18 New Business, Elections: BBA Board Job Descriptions President Preside at all meetings of the Association and maintain order. Coordinate the Association’s activities with the Band Director. Appoint the committee chairpersons, with the exception of Publicity, Fundraising, and Budget. Serve as a member ex-officio of all committees except the Nominating Committee. Ensure that the Association adheres to all Loudoun County Public School policies. Enforce a strict observance of the constitution and bylaws of the association. Serve as chairperson of the Executive Committee. First Vice-President Chair the Publicity Committee. Perform duties of the President in the absence of or at the request of that officer. Perform other duties as designated by the President. Second Vice-President Chair the Fundraising Committee. Serve on the Budget Committee. Perform duties of the First Vice-President in the absence of the First Vice-President or at the direction of the President; or perform the duties of the President in the absence of both the President and the First Vice-President or at the request of the President. Perform other duties as designated by the President.

19 New Business, Elections: BBA Board Job Descriptions Treasurer Chair the Budget Committee. Present the annual budget, as prepared by the Budget Committee, for adoption by majority vote of the Regular Members. The portion of the budget affecting the Marching Band must be approved no later than June of the previous Fiscal Year. The full annual budget must be approved in September. Collect and deposit all funds of the Association. Maintain a full and accurate account of expenditures and receipts. Arrange for disbursement of funds in accordance with the budget or as permitted by special vote. Document each disbursement, including signatures by 2 persons - the Treasurer and one other officer. Present a financial statement at every regularly scheduled meeting and at other times when requested by the Executive Committee. Prepare an annual report at the end of the fiscal year (July 1- June 30). Included in this report shall be an itemization of expenses and profits from each fundraising activity. Maintain accounts of funds held by individual students, and carry said accounts over from year to year. Funds recorded in these accounts are NOT the property of individual students and may not be refunded with the exception of student trip deposits requested for refund before the pre-established cancellation date. Monies shall be carried over in the name of the individual student until the end of his/her participation in the band program. At that time, such monies shall revert to the general treasury. Prepare for an annual reconciliation of the books by the individual unaffiliated with the Assocation selected by the Executive Committee.

20 New Business, Elections: BBA Board Job Descriptions Secretary Keep records and minutes of all executive board and Association meetings. Provide the minutes of Assiciation meetings to the membership through a written report, including a record of all attendees. Monitor the conduct of meetings to ensure compliance with appropriate parliamentary procedures. Keep a current copy of the bylaws. Keep a copy of current membership, with voting rights, as appropriate. Be responsible for all correspondence, and perform other duties assigned by the President and/or the Executive Committee. Maintain a file of all recordings, communications, and flyers. Keep a copy of the Rules of Order (as defined in Bylaws Article V) available for reference at all meetings. Maintain and distribute a membership roster consisting of name, telephone numbers, and e-mail addresses for all members of the Association.
