PV2020 @ CERN Brief Update – April 2019

Reminder – Goals @ PV2019 Attract more scientific communities Broaden information exchange, sharing of experiences, tools and even services Keep in step with (or ahead of) funding agencies / policy makers in their push for LTDP & OD

Done Dates fixed (12 – 14 May 2020) Rooms booked (CERN main auditorium & Council Chamber) Preliminary budget based on morning / afternoon breaks & sandwich lunches  registration fee of “only” CHF 200 Plan breaks & poster session in the area between the 2 meeting rooms Main restaurant, bank, post office, travel agent etc. in the same building Contact with PASIG (to avoid date clashes) & iPRES2019 (synergies?) No vendor sponsorship foreseen so far

Todo (2/2) Confirm Local Organising Committee & Tasks, e.g. as per LISA manual: The Local Organizing Committee's primary responsibilities are all on-site arrangements and logistics before, during and after the meeting. Most of the tasks are carried out in close cooperation with the SOC and/or FOL. Specifically, the LOC sets conference dates and fees verifies that meeting rooms, including technical support and equipment, are available arranges potential lodgings (if possible at reduced group rates) distributes announcements (with SOC), takes care of publicity, prints the program booklet, designs and prints the conference poster, hosts the conference website arranges social events (refreshments during breaks, reception, conference dinner) and field trips obtains local financial support and merchant/vendor sponsorships including goodies for the 'welcome bag' organizes registration and other administrative details including guidance and signs at the conference venue provides city maps and tourist information explains how to reach the conference site from the airport and train station takes care of the general 'running around' and problem solving at the time of the meeting hires a photographer does the post-meeting clean-up including return of equipment, payment of outstanding bills etc.

Tentative Schedule – Day 2 As Day1 but 3 keynotes: beginning of morning, beginning of afternoon and end of afternoon (after panel discussion # 2) Possible plenaries include ARCHIVER, XDC, … Can we get EU to give a keynote? Portal demos? (optional) Conference dinner (extra cost)

Summary We are just over one year away from PV 2020 Everything seems on track so far(?) But now the real work begins… What has been forgotten?
