3 What is RATE? RATE is a web portal for managing training schedules, registrations, and resources. 2008: Built in-house by GCM Developed to manage research related training 2-3 departments drove the initial requirements Limited features RATE - Managing Your Trainingrate@vanderbilt.edu

4 Today: Maintained by OCM & OSP Completely rebuilt in 2012 Many enhancements in the last year Rapidly growing (2 departments added this year) Semi-monthly update schedule Future: Literally updating every area with new features Adding at least 1 more department in 2013 What is RATE? 5 Many of our users have chosen RATE as their primary departmental training tool for these reasons: Open to all Vanderbilt users with a VUNETID Built as a response to department needs, making it flexible without unnecessary features Fast response times for questions, bugs, and updates o RATE@vanderbilt.edu Allows admins to manage users, quickly schedule training, and monitor attendance Provides trainers with a customized dashboard to retrieve information about recent and upcoming sessions quickly Why RATE? 7 Unit/Department: a specific Vanderbilt department (VICTR, Office of Contracts Management, etc) Course: Describes the material covered in a particular subject, defines the target audience, and provides resources related to the subject matter Session: A single training event for a course RATE - Managing Your Trainingrate@vanderbilt.edu Terminology

10 Department Managers Can manage other users’ training registrations Can manage multiple departments Allow managers to view and edit user history, registrations, and mailing subscriptions Note: Departments can have multiple managers. Other Roles RATE - Managing Your Trainingrate@vanderbilt.edu

11 Content Managers Can create new courses and sessions within their department(s) Can be assigned to multiple departments Allowed to upload documents and create links Trainers Any registered RATE user can be listed as the trainer for a session Trainers have the ability to register users and mark attendance for their sessions. 12 RATE provides multiple methods to control your registrations: Limit the number of participants that can register Post the course and provide contact information, but prevent users from registering online Post the course ahead of time and set the date when registrations can begin Require Prerequisites New! Hide courses from public listings o Users must have the session URL to register Registrations RATE - Managing Your Trainingrate@vanderbilt.edu

13 RATE communicates with users via email at key points in the training process: When users create or cancel a registration, a confirmation email is sent All participants receive an email when changes are made to a session If the course defines a post-course survey, a user receives the link to the survey after their attendance is marked Emails RATE - Managing Your Trainingrate@vanderbilt.edu
