2015 Chesapeake Bay Area Combined Federal Campaign This is YOUR CFC! Combined Federal Campaign is open to all military and civilian federal government employees. This year’s theme is “Together We Serve. Together We Give.”

2015 Chesapeake Bay Area Combined Federal Campaign What is a Coordinator? Coordinators assume leadership responsibilities and bring together the resources and skillful management to guide the process to successful completion. Coordinators play a central role in philanthropically engaging federal civilian, military, and postal employees in the workplace. Coordinator Responsibilities Attend Coordinator Training Run campaign according to CFC Regulations Recruit an enthusiastic team to help run campaign Work with Loaned Executive and CFC staff to establish campaign goals Work with your Campaign Committee and Loaned Executive to coordinate and plan events Recruit and train Keyworkers who will be responsible for spreading the CFC message, making the one-on-one ask of employees, and following up where necessary. Schedule regular Keyworker meetings and time to report envelopes, especially if your agency is large and the campaign will run for several weeks Publicize campaign through in-house publications, s, letters, posters, campaign video, testimony, intranet, bulletin boards, TV monitors, etc. Identify and resolve campaign difficulties Implement an effective system for processing pledge cards, reporting campaign results and maintaining accurate records Evaluate the campaign and make recommendations for next year

2015 Chesapeake Bay Area Combined Federal Campaign What is a Keyworker? The Keyworker’s chief objective is to ensure quality contact that enables each employee to make an informed decision about contributing to his/her chosen charity. Keyworkers tell the CFC story and make the one-on-one ask for contributions from their peers. Keyworker Responsibilities Attend Keyworker training Attend Kick-Off and or special events Attend all key meetings Advertise the campaign within a particular section, division, or unit of the department or agency, in collaboration with the Coordinator Select and coordinate sites for one-on-one and/or group solicitation meetings Explain the importance of the CFC. Distribute postcards, pledge cards, and Giving Guides Encourage online pledging through payroll deduction Inform employees about online credit card pledges via and clicking the CFCNexus buttonwww.cbacfc.org Help donors access online pledging and/or complete pledge cards Collect pledge forms and cash/checks from donors

2015 Chesapeake Bay Area Combined Federal Campaign What is a Loaned Executive? The Loaned Executive is an employee assigned to the campaign as a liaison to each of the Federal Agencies within a campaign region. The LE’s chief objectives are to provide guidance and support to campaign coordinators in development of timelines, goals and objectives. LEs also ensure delivery of all campaign materials, support campaign events and activities, and collect any paper pledge forms, cash or check where required. Loaned Executive Responsibilities Ambassadors for the CFC Provide Support to Federal Agencies Assist leadership, coordinators and key workers in development of the campaign plan Assist in training for coordinators and key workers Ensure timely delivery of materials and pick- up of pledges Help plan and coordinate events and activities Keep coordinators informed and updated on progress Participate in kick-offs and other events Document Vital Campaign Information Successes, challenges, lessons learned, recommendations

2015 Chesapeake Bay Area Combined Federal Campaign Chesapeake Bay Area CFC Goals 100% ASK BUILDING AWARENESS about the impact CFC donations have on our community. Increase Participation Last year, generous donors contributed over $6.2 million and we know that we can meet and surpass that.

2015 Chesapeake Bay Area Combined Federal Campaign Universal Giving Donors may choose from over 22,000 Charities of their Choice OUTSIDE Their Campaign Area The 22,000 charities represent, health, environmental, social, and humanitarian causes Use Search Tools on Web / ePledging Sites ( to Locate Local Charities Outside the CBACFC Areawww.cbacfc.org Printed Guide will Only Include Local Campaign Charities (as well as National/International) Funds Will be Collected and Distributed by Local Campaign

2015 Chesapeake Bay Area Combined Federal Campaign Fundraising Event Requirements Must have written approval from your legal or ethics office for all special events. All funds collected at special events is undesignated unless a donor wishes to designate their donation using a paper pledge. Undesignated funds are distributed among all organizations in proportion to their pledges. All food and entertainment must be paid out of pocket before event and after event, with receipts, you may be reimbursed from the donations collected. In 2017, per OPM regulations cash will no longer be accepted. It is imperative to encourage online giving via payroll deduction or credit card to prepare for this change. A pledge card will be completed to include the name of the Agency, date and event with total amount and designation to

All Credit Card pledging, regardless of Agency is done via CFC Nexus. myPay Instructions Go to Click “Search Charities” button on left to find charities. Write down the 5 digit CFC code(s) Click “Click Here for myPay Codes” to find your agency/department code. Write it down Click “Pledge Now myPay” to enter your pledge. Note: there is a time limit when using myPay Click on “Combined Federal Campaign (CFC)” in main menu Click on “Add New Contribution” If requested, enter 0405 for the campaign code Enter the amount per pay period to be deducted from your paycheck To select your charities, enter the 5 digit code in the search box Once all charities are selected, enter per pay period amount designated to each charity Complete Personal Information page. For “Command/Unit Name” field, enter myPay Code from above Review, confirm, and submit your CFC pledge

2015 CFC –Chesapeake Bay Area Pledge Card Instructions Please ensure that donors fill in the Pledge Card completely and legibly, using a ballpoint pen so that all information is legible Ensure that the box “Federal Agency and Office” is completed with local information Check the appropriate boxes to receive a donor recognition gift, join the Kennedy Society (Leadership level giving), or receive year-round communications Employee receives the pink copy Coordinator receives white copy and ensures those copies are provided to the payroll office Coordinator receives yellow copy, which is provided to the campaign for processing Make certain the pledge card for payroll deduction includes a signature and social security number. Donors giving by cash or check do not need to provide either. Under the “Charity Code” section- please use only designation numbers for agencies listed in the 2015 Directory for CFC – Chesapeake Bay Area or selected from the Universal Giving list Make sure there are no “scratch outs” and verify pledge card accuracy (total gift amount equals total deduction) ALL Payroll Deductions MUST have authorized signature.
