2 1 CIO Portfolio CFO Portfolio CTO Portfolio Portfolios Module: Portfolio Composition  The eCPIC Portfolios module allows users to group investments into one or more portfolio categories. Portfolios allow a user to perform cross-cutting, aggregate reporting on multiple investments. 3 2  Note: Only investment revisions aligning to the portfolio template year can be added to a portfolio.  A portfolio can be comprised of multiple investments and/or other portfolios. The Portfolios module enables ad hoc reporting and charting, and also facilitates OMB data call submissions.  To create a new portfolio, navigate to the Portfolios module and select the icon from the module toolbar.  Complete the portfolio definition information, and click to save and create the portfolio. 4 3 Portfolios Module: Selecting a Portfolio  To select a portfolio, click the portfolio name from the main Portfolios page, or use the type-ahead drop down box in the Navigation pane.  Once you have created a portfolio, the next step is to populate it with investments (or other portfolios).

5 4 Portfolios Module: Building a Portfolio  To assign specific investments to your portfolio, open the portfolio and click on the tab.  Select the checkbox to assign the investment to the portfolio. Clicking the icon will expand the investment, allowing you to view and select a specific investment revision for the portfolio.  Select the icon to save the selected investments and assign them to the portfolio.

6 5 Portfolios Module: Building a Portfolio  Portfolios can be comprised of other portfolios in a parent-child relationship.  To add one portfolio to another, click the tab, and select the desired portfolio from the list in the same way that you added an investment to the portfolio.  Remember to click the icon to save your changes.

7 6 Portfolios Module: Portfolio Investments  The Portfolio Investments tab shows the listing of the investments and/or portfolios that comprise your portfolio.  Click on an individual investment name to navigate directly to that investment.  To ensure that the investment selected is the latest revision in eCPIC, the ‘Is Current Revision Column’ indicates Yes or No.

9 8 Portfolios Module: Dashboard  The customizable Portfolio Dashboard tab provides real-time visual display of a portfolios’ status and health, while dynamic reporting, graphing and charting capabilities provide flexible customization of portfolio analysis. eCPIC utilizes the portfolio’s investment data and provides graphical analyses on the Dashboard page.  The investments that comprise the portfolio are identified in the center of the page, ensuring that the user understands where the information being shown originates from.

10 9  Click the icon to view the key or legend for any of the displayed graphs on the portfolio dashboard.  Each graph has a drop down menu that users can select to display graphs on their portfolio’s dashboard. Some charts are included by default, but agency users can build customized portfolio charts as well, which we will see later in this training session.  To reveal the values of individual sections of any graph, hover the curser over the desired section.  Click the icon to save the customized dashboard for this portfolio in future log-ins. 11 10 Portfolios Module: Selecting Charts  The Charts tab provides a list of the charts that are available for analysis on the portfolio dashboard.  Note: The charts highlighted in the blue box are the default charts that are provided with the tool. Users cannot delete or modify these charts.

12 11 Portfolios Module: Creating Charts  To create a customized chart, click the icon and select the desired chart type from the drop down menu.  Depending on which chart you select for customized reporting, eCPIC will prompt you to define more detailed attributes of the chart in the Add Chart section.

13 12 Portfolios Module: Charts  Should you need additional information about chart definitions, functionality, and creation, select the link to open the Portfolio Visualization Chart Types help document.

14 13 Portfolios Module: Creating Charts  After you define the chart attributes, click the icon to generate the chart on the screen.

15 14 Portfolios Module: Creating Charts  To export your chart as a picture file, click the icon.  To save your chart, click the icon. If you selected the “Is Public Chart” checkbox, then other users will be able to view your chart in their portfolio.  When your chart is saved, you will be able to select it from the dropdown lists on the Dashboard page and view the chart automatically every time you open your portfolio.

16 15 Portfolios Module: Generating Reports  The Reports tab provides a number of pre-defined portfolio reports to assist data analysis efforts.  Selecting a report provides the user with an initial report description. If the report requires additional information before generating, follow the directions listed in the report pane and select the button to generate the report. If the report does not require additional information, it will be automatically generated in the report pane.  To export a report to MS Excel, click the icon.

17 16 Portfolios Module: Report Types ReportDescription Portfolio Summary of Spending Report The Portfolio Summary of Spending Report displays the rolled up spending data for all investments in the current portfolio. For each of the years between PY-6 and BY+8, the Portfolio SOS report displays: Subtotal Planning and Acquisition, FTE Costs for Planning and Acquisition, the Planning and Acquisition total (Subtotal + FTE Costs), Operations & Maintenance, FTE Costs for Maintenance, the Operations and Maintenance Total (O&M + Maintenance FTE Costs), and the overall Portfolio Total. The report can be easily exported to Excel for deeper analysis of portfolio financials. Portfolio Funding Source Report The Portfolio Funding Source Report displays a list of all of the Funding Sources that are referenced by Investments in the Portfolio, as well as the sum of all of the funding sources. Additionally, the funding sources can be grouped by each investment’s response to eCPIC fields in order to view a portfolio based breakdown of funding. Portfolio Funding Source Type Report The Funding Source Type report is a Portfolio level report that displays how much Funding is associated with each Funding Source Type for a given portfolio. There are several different options available to the user when executing the report. Portfolio EVMS Report This EVMS Report displays the monthly capture data for each of the investments within the current portfolio over a specified time span. Earned Value metrics are grouped by month and then sorted by investment. The report also allows you to specify thresholds for color coding variance output within the report. Portfolio EV Trend Report This Portfolio EV Trend Report displays the Earned Value data for each of the investments within the current portfolio over a specified time span. Within the report, Earned Value metrics are grouped horizontally by investment with monthly breakouts listed vertically down the spreadsheet. The report also allows you to output Variance Percentages alone rather than the full set of Earned Value metrics.

Select the Portfolio Investments tab to confirm which investments are included in your portfolio. 2-6 Manipulating the Portfolio Dashboard View your Portfolio Dashboard, and change the types of graphs that appear on the page.7-9 Creating a Portfolio Chart Create a customized Pie Chart for your portfolio and save it in the system. Go back to the Portfolio Dashboard page and select your chart as one of the displayed graphs. 10-14 Running and Exporting a Report In the Report tab, select the Portfolio Summary of Spending Report. Generate the report in eCPIC, and then export and view the report in MS Excel.
