What is Presentation Software? An application program that facilitates preparation and presentation of information in the form of slides Standard Features East preparation of slides On-screen slide shows Preparation of speaker notes & handouts Slide animation

The PowerPoint window can be Viewed in a variety of formats depending on what you are trying to do Normal View – a combination of the slide, outline pane & notes view pane. The relative sizes of can be adjusted as needed Slide Sorter View – shows thumbnails of all slides making it easy to rearrange the order Slide Show - shows the presentation on screen w/o menus Note Pages View - shows slide on top and inserted notes on bottom Master View - Used to set presentation defaults – heading fonts, footers, logos etc. To change views - use the view buttons on the bottom of your screen of the View Menu

Slide Outline or Thumbnail Pane The PowerPoint Normal View Slide Outline or Thumbnail Pane Slide Speaker Notes

The Outline Pane on the Normal view Using the Outline tab makes it easy to move around lines of text from slide to slide or to promote (demote) text bullets

The PowerPoint Slide Sorter View One or more slide thumbnails can be selected to copy, move, or delete entire slides

The PowerPoint Notes Page View This view allows the user to enter speaker and/or audience notes that do not appear on the slide but can be printed out for reference.

Views used for setting presentation defaults The Master Views can be used to set defaults for all slides – Slide Master, Handout Master, Notes Master Views used for setting presentation defaults Formats - Print fonts, pitch, and styles, borders for: Title Boxes, Text Boxes Multiple levels of bulleting Headers & Footers Input header/footer in Master view but must apply them from the View Header/Footer menu Default Slide Objects lines, text color, object backgrounds

Editing PowerPoint Objects: Each “box/shape” is an object boxes may or may not have line around them The default text boxes do not have lines and have “autowrap” features similar to word line spacing Each object is independent Change fonts, styles (for the object or part of the object) Move location Change colors, outlines, fill Click on an object to select it – use the sizing handles to Modify the object size or click on the border to move the entire object.

Objects from other files can be placed into your PowerPoint presentation Clip Art Graphics files Text and tables from Word - using copy/paste EXCEL spreadsheets - using copy/paste special (“embed” or “linking” feature) Charts - using copy/paste special (“embed” or “linking” feature)

Simple Copy/Paste for Sharing Data Works within an application or from one application to another Copies the text or graphic Retains no connection with the source application or data When you use the paste tool with out specifying how you want your object copied – PowerPoint will select an option on its own

Object Embedding Select the Paste radio button and the MS Excel Worksheet Object to embed a worksheet Embedding copies objects such as Excel charts/worksheets in its original source application format. If you double click on the object, it allows you to edit the object using the Excel features (displays Excel menus) Since it is a copy of the object, editing the object in PowerPoint does not change the original source.

Select the Paste link radio button – to link the two objects Object Linking Select the Paste link radio button – to link the two objects Object Linking sets up a “link” to the object in the source document. The object will be displayed in the target document The “linked copy” cannot be modified independent of the original object. All changes made to the original object are dynamically reflected on the “linked copy”.

Slide Build Effects: Tools - Animation Slides build one object at a time Remove or dim objects after they’ve been shown you can phase in text by clicking or pressing return one line at a time

Some notes about Saving and Printing File-Save Menu allows for alternative formats of saving PowerPoint ‘97, or older versions As a presentation Other formats File-Print Menu gives options for printing one slide per page multiple slides per page slides and notes together
