1 Welcome to a brief overview of the upgraded Education Maintenance Allowance system. This presentation will give you a quick look at the system and will highlight some of the key enhancements that should make using the system easier and less confusing. 2 First, some key points: The system URL will not change. You do not have to do anything prior to using the upgraded system. Press ENTER to continue….. The system uses Roles to determine what a user can do. For schools, there will be a School Administrator role for most operational functions, and a School Approver role to endorse/authorise applications. Your role will be set up to be the same for the current EMA; you do not have to do anything. At a given school, there can be any number of users assigned to a role. You can also be assigned to more than one role (if say you maintain applications and also endorse applications. A School Approver can add or remove users in the School Administrator role at their school themselves. School Administrator School Approver

4 The EMA Home page The EMA Home page has been improved to provide more up-front information. We’ll progressively show you it’s different areas. For larger schools, the Quick Applicant Search can be used to get to an application fast. The menu line will be very familiar…it is tailored to your role(s) in the system. This area: confirms your role(s), lists ‘useful links’ such as SSB, and shows your school’s email and postal address, which can be self- administered. This area shows key dates and rates for the year, and support information. This area summarises Applications that may need your attention. Clicking on the link will show a list of the applications. This area lists all payment batches relevent to your school, and you can click on any batch number to drill down to the payments. This area gives you access to a ‘quick reference’ facility, where you can select an activity and see a brief ‘how to’ about it. Press ENTER to continue….. 5 The Search by Applicant page The Search by Applicant page is similar to the current system but ash some improvements included. A search is automatically done when you open the page! No more strict ‘100 records only’ limit. You can use normal web-style paging to move through all your applications in pages of 100. You can export the results to an Excel spreadsheet. You can search all years, and you can search across years. 75% of schools have 100 applications or less, so they will see all their applications as soon as they open the page! A View link will take you to a page to view or update the application. Press ENTER to continue….. The Search by Student page has similar functionality available.

6 The View Application page The view application page has had many changes but still functions in a similar manner. All information is presented on a single page, including notes and history. You can scroll down to an area or use quick links to get there fast. A new concept of ‘next action’ replaces the old ‘new status’ and will only show actions you can take based on the state of the application. Less confusion! 7 The View Application page Scrolling down, we see the student information. Non-Government schools will see the full six student lines available for data entry. No more Add/Save repetition. Government schools will be able to search for and select multiple students easily. Eligible Period is a new concept and allows you to tailor payments to periods attended. 8 The View Application page Scrolling down again, we see the Payment information. ALL PAYMENTS for the application are shown - both parent and school payments. Cancelled cheques and corrected EFT rejections will be shown to give a full historical picture. All activities for a payment (such as lost/replace) are available in the Next Action selection at the top of the page. Press ENTER to continue…..

9 The View Application page Scrolling down some more, we see the remaining information: Notes History Quick Reference. Notes can easily be added. More detailed history is maintained. Quick Reference allows you to easily see how to perform a task without leaving the page. Press ENTER to continue…..

10 And finally….. Adding Applications can be done from scratch or by copying a prior year application in the same way as now, but adding students is simpler. Standard Reports will be available and work much the same as now. There are more options to export to Excel and PDF. There will be automated email notifications for things such as new CRN failures, new duplicates detected, new CASES21 discrepancies. DEECD Head Office can also send bulk email reminders to schools who are late doing endorsements and authorisations. Schools can self-administer their school’s mailing address for cheques and their school email (for notifications). The system is much faster when searching and viewing.
