WSAMA Board Meeting MRSC-WSAMA contract

MRSC-WSAMA Contract Amounts Year Contract Payments 2017-2019 $21,300 (adjusted per CPI each January; current payment $23,142 ) plus $3000 travel expenses plus waiver conf. registration for MRSC legal consultants ($1,410 value) 2014-2016 $14,700 (adjusted per CPI each January) 2004-2015 $13,000 MRSC-WSAMA Contract Amounts

MRSC Service Hours FY 2018-19: 150 hours of support – a $20K value - provided for Board Meetings/Association Development at no cost to WSAMA (Flannary’s time) Plus 431 hours of support - a $38K value. Current contract is $23K. MRSC Proposal Looking to bridge the $15K gap needed to make MRSC whole PROPOSALS Savings Notes 1. Transition to conference app instead of manually designed and printed handbook. App will save MRSC ~$5K annually in staff time. Fee for app is $1.5K per conference. Printing costs for handbook were approx. $1.5K per conference. 2. Transition to providing Legal Notes online only instead of printing hard copies and saving materials to flash drives. MRSC: $0 WSAMA: will save $4,000 annually in printing costs. 3. Transition work from MRSC to the WSAMA board (see next slide) Transition could save MRSC ~$5K annually in Aimy’s time Transition could also save MRSC ~$1K annually in Flannary’s time 4. Increase contract payment by $5,600 Primarily funded by Legal Notes savings. (No conference fee increase needed in 2020.)

Items to Delegate Speaker/Moderator/Education Coordinator Aimy: 35 hours/conference Flannary: 5 hours/conf Assist Flannary with confirming speakers January/February, July/August Create and send printable PDF schedule to MRSC to upload to website Work with MRSC to set deadlines for speaker materials July, February Contact speakers about deadlines for material (bios, written materials, slide decks) MRSC needs the materials at least two weeks in advance of the conference to post on the app. Collect and track materials and send to MRSC for conference app. Follow-up as needed August-September, March-April Collect AV needs from speakers Inform speakers about comp rooms, comp registration, and reimbursement as necessary September-October, April-May Send completed list of speakers, bios, and session descriptions to MRSC for conference app Send MRSC outstanding speaker materials after the conference to post on website October, April/May Select and confirm moderators. Update moderator packet with site-specific information, bios and agenda. August-September March-April
