COMING SOON…. MANDATORY AUSTIN, HOUSTON, GALVESTON SURVEY

Important websites Office of Clinical Education: Electives brochure: ACS brochure: ACS Preference Submission Website: BSHS brochure: Supplemental malpractice: tyCoverage.pdf tyCoverage.pdf

Basic Scheduling Issues Remaining Year 3 clerkships will be scheduled first BY US Out of sync courses will be assigned by capacity Study periods and shelf exam retakes will be assigned in your first available block 4 th year course scheduled BY YOU Included in initial online scheduling Ambulatory community selectives (must also do site ranking) Galveston electives/selectives/AIs Not included in online scheduling (Require additional paperwork) Austin and Houston electives POM4 POM3 Projects Non-UTMB courses (required, selective, elective) Any Research elective (UTMB or non-UTMB) Student-created electives BSHS

Year 4 Courses Senior Neurology Acting Internship selective Basic Science/Humanities selective Ambulatory Community Selective Emergency Medicine Selective Electives (6 blocks needed to graduate)

Also required: POC Testing (June 22, 2015) ICEE (taken during July, and rarely in August) ACLS (generally taken during EM rotation)

4 th Year Clinical Skills Week All 4 th year Galveston and Houston based medical students will be required to take Point of Care Testing (POCT) on June 22, This is a MANDATORY activity. The Joint Commission on Accreditation of Healthcare Organizations (JCAHO) requires that all unlicensed healthcare providers take this training yearly.

Scheduling Scheduling for Year 4 will be done online through MySTAR beginning March 16, 2015 at 5:30 PM Initially, you have “vacation” scheduled in each block My recs: Schedule required courses first - Neuro, EM, AIs Don’t leave things until the last minute!!!! Don’t drop a required course until you have a replacement scheduled

What you should schedule FIRST Acting Internships Neurology Emergency Medicine Spots are tight—and after April the 3 rd years have access!

Course Numbers Emergency Medicine EMEU ER Selective-Galveston EMEU ER Selective-Austin EMEU ER Selective-St. Joseph’s Neurology Clerkship IMC – Austin and Houston Sections Available BE CAREFUL THAT YOU DON’T CONFUSE LOCATION!!!

Emergency Medicine is a Selective Locally – Galveston, St. Joseph, Austin Rules for elsewhere: The selective can be done: Anywhere with established EM residency program At a U.S. university, med school based, or community EM department with a supervising ED physician sponsoring the student. Dr. Mileski must approve Selective cannot be done at an ambulatory acute care facility where EMS are not allowed to bring patients.

EM more info If you plan to complete the EM selective at another medical school B forms and C forms – Dr. Mileski to sign Either way, probably best to schedule a UTMB course just in case ACLS usually completed during EM rotation

Neurology Clerkship Available locally – slots in Austin, Galveston, St. Luke’s, MD Anderson Shelf exam Absence policy strictly enforced

Acting Internship You pick the field Must have an advanced degree of responsibility above that of a MS3 Lots of local options If you choose one at another med school (rarely ok outside of academia) Might be called “AI” or “subinternship” or must get Asst Dean signature on C form

BSHS Basic Science and Humanities Selective Pre-existing courses available ~50% of students create their own project Proposal form available on the web Must write a paper Only available to student who have completed Year 3 Don’t leave planning to the last minute- especially for student created project. Must go through BSHS committee for approval

ACS: Ambulatory Community Selective You choose the field Must be ambulatory – not patients in a hospital bed; must be in the community, i.e. not at UTMB Only available to students who have completed Year 3 GALVESTON PLACEMENT UNLIKELY, HOUSTON AND AUSTIN CAN BE TOUGH TOO!

Site Preferences must be submitted at no later than 4/17/15 You still need to enroll through MySTAR Can change ACS course (add, drop, or change site preference) up to 60 days before the rotation begins Change by contacting Brian Sullivan at or Site confirmation will be ed to you approximately one week prior to the start of the course.

Away Electives Why you might consider one Highly competitive match Need specialty-specific LOR Want to make sure you really like the place Why you might not consider one Expensive Schedules don’t jibe Special issues – Affiliation agreements, “student- created” electives You cannot get credit for duplicate electives!!!

VSAS Visiting Student Application Service Centralized system for away courses In Texas, UTMB, Baylor, UTSW and UTHSCSA participate Enrollment Services gives you the required access if needed Complete registration in VSAS = complete registration at UTMB

Non-VSAS electives Need to print copy of elective or link to elective and attach to B1 form Start applying many months ahead of time, we may need to establish affiliation agreement and this could take considerable time Needs C form signed by Chair of Elective committee

Housing Austin apartments for Galv/Houston students Galveston apartments for Austin/Houston students Sugarland hotel for Jester IV elective Corpus condo – mostly for Pedi clerkship, if room ok for electives Catherine Hale in OCE Keep it neat Deposit may be required, but otherwise free

POM4 POM3 students eligible Enrollment limited by number of willing facilitators POM3+POM4 = one elective POM3 + POM3 project = one elective also 10 sessions, must attend 8 Fill out the form, get it to us soon so facilitators can be recruited and books can be ordered

Adding/Dropping Courses Ongoing throughout the year Add/drop deadlines Electronic and paper-based options ALWAYS VERIFY YOUR SCHEDULE

Without a properly completed, signed C form, your registration may not be complete!!!!!!!

We gotta know that you have a plan, the permission to do the research, the resources to do it and appropriate oversight of your project

We gotta know they’ll take you = B2 (Austin doesn’t need this) They might wanna know stuff about you= B1

Registration Errors Missing deadlines – no registration, no credit Taking the same elective twice: “Clinical Dermatology” at UTMB is the same as “Clinical Dermatology at East Sheepdip University No credit (if you think there is a significant difference, must get C form signed in advance by Assistant Dean) Participating in a course you have not added No credit and no malpractice coverage Failing to participate in a course you have not dropped Failure Withdrawal

A word about absences More than 3 = course failure unless prior arrangements made Absences for interviews are just like other absences You still need to graduate from medical school In a 4 week course, missing 3 days already means missing 15% of the days Plan ahead – is there a reasonable way to make up work?

The ICEE Integrated Curriculum Evaluation Exercise Required for graduation Two phase examination First phase periods 1 or 2 85% of available dates are in period 1 Take it even if you’re “out of synch” if you plan to graduate on time

Mary Mallini will ICEE enrollment information (including link) to students on March 18th

Special Degree Programs MD/PhD students – do not need BSHS and only one elective MD/MPH – step out of curriculum after block 2 Get credit for BSHS and 2 electives if capstone completed Other Masters degrees while enrolled – same credit as MPH
