Select a responsible cost center from the Responsible Cost Centers Area Summary panel by clicking on it. 2 3

View Responsible Cost Centers by Responsible Cost Centers per Floor A new form is displayed with a breakdown of room area according to floor. Click on the Close button to return back to the View Responsible Cost Centers by All Responsible Cost Centers per floor view. 5 6

View Employee Cost Center Analysis by All Cost Centers The View Employee Cost Center Analysis by All Cost Centers task lists each cost center and its total area, number of employees, and average are per employee. Does a particular cost center have more average area per employee than the other cost centers? What are the employee headcounts for each cost center? On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and then click on the View Employee Cost Center Analysis by All Cost Centers task. The cost center analysis data for all cost centers is displayed on the Responsible Cost Center Analysis Summary panel. To generate the view as a paginated report that is output to a Word document file, click on the Paginated Report button. 3 2

View Employee Cost Center Analysis by Building The View Employee Cost Center Analysis by Building task is used for an understanding of space allocation to cost centers at the building level and allows you to see the employee headcount per building and the total occupied area per building. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and then click on the View Employee Cost Center Analysis by Building task. Select a building code from the Select Buildings panel by clicking on it. The cost center analysis data for the selected building is displayed under the Cost Center Analysis by Building panel. 2 3

View Employee Cost Center Analysis by Floor The View Employee Cost Center Analysis by Floor task is used for an understanding of space allocation to cost centers at the building and floor level and allows you to see the employee headcount per building and floor and the total occupied area per building. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and then click on the View Employee Cost Center Analysis by Floor task. Select a building and floor code from the Select Floor panel by clicking on it. The Cost Center analysis data for the selected building and floor is displayed under the Cost Center Analysis by Floor Code panel. View Employee Cost Center Analysis by Location The View Employee Cost Center Analysis by Location task is used to employee Cost Center information according to floor. For example, you can see if a cost center is spread across multiple floors and the average area per employee on these two floors. On the Process Navigator, click on the Space Inventory & Performance activity, click on the UT-Reports role or process and then click on the View Employee Cost Center Analysis by Location task. Select a college and cost center code from the Select Cost Center panel by clicking on it. The employee analysis data for the selected college and cost center is displayed under the Employee Analysis by Cost Center Code panel.
