 New CIO Training Phase III: Verification Errors and Uploading Data to Level 1

Module Data Needed in Level 1 For Our First Submission  First Data Submission Due Date: 10/31/2011  Modules:  Demographics (a.k.a. Student Lite) : All student records  Enrollment (a.k.a. Entry/Exit) : All student records  Program Fact (a.k.a. Program Services) : All program services, except CTE  BEDS Day Snapshot Records : BEDS Day Snapshot Records (all classified students who were enrolled on BEDS Day and receiving SE services)  Assessment: August 2012 Regents Assessments

Uploading (L1-Data Prep) Rules:  Run ALL verifications errors FIRST before starting to upload data (Reports/Demographics/Run Verification Errors)  Correct ALL Verification errors before starting to upload  After verification errors have been corrected, upload modules in this order: 1. Demographics 2. Enroll. 3. All Program Service Categories (check all option) 4. All Assessment Categories (check all option) 5. BEDS Day Snapshot

Import Error & Verification Error Review  Import Errors: Module-specific errors. When importing demographic files, you get demographic-only import errors. Clear import errors immediately before continuing.  Verification Errors: After all files (demo, enroll, PS, BEDS Snapshot, and Assessment) and all import errors have been cleared – run your verification errors. These errors are more sophisticated and are not module-specific (For example: verification errors look at enrollment records, and identify an error in Demographics)

How to Run All Verification Errors First Without Uploading  Run verification errors for ALL modules and correct these errors before uploading: 1. Go to “Reports” 2. Choose your module (i.e. Demographics, Enroll, etc.) 3. Click the button “Run Verification Errors” 4. When ALL verification errors have been corrected, you can begin to upload (L1-Data Prep)
