4 Slide 4 Session Segments Presentation During this live session, Cathy will demonstrate how to run and customize both the Summary of Gross Salary (Combined) report and the Employee Master Data by Date report. 10 Slide 10 How to Access Analysis Click Open Analysis from BW News page on the Enterprise Reporting tab to open the BO Launchpad

11 Slide 11 Find an Analysis Workspace Users can locate a workspace by drilling down through the folders under Enterprise SAP BW Alternatively today, we will use the search function to locate the Summary of Gross Salary (Combined)

12 Slide 12 Search for an Analysis Workspace Click the Search tab on the left bottom corner of the Launchpad Type in all or part of the workspace name This search is NOT case-sensitive

13 Slide 13 Search for an Analysis Workspace Click the magnifying glass to run the search A list of reports containing your key words will appear

14 Slide 14 Search for an Analysis Workspace Find the workspace you are looking for and double-click it For future reference, the location of the report is listed below it

15 Slide 15 Open the Workspace A new tab will open and a prompt screen will appear

16 Slide 16 Prompt Screen Fill in all mandatory variables – designated by an asterisks * Fill in any additional optional variables to retrieve just the data you are looking for You can either: Type in the value Select a value from the member selector

17 Slide 17 Prompt Screen Fiscal Period = 4/2013 to 5/2013 Business Area = 170 Check “Save Prompt Values” Click Ok

18 Slide 18 Review Report Layout A workspace has 3 main sections Data panel Layout panel Results panel Each section can be closed to provide more space on the screen Sections can be re-opened at any time

19 Slide 19 Report Layout – Data Panel The left hand section is the Data panel It contains the free characteristics that can be added to the report

20 Slide 20 Report Layout – Data Panel The Data panel can be closed by clicking the double arrows It can be opened by clicking the Data button Clicking the Prompt button will reopen the Prompt (variable) screen

21 Slide 21 Report Layout – Layout Panel The middle section is the Layout Panel It show the rows, columns and background filters displayed on the report

22 Slide 22 Report Layout – Layout Panel Close the Layout panel with the X in the upper right corner It can be opened by clicking the Layout button from the toolbar

23 Slide 23 Resizing Panels The panel can be resized by dragging the right hand side

24 Slide 24 Report Layout – Results The right section is the Results panel It displays the resulting data from executing the report

25 Slide 25 Scrolling Use the scrollbars at the bottom to view all the characteristics and key figures

26 Slide 26 Scrolling The scrollbar on the right is used to view all the data in the report Note: Data is not broken into pages like BW Report Center

28 Slide 28 Adding Characteristics Click and drag Employee to the rows in the first position

29 Slide 29 Resize Columns Resize the column to display all data

30 Slide 30 Remove Characteristics Drag Auth-to-Date out of rows

31 Slide 31 Filter Key Figures Filter key figures to show only salary Right-click the Key Figures Select Filter  By member…

32 Slide 32 Filter Key Figures Uncheck everything except Pay Period Salary Amt Click OK

33 Slide 33 Filter Data Filter the data to show specific items Right-click the Cost Center you want to keep Select Keep Members

34 Slide 34 Save Report Save the report to you favorites Click the down-facing arrow next to the save button and select Save As…

35 Slide 35 Saving Favorites Workspaces are saved under a user’s favorites folder Give the workspace a meaningful name Click the Save button

36 Slide 36 Retrieving Favorites Workspaces can be retrieved from a users favorites area Go to the My Documents tab  My Documents  Favorites Double-click a workspace to open it Workspaces can be further organized into sub-folders

37 Slide 37 Find an Analysis Workspace Click Folders Drill down to Human Resources  Personnel Admin Double-click to open Employee Master Data by Date

38 Slide 38 Prompt Screen Fill in all Required Variables Employment Status – 3 (change to Equal) Organizational Unit – 10001101 (change to Equal) Personnel Area - * (change to Equal) Key Date – 20140701 Check Save prompt values with workspace Click OK

42 Slide 42 Auto Update Click Auto Update to pause the refresh Result area will turn gray Add, remove and change column order Add Date of Birth (after Personnel Sub area) Remove Org Unit Remove Next Review Date Remove Employment Status Move Date of Birth after Employee Group Filter on Employee Group = Full Time Click Auto Update to refresh report data

44 Slide 44 Save Favorite Click the down-facing arrow next to the save button and select Save As…

46 Slide 46 Email Favorite Send report to other users via their BI Inbox Click the down-facing arrow next to the email envelope Select SAP BusinessObjects Inbox

47 Slide 47 Email Favorite Enter a JHED or partial JHED for the user Click the binoculars icon

48 Slide 48 Email Favorite Click to highlight the user Click the right-facing arrow to move to Selected Recipients
