Well-Being Icon How to Use This Presentation The graphics below are designed to help you navigate through each presentation. The navigational guides require a single mouse click and are located on the left side of each slide. There is a Contents slide with hyperlinks to topics covered in each presentation that may be helpful if a review of a specific topic is desired. To print the PowerPoint presentation, right click anywhere on the slide and choose Print. To view a full-screen slideshow, right click anywhere on the slide, scroll down to the line that says Full Screen, and left click to choose that option. To return to the original view, right click on the slide and choose End Show or hit the Escape key (Esc) on your keyboard. 4 4 To insure that every client receiving services through the Department of Children Services has a complete record of all services they received, the TNKids Icon DCDC Services will be re-labeled Well-being Services. The Well-Being Services Icon will be available in all clients records in TNKids, regardless of intake type. The users will begin adding services that begin as of this release and will not need to enter any services provided prior to the release. THIS ICON IS TO BE USED ONLY BY THE FSS FUNDING UNIT TO ENTER SERVICES THAT ARE PAID FOR WITH FSS MONIES REGARDLESS OF FUNDING SOURCE and Independent Living skills information will be completed by IL specialist. The FSS funding units will be responsible for entering all non- TennCare services that are paid for with FSS monies for every child regardless of intake type. NOTE: Well-being services are those services provided that are not considered TennCare Services. Well-being services are not medical or mental health related services. Medical/Mental Health Services will be captured in the Child Medical module of TNKids and remain the responsibility of the case manager Well-Being Icon Overview

5 5 The user will begin by double clicking on the Well-Being Icon. This Icon is available for all clients regardless of intake type Well-Being Icon Adding a New Service

6 6 If the client is currently not receiving any services, the screen will be blank as shown above Well-Being Icon Adding a New Service

7 7 The user will right click and select Add Client Service Well-Being Icon Add New Service

8 8 A new window will be displayed. In this window, the user will enter the required information for the service that will be provided Well-Being Icon Add New Service

9 9 The user will select a Service Category from the drop- down list Well-Being Icon Add Service Category

10 Here the user has selected the Service Category. Now the user will select a Service Name from the drop- down list. This is a required field Well-Being Icon Add Service Name

11 The user is required to add the service Begin Date. This date cannot be a future date but may be a date prior to the current date. This date can be changed as long as the case is open. After a case is closed, only the users FSA can make corrections. The End Date will be updated when the service is ended. A case cannot be closed if the end date has not been entered Well-Being Icon Service Begin and End Date

12 The user will then select the Service Facility Name. This field is a free-from-text field. The user is required to enter either a Service Facility Name or a Service Provider. It is recommended that the users enter information into both of these fields if it is available Well-Being Icon Facility Name

13 The user then enters the Service Provider Name. This is the name of the person who is performing the service for the client. To enter the provider name, the user will click on the Ellipsis button as shown above. If the user enters the wrong name inadvertently, he or she can click on the Clear button to remove the name from the field. The user is required to enter either a Service Facility Name or a Service Provider. It is recommended that the users enter information into both of these fields if it is available Well-Being Icon Service Provider Name

14 The Person Search window will appear. The user is required to search for the name he or she has entered Well-Being Icon Service Provider Name Search

15 The user may select a name from the search results and click on the OK button. If the persons name is not displayed, then the user will click Cancel and enter the person into the database Well-Being Icon Service Provider Name Search

16 When the user clicked the OK button, the name was entered into the field. This name will be available to the user for a period of one year or until the case is closed. Service Provider Name Well-Being Icon

17 The user is now required to add the Provider Address. The address is entered by clicking on the Ellipsis button as shown above and searching for the address Well-Being Icon Provider Address Ellipsis Button

18 The Address Search window appears. The user will enter the address and click Find Well-Being Icon Provider Address Search

19 The user will select the correct address from the list and click OK. If the address is not listed, the user will click Cancel and enter the address Well-Being Icon Provider Address Search

20 After the user clicks OK, the address will be populated into the Address field. If the user has entered an incorrect address, he or she may click on the Clear button and enter another address Well-Being Icon Provider Address Field

21 The user will then enter the provider telephone number and fax number if available Well-Being Icon Provider Telephone Number

22 The user will then enter in the Comments field why the service is being provided, when and where it was identified as a needed service and by who. NOTE: This is a Required Field and this information must be entered for all services. The user will then click on the OK button Well-Being Icon Comments Field

23 The services provided are located in the Service Name list to the left. When the user clicks on each service, the information for that service will appear on the right side of the screen Well-Being Icon Service List

24 To delete a service, the user will right-click and select Delete Client Service located below Add Client Service Well-Being Icon Deleting a Service

25 A pop-up window asking the user, Are you sure you want to delete this service? will appear. The user will click on the Yes button Well-Being Icon Deleting a Service

26 The screen will then be updated to show that the service is no longer being provided Well-Being Icon Deleting a Service

27 The Well-Being Services Icon will be available in all clients records in TNKids, regardless of intake type. This new Icon will serve as the location in the clients TNKids records where Funded Well- Being services will be stored. The FSS Funding Units will be responsible for entering all Funded non-TennCare services that every child receives regardless of intake type. Well-being services are those services provided that are not considered TennCare Services. Well-being services are not medical or mental health related services. Medical/Mental Health Services will be captured in the Child Medical module of TNKids and remain the responsibility of the case manager Well-Being Icon Summary
