Throughout the day, Document Accounting monitors activity on your output devices and collects detailed information by individual users, devices or groups. Go to any Print Release device and swipe badge or log in to view jobs in your queue. 1 Print from a PC or mobile device. 2 3 Select jobs you want to Print, Print and Keep, or Delete. 4 Take your documents. 1. The process starts with a user submitting a print job… Print Release gives you the ability to submit print jobs from your desktop or laptop , or from a mobile device that is connected to your corporate network. Print jobs are held in the print queue until you release them. Unlike traditional printing where jobs are pushed to a specific printer and begin printing immediately, Print Release maintains the confidentiality of sensitive documents. 2. Authenticate… Print Release is convenient and adds flexibility. You, or a delegate assigned by you, can release your jobs on any Print Release-enabled printer or MFP on your network simply by authenticating at the device. Authentication and identification can be done using any two of three methods: ID card/badge, User Name and Password, or PIN. Select your documents …to Print, Print and Keep, or Delete Print jobs that you have sent to your queue are displayed on the touch screen. Select the jobs using the touch screen. You can select jobs to Print, Print and Keep , or Delete. Print Release can also be configured to purge all jobs from users’ queues after a specified time period. These delete and purge capabilities are what drive paper savings across your enterprise. Lexmark’s experience has shown that approximately 10 percent to 20 percent of the print jobs that users send are either deleted or purged (never printed). Lexmark Confidential

Integrates with your existing access method for user authentication and identification Supported authentication methods: ID card User name and password or PIN Automatic user registration One of they key elements of this solution is authentication . Print jobs sent to a print queue do not print until the user authenticates at the device. Authentication can be managed in a number of ways depending on the customer’s requirements. The easiest way is badge swipe (proximity card, smart card, etc.) done with a card reader at the printer or MFP It can also be done by entering user name and password, or by entering a PIN number. The solution supports various authentication systems: LDAP – User name and password can be validated against a corporate directory and stored in the solution database. The way it works is similar to printing from your desktop with the exception that you need to first send the document to or open the document in Lexmark Mobile Print. Gives administrators the big picture Understand how much you print Where is the heaviest usage? Where are devices over or under utilized? One of the biggest reasons enterprise customers deploy a print management solution is for the savings it can deliver. Document accounting collects data about all jobs printed, copied, scanned or faxed on your devices and compiles the data in a way that can be easily and meaningfully consumed. IT administrators can track use by individual users, devices or groups, then run reports to get an accurate accounting of activity across their enterprise. Reports can be run for a specified period of time and highlight specific areas such as color printing, the percent of pages being duplexed and even page size – all key contributors to the cost of printing. Premise-based solutions are purchased, licensed, installed and managed in-house by a company’s IT department. This, of course includes hardware, software with periodic updates, and administrative costs. In a premise-based environment, redundancy also is provided by IT, which must purchase additional servers, install the them in separate data centers, and maintain the them for the duration of the solutions lifecycle. Another term you should associate with our hosted deployment method is Software as a Service or (SaaS). Simply put, SaaS can be defined as software deployed as a hosted service and accessed over the Internet. SaaS as a concept is often associated with the application service providers (ASPs) of the 1990s, which provided "shrink-wrap" applications to business users over the Internet. On the technical side, the SaaS provider hosts the application and data centrally—deploying patches and upgrades to the application transparently, and delivering access to end users over the Internet through a browser or smart-client application. A variety of security mechanisms can be used to keep sensitive data safe in transmission and storage. The user accesses the hosted solution(s) on a subscription basis (monthly, quarterly or annually), while the host manages and operates the system and associated infrastructure in a secure data center. This option enables companies to maintain focus on their business and customers, not software support and infrastructure. The ability to operationalize all software- and IT-related expenses — making them measurable and predictable — dramatically accelerates their return on investment (ROI). 18 Deployment Options – Financing and Infrastructure
First let’s discuss the cost allocation differences. In the Premise model, the software budget is spent primarily on licensed copies of "shrink-wrapped“ business software, customized line-of-business software, and server operating systems and licensing. The hardware budget goes toward end-user computers, output devices, servers to host data and applications, and components to network them together. The professional services budget pays for a support staff to deploy and support software and hardware, as well as consultants and development resources to help design and build custom systems. In the SaaS model, servers reside at the vendor's location, and it supports the hardware and software with a dedicated support staff. This relieves the customer from the responsibility for supporting the hosted software, purchasing and licensing server software, and for purchasing and maintaining server hardware. Moreover, applications that are delivered over the Web or through smart clients place significantly less demand on a desktop computer than traditional locally-installed applications, which enables the customer to extend the desktop technology lifecycle significantly. The end result is that a much larger percentage of the IT budget is available to spend on software, typically in the form of subscription fees to SaaS providers. Lexmark Confidential
