Beginning PowerPoint A short review of session 1 QCS Office SIG Vicki Wassenhove January 7th, 2008

What Can PowerPoint Do? PowerPoint is a powerful tool to organize and enhance any visual presentation. It can help make your job simpler and more professional in appearance. You can easily add photos, tables, graphs, animations, videos, sound and more to interest your audience. Informational talks before a group Homework projects Slide shows Kiosks Other tasks…Use your imagination!

Getting Started Open PPT program (Start Menu>All programs>Microsoft Office>MS Office PowerPoint) Then start a “New Presentation” ( Click “File” then “New” or use the “New” icon at upper left.) Check out the program’s tools, such as….

The Work Area

Toolbars: Standard and Formatting

Task Pane See more options in drop-down menu

Tabs for thumbnails or outline of slides

Drawing toolbar

Getting Started One of the best ways to learn is by experimenting! Don’t be afraid to make mistakes. Keyboard shortcuts are time-savers! Control C = Copy Control V = Paste Control S = Save Control X = Cut Control Z = Redo (My favorite)

Adding Images and Animations Choose file type you want to add from the “Insert” command in the menu line. Navigate to the file wanted and click “open”. Right click image to format your pictures.

Adding Images and Animations It’s the same for animations and other formats… Choose file type you want to add from the “Insert” command in the menu line. Navigate to the file wanted and click “open”. Right click image to format your pictures.

Click “Insert” on top menu and choose “Object” from drop-down list. Check box to “Create new” or “Create from file” and navigate to locate that file. In this case, I browsed to a “PowerPoint Show” in a.pps format. Adding PowerPoint presentations or a “show within a show”

Transitions between slides Choose “Slide Transition” on the task pane for action between slides. Other options include speed, sound, and manual or automatic advance. Apply to all slides if desired. The options are staggering, but it’s best to show restraint!

Little Tips &Time Savers SAVE OFTEN! Save all files for one show in one folder Before editing a slide, make a duplicate Right-clicks provide lots of options Learn “sweet spots” for commands and right-click menus EXPERIMENT!

And remember …. Less is more! PowerPoint backdrop should enhance, not overwhelm, your show’s content.
