Creating Course Record O New O DCRESC: Defiance Course Reserve O Enter begin date O Default is today’s date unless otherwise specified on form O Enter end date O Default is end of semester O Enter Prof/TA—Last name, First Name O How to determine professor’s full name if not given How to determine professor’s full name if not given O Course number (XY###) –no spaces O Course name (full name- refer to schedule of classes and interpret full name as opposed to the listed abbreviated one) Course name (full name- refer to schedule of classes and interpret full name as opposed to the listed abbreviated one) O Course Note- Semester (Ex: Fall 2011 or Spring 2012) O Save and Close

Select NEW to create a new course record When adding a new course record, be sure to select the “dcresc: Defiance Course Record” option

Professor name should be entered in as Last, First Course number should be entered in with no spaces Course name as it appears on Schedule of ClassesSchedule of Classes Course Note would be semester followed by the year

A new record will look like the one pictured below

Items With Spine Label O Within identified course number/name record, click ADD ITEM O Drop down menu change from title to barcode O Scan barcode O Click add selected item O Location refer to form to insert corresponding location O Dcr2h-2 hour O Dcr1d-1 day O Dcr1w-1 week O Dcr2w-2 weeks O Dcr3d- 3 days O Item Type O Hardback book- 164 O Paperback book- 189 O DVD- 171 O VHS- 198 O CD- 166 O Leave “Display course name as call number” box blank O Under Item Status, make sure radio box is selected for active until end date, NOT until end of course

After scanning barcode, select ADD SELECTED ITEM(S)

When double clicking on Location and Item type, the two boxes below will appear. Select the option that was provided on form.

Book or DVD/VHS Without Spine Label O Locate ISBN# on title page of or back cover of book or AV item O Pull up Defiance Catalog O O Change to searching all OPAL libraries and search for item using ISBN O Key or Scan ISBN O Refer to records of items returned and listed O If there are no results, click hereclick here O If a record is found, click hereclick here

Click on Defiance College to bring up catalog Click on More Options and then ISBN/ISSN Scan or type the ISBN number

Creating Bib Record If in OPAL System O Scroll down on the record page and find the OCLC# O Write down or copy and paste O Go to Cataloging module in Millennium O Search on Catalog tab using OCLC O Attach New Item O Default and click OK O DC item O ITYPE (164, 171, 198, 189) O Next O Available

This book can be found in OPAL system. Scroll down and copy the OCLC#

Go to cataloging module and paste or type in OCLC# making sure to change the drop down to OCLC NO Click Attach New Item

Default is fine, click OK Double click to bring up box below, or if you know the type, put in the correct number.

If Record Is NOT in OPAL System O Go to Millennium Catalog Module O Click New and scan ISBN/ISSN O Name: Author (Last, First)----How to find author O If two authors-EX:Coffey, Colleen & Gendron, Jessica O If no author, select Next O Title: Cover/title page O Include subtitle then select Next O Imprint is  date EX: c.2007 O Change CAT Date to today’s date O MAT Type—a book, g AV DVD/VHS, j musical recording CD O Save O Write down Bib number EX: O Click on Summary along the top bar O Go to the drop down menu and select item O Click on Attach Item O Select Single Item

No matches found in OPAL system, go to catalog module and click on New Scan the ISBN number making sure that the drop down reads ISBN/ISSN

Type author’s name by Last, First. In the example on the left, there are two authors. Type the title of the book including any subtitle The imprint is the copyright year typed as c.year

The CAT DATE is to be changed as today’s date Make sure MAT Type is correct and SAVE. It should look like the picture on the left when completed. Write down the Bib number before continuing

Creating Bib Record O Get barcode from Course Reserves Supplies and Procedures box located in Collette’s office next to Inbox O Scan barcode O Call #---personal copy/Last Name O EX: personal copy/Knight O NEXT O OPAC-c-local circ only O Save/Close

Scan barcode Call number is personal copy/professor’s last name

Personal Copy Items O After Creating Bib Record, go to Circulation Module O Go into Course Reserves tab O Add item and scan barcode O Add selected item O Location—refer to form O Item status—refer to form O Check Work

Go to circulation module and in course reserve tab add item and scan barcode Add the selected item and refer to form to select location and item type

Adding Chapter of Book O Scan title page and copyright info (back of title page) O Scan chapter O Upstairs scanner O to and O Download and Save PDF O Save As Title of Chapter, EX: A Little Burst O Save into the Course Reserve Folder

Scan Title page, copyright info, and chapter. Download PDF and save as name of chapter in the course reserve folder.

Adding Chapter of Book O Click Media along top O Add Media Set O Title is Chapter Title/or title of saved PDF O Publisher: “dc” O Import File—locate course reserve folder and PDF O Save O Summary-Item-Attach New O Mat type 55—hit next until call # O Call #=.pdf/professor EX:.pdf/Knight O Save O Write down item record # EX:i O Close

Click on Media and then Add Media Set

Title is chapter title or title of saved PDF Publisher is dc

MAT Type for this will be 55 Reserved Item Keep hitting next until call #. Call # will be.pdf/professor Write down the item record number

Adding Chapter of Book O Go to Millennium Circulation module O Search under prof/ta O Add new item O Search record # O Itype 55 O Test by going to DC Catalog O Search under course reserve and professor O Locate chapter and view or print file

In the circulation module, search under Prof/TA. Add new item and search record number as pictured to the left. Go to DC catalog and search course reserves by professor.

All material for the course should appear. Locate the PDF and view or print. You will need to enter your name and barcode to access.

Check Work O Circ Desk Icon O Look up your patron record O Scan item’s barcode O Confirm the checkout date/time match O Yes—close file and check in item O Sticker the item Sticker the item O Place on proper shelf Place on proper shelf O NO NO

When checking work, check out item using your account and make sure the date and time matches what the course reserve request form states.

Reserve Stickers O Locate box beside Collette’s inbox labeled course reserve supplies and procedures O Remove a yellow reserve sticker O Place above spine label and tape O Tape Usage with Spine Labels Tape Usage with Spine Labels O Place course summation note on item O Transfer data from request form onto paper and place in cover if item is a book and inside of case if item is a DVD

If Item Does Not Have Spine Label O Place item on personal copy shelf O Arrange items alphabetically by title O Ignore A, THE, and AN

After Book Is Properly on Shelf O Place Reserve Request Form in Collette’s inbox and write barcode Barcode is written on top

If Checkout Date/Time Do Not Match Form O Go to course reserve tab O Search by Prof/TA and find item O Select item that needs fixed and right click O Select Change Status and correct based on form O Make sure to check item back in and re-test with new settings to make sure it is correct

Tape Usage for Spine Labels O Use low adhesive tape to first secure identification or spine label O Low adhesive tape dispenser should be identified with a blue cylinder O Secure with regular tape of same size O Reserve stickers should be placed above call #, but NOT covering them
