Healthcare Management THE FUNCTIONS AND STYLES OF MANAGEMENT BY KATIE MOULTON

Agenda The Five Functions of Management  Planning  Organizing  Staffing  Leading  Controlling Management Styles  Directing  Delegating  Discussing

Planning Function Planning is a management strategy used to foresee the future. Strategic planning takes the company one step further by using a strategic plan to meet its goals. Three popular approaches to strategic planning are:  Situation-Target-Proposal  The Draw-See-Think-Plan  SWOT analysis (Strengths, Weaknesses, Opportunities, and Threats)

Organizing Function The manager ensures appropriate tasks, authority, and resources are assigned to qualified staff. Organizations have different structural styles for making decisions and issuing orders. The structural styles are:  Tall  Flat  Centralized  Decentralized

Staffing Function A manager must determine the staffing needs of the company. The manager must determine the level of staffing by analyzing the work levels of the company. The manager must determine how to recruit staff and who to recruit. The manager will need to determine the skill set needed and the best place to market for that skill set. In addition to recruiting staff, the manager will need to determine if there are training needs and how to provide that training.

Leading Function Good leaders possess the skills needed to role model and provide guidance to their team. There are various leadership styles  Autocratic leadership style - useful when quick decisions need to be made by an expert  Democratic style- useful for motivated and creative teams with equal levels of experience Positive motivation can be a useful tool for any leadership style.

Controlling Function The control function determines if the performance level meets the standards set by the company. The control function can also modify a plan to meet the changing needs of the company. Controlling ensures the planning goals are being met by measuring performance and outcomes against the desired goal. The four elements in the control function are:  The characteristic or condition to be controlled  The sensor  The Comparator  The Activator

Directing Management Style Directing style overview:  Communication-tells the employee what to do either verbally or in writing  Coaching- tells the employee what they need to change and may demonstrate the desired outcome.  Decision-making- figures out what the problem is, reviews the options and provides the solution to employees.  Recognition- occurs when the manager praises the employee for following instructions and completing the task.

Delegating Management Style Delegating Style Overview  Communication- the manager assigns the tasks and the employee listens to instructions. The employee ask questions to further understand the goal of the task.  Coaching- the manager coaches by asking the employee to provide feedback on their own performance.  Decision-making- happens as the employee works through their assigned tasks  Recognition- occurs through praise and rewards for successful completion of the task.

Discussing Management Style Discussion Style Overview  Communication- manager facilitates discussion either in a one on one session with an employee or in a group setting. The manager asks thought provoking questions to solicit thoughts and feedback from employees. Employees are encouraged to voice their opinions.  Coaching- the manager facilitates a discussion on the employees performance by asking what they did well and how they could have improved.  Decision-making- occurs when the manager and employee(s) come to a consensus to solve a problem.  Recognition- the manager recognizes employees who provide thoughtful and original ideas.
