INTRODUCTION TO THE STATE OF MICHIGAN’S SHAREPOINT ENVIRONMENT

WHAT IS SHAREPOINT? The State of Michigan is using SharePoint services to create intranet sites and team rooms to share information and foster collaboration with other users. You can access content stored within a SharePoint site from a Web browser and through desktop applications, such as Microsoft Office. *At this time, you must be logged into the state network directly or remotely through VPN. SharePoint is a powerful toolset for:  organizing information  managing documents  capturing and sharing ideas and information SharePoint is customizable and comes with a full set of features:  such as ready-to-use templates for intranet site pages and team rooms  Web parts, lists, libraries, and workflows for initiating, tracking, and reporting common business activities such as document review and approval

Build Pages and Add Content Using Web Parts, Lists, Libraries Tagging, Tag Cloud, Ratings Bookmarking Blogs and Wikis Activity Feeds Profiles and Expertise Org Browser Windows Authentication (SOM Domain) Ability to set permissions all the way down to the document level. Consistent and familiar search experience Increased relevance of search results

WHAT ARE SITES? SharePoint Sites provide:  a single infrastructure for all your sites  ability to share documents with colleagues and manage projects  ability to publish information to customers Within a site collection:  you can create one or more SharePoint sites.  the initial site created in SharePoint is the top-level site.  A top-level site can grant its permissions and navigation to sub-sites within the site collection, or these can be specified and managed independently.

WHAT ARE SITES? CONTINUED You can use top-level sites and sub-sites:  to divide site content into distinct, separately manageable sites.  a sub-site can also have sub-sites of its own. Each sub-site can have administration, authoring, and browsing permissions that are independent from the top-level site and other sub-sites.  the administrator of a site determines who can create sub-sites of a site.

AN EXAMPLE

WHAT IS MY SITE?  My Site provides the ability to easily access expertise and interact with other people in new and creative ways across the enterprise.  Within the My Site are the following features:  Employee profile  Activity Feeds  Colleagues  Shared documents  Org chart  And more..

WHAT SEARCH OPTIONS ARE AVAILABLE? With more content existing online and multiple people collaborating on such content, it is critical that people can quickly and easily locate relevant content across SharePoint lists, sites and profiles. SharePoint Search cuts through the clutter. It provides:  a consistent and familiar search experience  increased relevance of search results

WHAT ARE TEAM SITES? Team Sites provide team members with the ability to collaborate on documents and other project related resources. A team site can contain lists of information, such as related documents, team members, calendars and links.

SHAREPOINT SECURITY In SharePoint, access to sites is controlled through a role-based system that uses permission levels.  Permission levels specify what permissions users have on the site.  each permission level has a set of permissions associated with it, based on the intended roles and tasks for that level  these permissions determine what specific actions users can perform on the site  as a site owner, you control what users or groups of users can access on a SharePoint site by adding users accounts directly to your site or adding them to SharePoint groups at the top-level site or sub-site level  this transfers the task of managing users from the server administrator to site owners
