Virtual Traffic Department ®

Welcome to the Virtual Traffic Department ® client tutorial. We hope that this tutorial will help to familiarize you and your company with our web-based supply chain management application. This tutorial is designed to give you information on the suite of services that the LTL module contains. This module is centered on the new and improved layout for the Shipment Creation Section. The only requirements for using the VTD are: Internet Explorer 6.0 (IE 7 is preferred) Adobe Acrobat Reader 8.1 1

Virtual Traffic Department ® Please use your Username and Password as supplied by you’re company administrator and click “Log In Now”. If you have forgotten your password, you may enter your e-mail address in the box, click “Retrieve Password” and your password will be sent to the e-mail address contained in your user profile. 3

Virtual Traffic Department ® Once you have logged in successfully, you may now choose from the menu options provided. For this tutorial, we will focus on the Create Shipments Section that will allow users to utilize the latest in web technologies (AJAX) which will streamline the shipment creation process. Let’s begin by clicking on the “Create Shipments” link in either the left navigation menu or the button located at the top of the page. 4

Virtual Traffic Department ® 13 Once you have completed the shipment, you may now create another shipment. Once you have entered a shipment in the system and it has been tendered, your “Dashboard” is now updated to show your shipment. If you click on the BOL Number (VTDxxxxx), you will be taken to the pdf version of the Bill of Lading. You are also presented with the most recent status message received from the carrier for that shipment. This dashboard is continually updated, as our system swipes all of the carriers servers every 60 seconds to look for new status messages. Now you can have all of the necessary shipment information just short mouse click away.

Virtual Traffic Department ® 6 Let’s begin by entering the Header Information (Pick-up & Delivery locations, Reference Numbers and Special Instructions). Once you have entered your information, click ‘Continue’. *In the case of the Shipper Form, the system recognizes that this is an Outbound Shipment, therefore we utilize a pull-down menu of your shipping locations to help cut down on unnecessary typing. For the Deliver Location, you can either use the pull- down to access your Consignee Address Book, or you can enter the information into the fields provided. You can then add the consignee to the Address Book by checking the Radio Button (Global = All locations can use the new address, Local = Only this shipping location will have access to the new address).

Virtual Traffic Department ® 7 Once you have clicked ‘Continue’ the system refreshes the screen to show your entered information, and presents you with the next section (no more having to go through 5 different screens to complete a shipment). Enter your Line Item Details in the new section. If you have a master item list, we can upload into the system and then you can use the “Default Items” pull-down to pre-fill those fields. Click “Add Item” to add the item into the system, or you can always Queue the shipment for later completion.

Virtual Traffic Department ® 8 The screen refreshes and now indicates that your line item detail has been added to the system. At this time, you can add another line item, queue the shipment for later completion or continue to the next section. Also, at this time you can edit the line item that you previously entered by clicking the “Edit” button. Let’s click ‘Continue’.

Virtual Traffic Department ® 10 You are now presented with the selected carrier, plus the option to change the carrier by clicking the “Edit” button. You may now queue this shipment for later completion, or you may tender the shipment for pick-up. Let’s tender this shipment.
