 Project management is the organization and management of resources (i.e. people, information, tools and machines, materials, time, capital and energy) in such a way that a project is completed within defined scope, quality, time, and cost constraints.

 To familiarize students with fundamental concepts of project management.

 Define management as the process of planning, organizing, and controlling work.  Analyze a flow chart.  Use standard symbols to develop a flow chart  Analyze information provided in a graph.  Use appropriate technical conventions and terminology in written and graphic forms including media (e.g., technical vocabulary, symbols).  Research and report on a project management task.

 A large family is planning a reunion that will include a “Family Picnic” at a public park.  Working in pairs, will list ideas for planning, organizing, and controlling 2. resources to ensure a successful picnic. (See Student Resource 3.6.1)

 Planning a family picnic is a human activity that involves carrying out a non-repetitive task.  So we are all project managers!  We all practice project management.

 Management is the process of planning, organizing, and controlling work.  Management is sometimes called “getting the work done through other people.”

 Graphic Organizer is a visual representation of knowledge, concepts, or ideas.  Can you think of a graphic organizer that might be useful in project management?

 A flow chart is defined as a pictorial representation describing a process being studied or even used to plan stages of a project.  Flow charts tend to provide people with a common language or reference point when dealing with a project or process.

 Analyze the flow chart.

 Students, working in pairs, will use the symbols to develop a flow chart for a process they are familiar with.

 Project management includes developing a project plan, which includes :  Defining project goals and objectives  Specifying tasks or how goals will be achieved  What resources are needed  Associating budgets and timelines for completion.

 Controlling costs is a key element of project management.  Explain how the ability to control costs is a function of project duration.

 Project management usually follows major phases  Phases of Project Life Cycle ◦ project initiation ◦ project planning ◦ project execution ◦ project closure

 Initiation-- – Initiation involves starting up the project by:  Documenting a business case  Feasibility study  Terms of reference  Appointing the team  Setting up a Project Office.

 Planning-- – Planning involves setting out the road map for the project by creating the following plans:  Project plan  Resource plan  Financial plan  Quality plan  Acceptance plan  Communications plan

 Execution-- – Execution involves building the deliverables and controlling the project:  Delivery  Scope  Costs  Quality  Risks  Issues

 Closure-- – Closure involves winding down the project by:  Releasing staff  Handing over deliverables to the customer  Completing a post  Implementation review.

 Students will categorize project management tasks.  Student Resource 3.6.3  File on Website

 To control the project effectively, a project manager must exert:  Managerial Control  Cost Control  Time Control  Quality Control

 Consists of:  Exerting overall control over the project  Contingency setting and control  Keeping Within Budget

 Project Managers Should:  If no more money can be found, the budget cannot be exceeded  Least likely to exceed their budget if they believe that no more money can be found  Establishing the right attitude to cost control is important

 Project Managers should:  Set up time control arrangements – time control is not simply preparing a plan  Make management decisions with the benefit of a time forecast  Act early – look for early warnings and make early decisions

 Project Managers Should:  Identify Quality Targets  Implement Quality Control techniques  Monitor the level of deliverable quality

 “project management”  is the discipline of organizing and managing resources (i.e., people) in such a way that the project is completed within defined scope, quality, time, and cost constraints.

 Each Student will be assigned one of the project management tasks from Student Resource 3.6.3.  Each Student will record the name of the person researching each of tasks in Column 4 of Student Resource 3.6.3.  Each Student will develop and deliver a brief (5 minute) multimedia presentation on their topic.
