Integrating Resources: Databases and Web Sites Southern California Technical Processes Group November 22, 2002 Adam L. Schiff University of Washington Libraries

Acknowledgement Modified from presentation given at ALA Annual in Atlanta, GA, June 2002.

Description of Electronic Integrating Resources Use Chapters 1 and 12 in conjunction with Chapter 9 Other chapters also used when applicable, e.g., Chapter 3 for cartographic electronic integrating resources LCRI 1.0A: Direct access updating electronic resources are serials, not integrating resources (e.g., CD-ROM database updated quarterly)

Basis of description of electronic integrating resources 12.0B1b Base most of the description on the current iteration of the resource (Areas 1-6) Exceptions: dates of publication (Area 4) are based on the first and/or last iterations; notes and standard numbers and terms of availability (Areas 7-8) are based on all iterations and any other source

Chief source of information Electronic IRs 12.0B2b Remote access electronic resources Follow rule 9.0B1 Chief source of information for electronic resources is the resource itself Take the information from formally presented evidence (e.g., title screen, home page, HTML header, splash screen, metadata in resource) If the information in sources varies in degree of fullness, prefer the source that provides the most complete information Additional instructions in case the information needed is not available from the resource itself

Prescribed sources of information 12.0B3b Remote access electronic resources Follow rule 9.0B2 Prescribed source for areas 1-2, 4, 6 is the chief source, information issued by the publisher, creator, etc., and the container (not applicable to remote resources); prescribed source for areas 3, 5, 7-8 is any source Very little bracketing of information will be necessary since chief source is the entire resource

Area 1 Title and statement of responsibility

1.1B1 Introductory words Do not transcribe words that serve as an introduction and are not intended to be part of the title. Very common on Web sites: Welcome to NASA quest Bienvenue à la Bibliothèque royale de Belgique Indiana University School of Law--Bloomington presents the WWW virtual library--law

110 2Bibliothèque royale de Belgique Bibliothèque royale de Belgique $h [electronic resource] : $b [page d’accueil] $i Title appears on home page as: $a Bienvenue à la Bibliothèqueroyale de Belgique

WWW virtual library--law $h [electronic resource] $i Title appears on home page as: $a Indiana UniversitySchool of Law--Bloomington presents the WWW virtuallibrary--law

9.1B2 Source of title proper Always give the source of the title proper or source of a supplied title in a note (see also 9.7B3 and 12.7B3) OLAC CAPC source of title note recommendations: html Usually combined with the item described note (9.7B22 and 12.7B23) 500Title from home page (viewed on May 15, 2002). 500Title from title screen (viewed on Oct. 29, 2000). 500Title from HTML header (viewed on Aug. 3, 1998).

12.1B1 Title proper: Typos Correct obvious typographic errors when transcribing the title proper and give the title as it appears on the resource in a note. In case of doubt, transcribe spelling as found.

245 00Magson genealogical history site $h [electronic resource] $i Title appears on home page as: $a Welcome to the Magsongeneological history site 246 3Magson geneological history site 246 1$i Title in HTML header: $a Magson family geneological history site 246 3Magson family genealogical history site

12.1B2 Full form vs. acronym or initialism Choose full form as title proper Full form and acronym/initialism are common on home pages of organizations and also occur on other Web resources May record the acronym or initialism as other title information but rule 12.1E1b for integrating resources (unlike 12.1E1a for serials) does not currently require this. LC will probably propose a rule revision so rule for serials and IRs is the same. Always give a title added entry for the acronym/initialism LCRI: Do not recatalog records created before Dec. 1, 2002

110 2Los Angeles County Museum of Art Los Angeles County Museum of Art $h [electronic resource] : $b LACMA : [home page] LACMA if no LCRI is issued making the rule for integrating resources the same as for serials, the following could also be correct: 110 2Los Angeles County Museum of Art Los Angeles County Museum of Art $h [electronic resource] : $b [home page] LACMA or $i Also known as: $a LACMA Note: bracketed explanation of title proper supplied as other title information per 1.1E6

Current Rules 100 1Reitz, Joan M ODLIS $h [electronic resource] : $b online dictionary of library and information science Online dictionary of library and information science New Rules 100 1Reitz, Joan M Online dictionary of library and information science $h [electronic resource] : $b ODLIS ODLIS

12.1E1b Other title information Transcribe if considered to be important Do not transcribe if it consists solely of words related to the currency of the contents

245 00Checklist of amphibian species and identification guide $h [electronic resource] : $b an online guide for the identification of amphibians in North America north of Mexico / $c North American Reporting Center for Amphibian Malformations.

245 00Architecture & building news headlines $h [electronic resource]. not Architecture & building news headlines $h [electronic resource] : $b updated daily.

12.1B4 Common title/ section title LCRI: For updating remote e-resources what appears to be a common title may be a statement of responsibility, the name of the parent electronic resource, or another component of the resource. If in doubt, do not consider it to be a common title.

245 04The WWW virtual library $h [electronic resource] World Wide Web virtual library 246 1$i Also known as: $a WWW VL

245 00WWW virtual library. $p Petroleum and geosystems engineering $h [electronic resource] Petroleum and geosystems engineering

245 04The WWW virtual library. $p Gardening links $h [electronic resource] Gardening links 500Maintained by the editors of GardenWeb GardenWeb. Note: There is no link to the WWW Virtual Library Gardening Links page from the GardenWeb page, so it cannot be considered a part of GardenWeb. However, a related title added entry can be made for GardenWeb, justified by the note given above. Alternatively, a linking entry could be given instead of the added entry (see LCRI 21.28B1): 787 1$t GardenWeb $w (OCoLC)

245 00Buddhist studies WWW virtual library $h [electronic resource] : $b the Internet guide to Buddhism and Buddhist studies / $c edited by T. Matthew Ciolek, Joe Bransford Wilson, and Jerome Ducor in association with Janice Glowski … [et al.] Internet guide to Buddhism and Buddhist studies $i At head of title: $a World-Wide Web virtual library Questions: Is there a common title/section title situation in this case? Is the “at head of title” note sufficient to link this site to its parent? Note that the parent site actually has the title “The WWW virtual library.” One might decide to make a linking entry for the parent (LCRI 21.28B1 states to make a linking note rather than a related work added entry for integrating resources, unless the relationship is covered by rules ): $t WWW virtual library $w (OCoLC)

245 04The World Wide Web virtual library. $p History of art $h [electronic resource] History of art Questions: Because the common title here is not the same as the actual title of the parent, is a uniform title appropriate to collocate this with other sections of the parent?: 130 0WWW virtual library. $p History of art Or, make a variant title added entry using the parent’s actual title?: 246 3WWW virtual library. $p History of art Or, just make a linking entry for the parent?: $t WWW virtual library $w (OCoLC)

9.1F/12.1F Statements of responsibility Transcribe statements of responsibility relating to those persons or bodies credited with a major role in creating the content of the resource. Give all other statements of responsibility in notes (9.1F1) Editors: transcribe statements if considered important (12.1F3b)

Changes in area 1 If any of the information recorded in area 1 (title proper, parallel titles, other title information, statements of responsibility) changes, change the area to reflect the current iteration Make notes on information found on earlier iterations if considered important (e.g., former titles proper, former parallel titles, former editors or compilers) Use field 246 for all variant forms of title except former title proper Use field 247 for former title proper (see 12.7B4.2 and 21.30J and their LCRIs)

Area 2 Edition

Edition statements Transcribe an edition statement if considered important (12.2B1b) Give source of edition statement in a note if it is different from the source of the title proper (9.2B1 and 12.7B9.1)

245 00MARC code list for organizations $h [electronic resource] / $c Library of Congress, Network Development and MARC Standards Office. 250Web version of the 2000 ed.

Edition statements (cont.) 9.2B8 rule to omit edition statement for frequently updated remote access resources and give the information in a note was deleted in 2002 Amendments; covered by new rule 12.2B2 12.2B2: Give statements indicating regular revision or frequent updating as frequency in the note area

245 00Architecture & building news headlines $h [electronic resource] Architecture and building news headlines 310Updated daily

Edition statements (cont.) For frequently updated remote resources you may give the edition information in a description based on note (usually combined with source of title note). See also 1.7B23 and 12.7B23b. 500Description based on: Version 2.0-Web; title from home page (viewed on May 16, 2002). 500Description based on: Version ; title from Web page (viewed on Dec. 8, 2001).

Changes in area 2 If edition information recorded in area 2 changes, and this change does not require a new description, change the edition area to reflect the current iteration LCRI 21.3B: Make a new description only if the resource described in the existing record continues to exist as a resource separate from the new edition Make notes on edition information found on earlier iterations if considered important

Area 3 Numbering 12.3A1b. This area is not generally applicable to integrating resources. LCRI 12.3A1. This area does not apply to integrating resources even if updates are numbered.

Area 3 Type and extent of resource Found in Chapters 9 and 3 (2002 Amendments)

9.3 Type and extent of resource 256 Electronic data. 256 Electronic program(s). 256 Electronic data and program(s). 256 Electronic data (1 file : 2.5 gb). 256 Electronic programs (2 files : 4300, 1250 bytes). 256 Electronic data (2 files : 800, 1250 records) and programs (3 files : 7260, 3490, 5076 bytes).

Type and extent area (cont.) LCRI 9.3B1: LC will not use in its original cataloging, but will accept and not remove from cataloging copy originally created by other libraries CONSER does not use for serials BIBCO and other libraries can decide whether or not to use this area for electronic resources JSC may decide in future to eliminate this area

Changes in type and extent area LCRI 12.7A2 If the information recorded in the type and extent of resource area is no longer accurate due to changes on a subsequent iteration, change the type and extent of resource area to reflect the latest iteration and make a note if the change is considered important

Area 4 Publication, distribution, etc.

1.4F8 Dates of publication Do not supply beginning and/or ending dates when first and/or last iteration is not available Optionally, supply the date(s) if they can be readily ascertained  LCRI: For integrating resources and multipart items, apply the option on a case-by-case basis when the bibliographic resource includes an explicit statement. Do not investigate beyond the resource to find such a date.

260 [Berkeley, Calif.] : $b Information Systems and Technology, University of California, Berkeley, $c -[2000]

Changes in area 4 If publication, distribution, etc. information recorded in area 4 changes, change the area to reflect the current iteration (except for the beginning or ending date(s) unless they are incorrect) Make notes on publication, distribution, etc. information found on earlier iterations if considered important Use field 550 for notes about issuing bodies Use field 500 for notes on commercial publishers, distributors, and/or places of publication

Area 5 Physical description Not used for remote access e-resources

Area 6 Series

Changes in area 6 If a series is changed, added, or deleted on a later iteration, change (or add or delete) the series area to reflect the current iteration Make notes on series information found on earlier iterations if considered important If a series of integrating resources has been analyzed, multiple records may need to be changed Record earlier series titles in 500 notes and make added series entries in 8XX

Area 7 Notes  Related to integrating aspects  Related to electronic aspects

Notes related to integrating aspects

12.7B1 Frequency Make notes on frequency of updates unless it is apparent from the title and statement of responsibility or it is unknown LCRI: Make notes even if the frequency is apparent from the rest of the description As of Dec. 1, 2002 utilities will allow the use of 310 and 321 in records coded with bibliographic level “m” 310Continuously updated 310Updated weekly, $b 321Updated monthly, $b For many Web resources, frequency of updating will be unknown, so no note will be made

Source of title proper 12.7B3 refers you to 9.7B3 for electronic resources Source of title note required for all electronic resources Can be combined with “viewed on” note and “description based on” note (12.7B23)

Change in title proper 12.7B4.2b: Make notes on earlier titles proper Use 247 or 247/547 for these notes Give only former title proper ($a, $n, $p) in 247 Add exact dates, former viewed on date, or former description based on information in $f of 247 Record former ISSN in $x of 247 See LCRIs 12.7A2, 12.7B4.1, and 12.7B4.2 for examples; also, section of LCRI 21.30J: “Title Added Entries for Integrating Resources”

LCRI 12.7A2 Identification of Iterations in Notes LC/PCC practice: When a data element (e.g., title proper, statement of responsibility) changes, give information enclosed in angle brackets to locate in time the presence of the earlier data element. If exact information about the timing of the change is not readily available, use information already in the record: for electronic integrating resources, use the date from the "viewed on" information; for non-electronic integrating resources, use information from a "Description based on" note. Existing record: Swedish genealogical resources. 500 ##Title from title bar (viewed Mar. 10, 2000). Statements of responsibility Give statements not included in area 1 if considered important (12.7B7 and 9.7B6) Use field 550 for issuing body notes Use field 500 for notes on persons responsible, commercial publishers, distributors, or places of publication

Change in statements of responsibility 12.7B7.2 Make notes on statements of responsibility no longer present on the current iteration, or that appeared in a different form on earlier iterations, if considered important 500Site maintained by Jeffrey A. Jundt, Issued by Library Association ; Chartered Institute of Library and Information Professionals

Bibliographic history and relationships 12.7B8 Many remote electronic integrating resources are based on, or are electronic versions of monographs, serials, or other integrating resources Rule: “Make notes on the bibliographic history and on important relationships between the resource being described and the immediately preceding, immediately succeeding, or simultaneously issued resources.” CSB 97 (Summer 2002) and LCRI Update No. 2 included an LCRI for 12.7B8 giving LC practices for integrating resources and serials. However, this LCRI has been changed again since then.

Bibliographic history and relationships 12.7B8 (cont.) LC CPSO home page: “Decisions Referenced in Library of Congress Rule Interpretations, 2002, Update No. 2” 12.7B8 -- Despite the reference found in Update no. 2, there will be no specific statement, because "LC/PCC practice" will be following the rule as written 12.7B8 To show relationships between an integrating resource and any other resource, give reciprocal linking notes ( ) on both resources. Do not give an added entry except for integrating resources with relationships covered by rules (per LCRI 21.28B1)

What to do when resource is no longer available LCRI 9.7B. Remote Access Electronic Resources That Are No Longer Available Provides LC practice for what to do in two cases Original URI no longer active Original URI still active, but resource described is no longer available at that location

Area 8 Standard number and terms of availability LCRI 12.8B1: If an integrating resource has both an ISBN and an ISSN, record both. Record a former ISSN in $x of field 247.

When to Make a New Record For integrating resources, most changes are considered minor and do not require making a new bibliographic record. The bibliographic description is changed to reflect the current iteration and notes are made to account for information on earlier iterations.

When to Make a New Record (cont.) LCRI 21.3B: Remote access e-resource replaced by a different resource: if original URI is still active but the resource located at the URI represents a completely different resource from that described in the bib record, make a new record for the resource now at that URI. If edition statement on an updating remote access e- resource changes, make a new bib record only if the resource described in the existing record continues to exist as a resource separate from the new resource to be cataloged.
