Federal Graduation Rates and Academic Success Rates Reporting Division II Federal Graduation Rates and Academic Success Rates Reporting

Overview Abbreviations and Definitions Why Is This Important? Cohort Definition Quiz Importing From ATS to Grad Rates Portal Questions

Academic Performance Census (APC) Annual collection of academic data on D2 student-athletes Mandatory since 2008 Longitudinal record of academic performance Inform discussion and evaluation of academic policy (e.g., eligibility, transfer requirements)

Academic Tracking System (ATS) Web-based software application developed by NCAA Demographic information, term-by-term credits, GPA, eligibility, retention Enables institutions to: Monitor academic performance and outcomes of student-athletes Submit APC and graduation rates/ASR

Academic Success Rate (ASR) Graduation metric developed by NCAA Considered more accurate than federal rate Includes transfers into institution Includes mid-year enrollees Includes non-scholarship freshmen Removes student-athletes who leave institution while eligible Data collected through graduation rate portal

Cohort – Exclusions – Left Eligible Rate Calculation Federal First-time fall freshmen on athletics aid Graduates Cohort - Exclusions ASR First-time fall freshmen on athletics aid Transfers Mid-year enrollees Non-scholarship SAs Graduates Cohort – Exclusions – Left Eligible

Why Is This Important? Bylaw 18.4.2.2.1: Institutions must submit federal Graduation Rate Survey (GRS) to be eligible for championships Constitution 3.2.4.10: Institutions must submit data needed to calculate Academic Success Rate (penalty is forfeiture of institutional enhancement funds) Sharp decline in Academic Success Rate and different student-athletes in ASR/ATS data

Division II Academic Success Rates

Graduation Rates/ASR Outcomes By Data Type Data Entry Method Left Eligible Non-Graduate ATS Import 21.6% 26.0% Text File or Manual 25.4% 20.8% Note: 2006-07 cohort

First Things First: ATS Important to get the right student-athletes into the ATS system ATS feeds grad rates/ASR portal through an import feature ATS and ASR cohorts are identical, with only two exceptions: Student-athletes in Division I sports Aided student-athletes in non- championship sports

First Things First: ATS Compliance Assistant likely to include more than just ATS/ASR student-athletes Compliance Assistant (CA) Academic Tracking System (ATS) Graduation Rates Portal (ASR) ? = = Note: Div. I and non-championship student-athletes must be added manually

Academic Tracking System/ Academic Success Rate Cohort Definition

Federal Group (Scholarship Student-Athletes) Students who enrolled full time for the first time in the first term of the requested academic year and received an athletics grant-in-aid during that year First-term scholarship freshmen Any amount of aid Must include even if the student-athlete quit the team at any point after the freshman year

Transfers Last attended a two-year or different four- year institution Must receive athletics aid during first term at your institution (otherwise, exclude) Cohort year = first year student-athlete first attended any college full-time

Mid-Year Enrollees Entered your institution as first-time, full-time freshmen after first semester/quarter Cohort year = same as fall enrollees Must receive athletics aid during first term at your institution (otherwise, exclude)

Non-Scholarship Student-Athletes First-time, full-time fall undergraduates No athletics aid On roster or squad list on first date of competition (championship segment)

ATS/ASR Cohort Summary First-time, full-time fall freshmen on aid Transfers receiving aid in first term Mid-year enrollees aided first term Non-scholarship fall freshmen on roster/squad list first date of competition

ATS/ASR Cohort Summary First term, aid status are key Transfers, mid-year enrollees must receive aid in first term at your school to be in the ATS/ASR cohort Non-scholarship group must be first-time fall enrollees, on roster for first contest Federal group can get aid in any term during first year (e.g., golfer first receiving aid in spring)

ATS/ASR Cohort Summary Once in cohort, student-athlete stays in cohort regardless of whether they quit athletics or leave school Exclusions (e.g., death/disability, military service) are removed from Federal and ASR calculation Student-athletes who leave school while academically eligible to compete are removed from ASR calculation only

Sport Assignment Single sport Multi-sport athletes: Aided sport or (if multiple or none) Football or Basketball or Baseball or Cross country/track or Choose ‘primary’ sport

Quiz: Question #1 A freshman football player (non-scholarship) participates in preseason practice but leaves school during the week before the first game. Is he part of the ATS and ASR cohort? Answer: No. To be part of the cohort, a non- scholarship freshman must be on the roster on the first date of competition in the championship segment.

Quiz: Question #2 A female equestrian student-athlete enters a D2 institution as a first-time fall freshman and receives athletics aid during her first semester. How is she reported in ATS and ASR? What if she had not received aid? Answer: She is excluded from the ATS but should be entered into the grad rates portal as part of the federal group for ASR. If she had not received aid, she would have been excluded from both.

Quiz: Question #3 A freshman softball player (non-scholarship) practices with the team during the fall, participates in fall contests, but quits the team February 7, two weeks before the first game. Is she in the ATS and ASR cohort? Answer: No. She was not on the roster on the first date of competition in the championship segment of the season, so she is not in the ATS/ASR cohort.

Quiz: Question #4 A track student-athlete transfers to a D2 school and receives athletics aid during his first term. After competing for a year, he quits the team. A year later, he leaves school with athletics eligibility remaining. Is he part of the ATS/ASR cohort? If so, will he count as a non-graduate? Answer: He is in the cohort because he received aid his first term. If he would have been academically eligible when he left school, he is categorized as “left eligible,” not a non-grad.

Quiz: Question #5 What is the federal graduation rate? Student Type In Cohort Enrolled Graduate Exclusion Left Elig. Federal 52 10 30 2 Two-Year Xfer 5 3 Four-Year Xfer 1 January Enroll. Non-Scholarship 28 7 13 What is the federal graduation rate? Answer: 60% [30÷(52-2)]. What is the Academic Success Rate? Answer: 67% [50÷(100-25)].

Quiz: Question #6 What is the federal graduation rate? Student Type In Cohort Enrolled Graduate Exclusion Left Elig. Federal 52 10 30 2 Two-Year Xfer 5 3 Four-Year Xfer 1 January Enroll. Non-Scholarship 28 22 What is the federal graduation rate? Answer: 60% [30÷(52-2)]. What is the Academic Success Rate? Answer: 50% [40÷(100-20)].

Quiz: Question #7 A male practice player for the WBB team receives athletics aid during his first term on campus (first-time, fall freshman). He quits midway through the season. Does he stay in the federal group? Answer: He was never in the federal group. Male practice players should not be included in any ATS or ASR reporting, even if they receive aid.
