3 3 Viewing Your Incomplete Chart Status from the Message Center PowerChart Message Center Sign into PowerChart Message Center to see all items that need to be completed: n Orders to review and approve n Documents to Sign or Review n Documents to Create n Paper Based Documents to print and sign n Saved Documents to be completed and signed Note: Message Center contains the most up- to-date list of items needing completion.

4 4 Viewing Your Incomplete Chart Status from the Portal Physician Portal The Physician Portal displays a ‘dashboard summary’ of items to be completed Green items for patients still in-house Yellow outstanding but not yet delinquent Red delinquent items Note: this view is updated three times daily. More recent activity (items added or completed) can be viewed in the Message Center.

6 6 Signing Orders from the Message Center Orders Orders section lists orders that need to be reviewed or approved Open each order to approve or refuse it

7 7 Signing Documents in Message Center Sign Sign section provides a list of electronic documents to be signed Highlight the Sign section to display the list of documents Double click each patient to open the document

8 8 Signing Documents in Message Center (cont’d) Once opened, the document is available to review and sign. If no changes are needed: Verify the Sign button is selected Click OK & Next to sign this document and open the next document on the list.

9 9 How a Signed a Document Appears The electronic signature is added to the document

10 10 Viewing the Action Status Window The Action Status Window can be accessed at bottom of every document. It displays the following Actions: n Perform = User who created document n Sign = User who requested a signature on the document n VERIFY = Signature request completed and document has been authenticated. n Modify = Changes made to body of document

11 11 Document Status Document status in the document tree can be viewed using the color legend

12 12 Modifying a Document before Signing If you think a document needs to be modified before you sign it, you can open and review the patient’s chart directly from the Message Center To do this, highlight the patient’s name in the toolbar.

13 13 Modifying a Document before Signing Physician Workflow Then go to the Physician Workflow screen to research items of interest To get back to document, press the Message Center button.

14 14 Modifying a Document before Signing If changes to the document are needed, right-click in the document window and select Modify or click the Modify icon on the toolbar. Make the changes to the document. Verify the Sign button is selected. Click OK & Next to sign this document and open the next document on the list.

15 15 Forwarding a Document before Signing Prior to signing, a document can be forwarded to another provider for review. To do this: Select Forward Only In the dropdown box, choose Review In the To: field, search for or enter the recipient’s name Note: If the document was sent to you to sign in error, REFUSE the document using the instructions that follow

16 16 Forwarded document in Action Status Window To see who received the forwarded document, review the Action Status. The Action of Sign and Action Status of Requested indicates there is a pending signature request for the document. The recipient of this request displays in the Performed By field.

17 17 Forwarded Document Signed The forwarded request to sign has been completed by the attending physician.

18 18 Refusing a Document If you do not want to sign a document, you can refuse it: Select the Refuse button Select a Refuse Reason from the list provided Add a Comment (optional)

19 19 Refusing and Forwarding a Document If you do not want to sign a document AND you know who should sign it, you can Refuse and Forward it to the correct provider To do this: Select the Refuse button Select a Refuse Reason from the list provided Select Additional Forward Action In the dropdown box that follows, choose Sign In the To: field, search for or enter the recipient’s name Add a Comment (optional) sign x

20 20 Documents to Create The Documents to Create area lists reports or content the provider needs to create or add to the chart. These are also known as “Anticipated Documents” Documents can be created within the provider Workflow or directly from the Message Center Ex. To create a Dyn Doc Note, double click on patient name

23 23 Completing Created Documents from the Work List Once your document has been created, click the Complete radio button to remove the item from your Message Center work list. Note: Do not remove the item from your worklist until the document has actually been created. Otherwise, you will no longer be notified although the chart is still incomplete.

24 24 Completing Paper Based Documents Paper Based Documents are paper documents that reside in accessANYware. This work item requires a handwritten signature. The document can be printed from accessANYware and signed. Fax signed documents to HIMS Chart Management at 733-1410

25 25 Completing a Saved Document Saved Documents are provider created reports that are incomplete and have not been signed If further documentation is required, modify the document. Then choose Submit To complete a Saved Document, press OK & Next

26 26 Modify a Signed Document Once a document has been signed and removed from the Inbox, changes may still be made by opening the patient’s chart and selecting the Documents tab. Highlight the document on the left side of the screen. Click the Modify icon on the toolbar or right- click in the window and select Modify.

27 27 Modify a Signed Document A copy of the document displays and an addendum can be added to the bottom of the document. Once the addendum has been added, select Sign.

28 28 Modify a Signed Document A message then displays at the top of the document indicating that an addendum has been added. The Status shows the document is Modified.

31 31 Portal Display: List of Documents to be Completed Charts will display based on outstanding age – oldest charts will appear first You can sort the list by any column by clicking the up/down symbol next to the heading.

32 32 Completing Your Charts from the Portal The patient name is also a link. If you already have PowerChart open, you can click on the patient’s name and be automatically taken to that patient’s chart in PowerChart. In order for this to work, you must have Powerchart already opened. If Powerchart is not open, nothing will happen when you click on the patient’s name.

34 34 Sending a Message to HIMS from the Message Center To send a message to HIMS: Highlight the Messages area in your Inbox Then choose ‘Communicate’

In that form, do the following: 1.If your message pertains to a particular patient’s chart, choose a patient from the PowerChart Search window to include in the message. 2.Enter HIMS, Analyst as the message recipient 3.Type your message 4.Click Send when ready 1 2 Type your message here. 3 4

36 36 To send a chart completion message to HIMS from the Portal, click the Email link found at the beginning of the line item Sending a Message to HIMS from the Portal NOTE : email messages to HIMS will not be available for Verbal Orders
