United Way of El Paso County 1/15/2019 Campaign Guide 2017 - 2018 United Way of El Paso County

Introduction Dear Campaign Coordinator, 1/15/2019 United Way of El Paso County (UWEPC) appreciates your time and dedication in helping with the annual campaign. We want to do all we can to help you make this campaign successful. Without you, we could not fund the programs that provide much needed services that help strengthen our community. In this guide, you will find tips and techniques that will help you enhance and promote your campaign. You can download additional copies of this guide from our website: http://www.unitedwayelpaso.org/campaign-toolkit. Be sure to let your co-workers know about our website – it’s a great way for them to learn about United Way of El Paso County. On our website you will find facts, success stories, sample letters, creative campaign ideas and much more! Next to your UWEPC campaign staff, this campaign guide is the easiest and quickest way to get tools you can use. Again, thank you for helping empower our community by leading your workplace campaign.

1/15/2019 Running the Campaign Objective: To encourage your co-workers to participate in creating a stronger community by planning, coordinating and implementing an effective United Way of El Paso County workplace campaign. This person is a leader and motivator among their work peers.

Responsibilities Attend Campaign Coordinator’s Workshop 1/15/2019 Responsibilities Attend Campaign Coordinator’s Workshop Work closely with United Way resource development staff to create an effective campaign plan Recruit a campaign committee from key areas of your organization Coordinate the distribution of campaign materials and collection of pledge cards Coordinate campaign kickoff and recognition events

Responsibilities Promote the campaign and publicize results to all employees Encourage volunteerism among your co-workers Thank donors and volunteers for their generosity Complete your campaign by giving a final report to your United Way contact

Getting Started If this is your first year coordinating a campaign, meet with former campaign coordinators to exchange notes and best practices. Set up a meeting with your UWEPC representative to analyze past results and identify areas of opportunity. Create a timeline and prepare in advance.

Steps to Success 2. Obtain CEO/Senior Management Involvement 1/15/2019 Research shows that visible support of top management is crucial to the campaign. Keep them involved by asking them to: Announce your role as Campaign Coordinator and Committee Members. Obtain CEO letter to send out. Appoint next year’s Campaign Coordinator to work with you. This will ensure a smooth transition each year. Send a personalized letter or e-mail endorsing the campaign prior to the kickoff.

Build a Strong, Diverse Campaign Committee Recruit a team from key areas of the organization including marketing, community relations, human resources, payroll, finance, information technology and retirees.

Steps to Success 4. Develop a Plan 1/15/2019 Steps to Success 4. Develop a Plan Decide on a theme, activities, incentives and a thank you event. Use United Way’s “Fun-draising” guide for new ideas. Develop a detailed timeline and calendar to identify target dates. Determine dates and locations for the employee presentations and identify who is going to speak from your organization.

Build Momentum Use as many of the United Way branded tools as possible - pledge cards, posters, brochures, etc. Become a Fan of United Way of El Paso County on Facebook and Twitter, and share it with your co- workers. Keep the campaign fresh in everyone’s mind by using e-mail blasts.

Steps to Success 6. Conduct an Educational Campaign 1/15/2019 Steps to Success 6. Conduct an Educational Campaign Schedule a meeting for every employee to attend. Follow-up with individuals who haven’t turned in a pledge form to ensure everyone has been offered the opportunity to give. Share stories about how UWEPC touches lives in our community. Use sample e-mails and letters crafted by UWEPC.

Steps to Success 7. Successfully Wrap Up Your Campaign 1/15/2019 Collect pledge cards from employees. Keep one copy for your payroll department and send one copy to UWEPC. Schedule a wrap-up meeting with your UWEPC representative to review the campaign. Complete and sign the Campaign Report Envelope. If there are any additional donations after the final report has been turned in, contact your UWEPC representative for pick-up. Ensure all checks are written to United Way of El Paso County. Conduct a thank you activity for employees. Announce final campaign results and significant achievements. Recognize your committee for all of the hard work they’ve put into the campaign.

Helpful Hints Welcome your audience. Share any brief, positive, personal experiences you have had with United Way. Give a brief presentation about the importance of supporting our community through UWEPC. Invite UWEPC staff to thank and educate your employees. Introduce and show the campaign video. Pass out pledge cards and emphasize deadlines for returning them.

Helpful Hints Ask those in attendance to contribute. Be prepared to answer questions. Thank everyone, even non-contributors, for their attendance and contributions. The employee rally doesn’t necessarily require its own meeting time. You can easily build it into a regularly scheduled meeting by asking for 10-20 minutes on the agenda.
