Schools Online Admin New functionality to improve entries and outcomes

What is the new functionality ? The new functionality in Schools Online Admin links the school’s enrolments to the courses, qualifications and units of competency that have been set up by the RTO manager. Schools are likely to have a reduced set of qualifications and units of competency for enrolment. This will assist schools to select the correct qualifications and units of competency for their students

Scope of new functionality This new functionality applies to school delivered VET courses only. Private providers and TAFE delivered course entries are not affected by this functionality. Where the delivery is by TAFE the relevant TAFE college is entered in the Outside School/TAFE section. Where the delivery is by Private Provider the RTO delivering the course must be entered using the existing RTO Course delivery function.

What’s the same in Schools Online…. There is no change to existing functionality when schools are selecting the relevant VET course. There may be a reduction in the list of courses displayed

No change to entering students There is no change to the functionality when entering a student or all students in a course

Selecting the RTO delivering the course There is no change to the existing functionality when selecting the RTO delivering the course This may be a DET region or a private RTO

What’s New Selecting the qualification Only the qualifications selected by your RTO manager will be displayed. Previously all qualification outcomes were displayed In some cases there will only be one qualification Where there is more than one qualification set up by your RTO manager, the qualifications will display in the order that has been set up. This is not necessarily in numeric order, that is, a Certificate II may be displayed before a Certificate I.

Selecting the qualification

Qualification versions Changes to a Training Package can mean that there may be two versions of the same qualification available for enrolment in a calendar year. As the Hospitality Training Package has been revised, this means that in 2011, there are two versions of the Hospitality qualification SIT displayed in Schools Online. One version of the Hospitality qualification is for Continuing students, that is HSC students and is labelled : The other version of the Hospitality qualification is for New students, that is Preliminary and is labelled : Schools must choose the appropriate qualification for their students.

Selecting the units of competency Only the units of competency selected by your RTO manager will be displayed. Previously all units of competency were displayed In most cases there will be a reduced number of units of competency The units of competency will display in the order that has been set up by your RTO manager. This is not necessarily in numeric order, for example, MEM 13 A may be displayed before MEM 11 A.

Select the units of Competency

Additional Information For school or private provider delivery, indicate if the student is a trainee or apprentice and enter the Training Contract Identification Number-TC/ID ( if available). Note: Do not enter the TC/ID for TAFE delivered trainees or apprentices Enter Work Placement Hours ( if applicable) All students in this course functionality operates as per existing functionality If a course, qualification or unit of competency is not displayed on Schools Online contact your Regional VET Consultant. Schools are advised not to contact the Board of Studies when acourse, qualification or unit of competency is not displayed in Schools Online.

Confirmation of VET Competencies Report Generate the Confirmation of VET Competency Report as per existing functionality

Entering outcomes There is no change to the existing functionality when entering outcomes. An outcome is required for all entered competencies Outcomes may be entered at any stage through the year. Schools will be able to enter outcomes for all units in the course, as set up by your RTO manager. However, schools are likely to have a reduced number of units of competency displayed per course.

Course Codes applicable in WSR The following BOS Course Numbers are applicable for Schools in WSR. In most cases the delivery pattern is 2yrs x 2 units or a 240 hour course.
