to the Hubbard 2015-16 School Year!

 If you cannot come in for your library time, please contact the volunteers from your class and see if one of them can cover for you. Most classes have regular volunteers and substitutes.  If you cannot find a replacement, please call the office and leave a message for me.

Library Procedures  Upon arrival, please stop in the office to sign-in and pick up your Visitor’s sticker.  Preparing for student arrival: ◦ Please check the CIRCULATION DESK MANUAL for your class. There will be instructions for set up.

Table colors and the number of students at each table. This is where you will find the section you are responsible for checking Check here to see what’s needed at each table. Report title for overdue slips

Upon arrival, continued:  For Transitional, Pre-K and Kindergarten, please select books from the Pre-Selection Bookshelf (under the fan) and place them on the Selection Table in front of the window.  During the first months of school, 1st grade volunteers will also select books from the Pre-Selection Bookshelf and place them on the Selection Table. First grade will not go into the shelves for a few months.

Hold Cart  Please go to the HOLD Cart and check your grade and locate any books that are on hold for your class. Identify the student’s table, and put the HOLD Book at the table. Please keep the shelf marker in the book.

Checking Books In On the Circulation Computer, click on Check In under the Circulation Tab. Please Check In books using the scanner by the Circulation Desk. Hubbard School Bar Codes can be found on the back cover or on the inside back cover. With each check in, check the screen to be sure the book checked in correctly. Occasionally the scanner does not pick up the Hubbard School Bar Code and it does not scan properly.

 While checking in, you may see the following: If this notification appears, please print a hold notice and place it and the book on the counter to the RIGHT of the circulation desk computer. Please notify me about the book.

After all books have been checked in, please place them on the cart next to the circulation desk for shelving. If any books have been placed by the RENEW BOOKS HERE sign, please renew the books by going to the RENEW tab below the CHECK IN tab and scan the barcode. Keep renewed books by the circulation desk for the students to pick up.

At this time, please print out the report for your class. In Destiny, go to REPORTS and locate your child’s class. Click on RUN to access today’s circulation information.

Once the RUN button has been pressed, a new page will appear to enable printing. You must press REFRESH LIST for the system to process the most current information.

Next, click on the VIEW button and print the report. Transitional K, K,1 & 2 are individual notices, please cut in half. Grade 3 are reports. Please give all to Mrs. Pandise.

 Non-fiction books are shelved using the DEWEY Decimal Numeric/Alpha system.  Please use all the available signage to help you shelve.

 Non-fiction books all have 3 numbers and a letter(s), which correspond with the author’s last name.  Some Non-fiction books also have a decimal point and possibly 1, 2 or 3 numbers and letters after the decimal.  Shelve the numbers smallest to largest and alphabetically the letters after the last number.

Fiction (Chapter) Books  Fiction books have a spine label with an “F” and the first three letters of the author’s last name (F BAR) for Annie Barrows.  Within a series, please shelve them in series order.

 Everybody Reads books have a spine label with an “E” and complete author’s last name.  Keep the authors together & when there is the same last name, use the author’s first name to alphabetize.

Easy Chapter Books  Easy chapter books are shelved separately and they have a unique call number that begins with “EZ.”  Easy chapter books are leveled readers that are shelved in the shelf before the picture books begins.  Please keep series books together, i.e. Henry & Mudge, Biscuit, etc.

Biographies  Biographies are shelved by the SUBJECT’S last name. Their labels have a “B” and the complete last name. In the case of multiple people with the same last name, consider the first initial and shelve alphabetically.

Illustrated Fiction  Identified by an I in a green circle. Illustrated Fiction shelves are located on the left side of the library opposite the library office before the non- fiction section. File alphabetically by author’s last name.

Shelves are on the right side of the library opposite the library office. Titles are filed in the following order: E (A-Z) by the TITLE of the video/dvd F (A-Z) by the TITLE of the video/dvd Dewey Decimal numbers B (A-Z) by the SUBJECT of the video/dvd

When students have finished selecting their materials, they will approach the Circulation Desk with their Shelf Marker and books. Please scan the student’s barcode from the Shelf Marker and keep the Shelf Marker at the Circulation Desk. Double check that the correct student’s name is on the screen.

Check Out Procedures  3 rd grade students are permitted to check out magazines. Please take a MAGAZINE folder from under the Circulation Desk, open the cover and scan the temporary barcode.

Magazines  SCAN BARCODE ON INSIDE OF FOLDER  The message to the right will appear.  Click YES.  Enter the TITLE of the magazine (SI for Sports Illustrated, etc.) and the Month/Year.  Click on SAVE and place the magazine in the folder.

Placing a book on HOLD  If a student forgets their library book, I still want them to browse for a book and place it on HOLD.  Students may place only one book on hold.  Place the student’s shelf marker into the book, with the BARCODE showing and place it on the shelf by their grade.

 When not directly involved with checking in/out and shelving materials, please refer to the SHELF CHECKING SCHEDULE. During your scheduled time, please carefully check the section assigned to your class and correct any incorrectly shelved books.  A mis-shelved book is a lost book .

 If a book is damaged, place it on the HOLD cart on the bottom shelf.  If a book comes in from another library, place it on my desk in the library office.

THANK YOU FOR VOLUNTEERING AT THE HUBBARD SCHOOL LIBRARY. YOUR CHILDREN LOVE SEEING YOU AND I GREATLY APPRECIATE YOUR DEDICATION!
