Pull Planning A Different Way to Schedule Bret Loughridge VP Operations, SR Construction November 19, 2015

Goals For Today Provide an enjoyable presentation. Become acquainted with pull planning. Next steps, what do you do now with this information.

Why do we need a different way? Because the current scheduling process is flawed! – Work hand off is not predictable or reliable (60% of commitments are met). – Scheduling timelines and durations are created usually by those not directly involved with completing the task (managers). – Dates are usually arbitrary (Hurry up and start)

What is Pull Planning & How Is It Different Unlike Julie Andrews we start from a target completion date and work backwards. “Working from a target completion date (milestone) backward, tasks are defined and sequenced so that their completion releases work.” Work tasks, information flow, and material deliveries are planned based on the request (or “pull”) of downstream customers. Workflow becomes more reliable and efficient as the waste of waiting, redundancy, and over processing are eliminated. We get to play with these cool little sticky notes

How Do We Do This Define the completion date. Define the milestones (think small batches) Involving the TEAM and sticky’s define the activities required to complete the work, working backward from the completion date. Define task durations. Be realistic *** Verify logic and sequencing Determine start date based on the above Are there any unknowns that need to add buffer (What are the risks) ** Don’t get wrapped round the axel for what we don’t know. Do a gut check, does this feel right?

Clarifying Semantics Matter We each bring our own meaning to language and experience First Floor Football

THE Sticky Note NAME DURATION # Days Completion Date What you will provide Constraints What needs to be done before you can complete / start your task Promise Requests

Why the sticky note Starts the conversation Identifies constraints Engages the “Last Planner” Determines duration Visual representation Public Pressure Drives friendly competition BENEFITS ADDITIONAL BENEFITS

Rules of the Sticky Note and Pull Planning All work shall be clear as to content, sequence, timing and outcome. Every connection (hand off of work) in the work stream must be direct and there must be a clear way to request action and receive response. The pathway for production must be simple and direct Tasks and completion dates must be negotiated with the “Performer” and “receiver” No one moves someone else's sticky

Keys to efficient Pull Planning session Small batches Detailed information (locations, size crew size etc) Common knowledge of terms (get rid of acronyms or define them) Clear concise Agenda and Milestones Small batches (sequence in small batches) Experienced facilitation Basic layout of what is being pulled Keep it short 1-2Hrs

Next Steps How do we get the task on the sticky completed? (Work register / Weekly work plan) How do we track Monitor progress Measuring success / variance codes Make adjustments as needed, negotiate and re- pull. Practice
