Office Suite Recommendation the “white collar” productivity revolution By David Heise Monday, December 11, 2000

2 Technology, Change and Progress A university should be a place of creativity and innovation. In the age we live in, this cannot be done credibly without partnering with technology. This compels us to equip ourselves with the most cost effective technology tools our resources can provide us with. “White collar productivity” is seen as the next frontier that needs to be addressed by the appropriate application of technology. That is the objective of this recommendation.

3 Recommendation That Andrews University standardize on an office productivity suite to be used for “office work”, after studying usage patterns and preferences on campus, and considering viable options.

4 Component Corel (or alternative)Microsoft Word processing WordPerfectWord Spreadsheets Quattro ProExcel Presentations PowerPoint Database ParadoxAccess Email None (Netscape Mail)Outlook Calendar NoneOutlook Browser None (Netscape)Internet Explorer Suite Components

5 The Process 1.Conduct a survey to determine current usage of each of the above components 2.Meet with schools and support departments to gather input 3.Choose an office suite to be used as the standard

6 The Process (cont.) Determine a strategy for the future Do not convert static legacy documents Convert others on an as needed basis Write new documents using the standard Develop a training program Develop a support strategy with a timeline for phasing out old software

7 Rationale for choosing Microsoft 1.Market share 2.Desktop Integration  Productivity 3.Collaboration 4.Knowledge Management 5.Desktop Administration 6.Active Directory 7.Corel’s Future

8 1. Market Share Dominated by Microsoft This is what our graduates will use This is what future employees will use This is how collaborators share Higher education is moving this way (see http://www.andrews.edu/its/policies/office/index.htm)http://www.andrews.edu/its/policies/office/index.htm The Andrews campus is moving this way

9 2. Desktop Integration  Productivity Seamless integration between desktop elements word-processing, spreadsheet, presentations, browser/web, email and calendar, database “Office work” efficiency/productivity can increase Cut and paste between browser – word processor – spreadsheet preserves formatting Integrated email sending, collaboration routing, modification tracking, sharing via the web The Campus is already using some of these pieces (e.g. PowerPoint, Access) Survey to determine extent of re-training needs

10 3. Collaboration Shared authoring, change tracking Puts us in line with most off campus colleagues Active Directory (for portal single login, etc) and Windows 2000 provide many groupware extensions Document sharing as email attachments, shared web folders etc

11 4. Knowledge Management Microsoft provides an inexpensive, integrated data warehousing solution Our data warehouse is being built in Microsoft SQL Server Excel can be used to analyze “data cubes” in the data warehouse (OLAP) White papers on Microsoft Knowledge Management: http://www.microsoft.com/business/km/default.asp http://www.microsoft.com/business/km/default.asp

12 5. Desktop Administration Windows 2000 Server with Office 2000 offers TCO (Total Cost of Ownership) gains Reduced installation and deployment costs Easier administration of client desktops Self-repairing feature decreases support costs, improves reliability

13 6. Active Directory Provides single login for portal, intranet and web-based applications Provides authentication directory for centralized email and calendar Provides extensions and enhancements for users of Office 2000 and Windows 2000

14 7. Corel’s Future Cut 30% of workforce since summer because of “weak sales, falling stock prices and a botched merger with Inprise-Borland.” MacWeek Aug 15, InfoWorld Sep 6 Microsoft recently bought a 25% non-voting share of Corel, injecting $135M to help Corel’s cash flow. InfoWorld Oct 2 Expectations for Linux are not being met InfoWorld Nov 20
