1. What Qualifies As E-Waste? Cleanlites defines E-Waste generally as various electronic equipment found throughout a facility or office. 6  E Waste is not light bulbs, ballast, mercury containing devices or batteries (although if electronic items still have batteries in them it is OK to keep them there)  E Waste is not the batteries sent to Safety Kleen, these items should not be co- mingled.

1.1 Kraft IS : What Is E-Waste? Flat screen monitors and displays, CRT’s, TV units UPS battery packs & adapters Computer accessories and peripherals: docking stations, mice, power adapters, keyboards, various chargers Tapes Hard drives, disks (CD, DVD, floppy discs); CD and DVD players Phones and phone systems Cables, cords Non-Ricoh printers, copiers, fax machines, MFD (multi- functional devices) and plotters from HP, Lenox, IBM, Xerox and other manufacturers Used toner cartridges Other misc. non-IT electronic equipment such as clocks, radio, microwaves Non-HP leased computers purchased by Kraft from Dell or IBM 7 Kraft IS Has Detailed this list of E Waste:

The Leased equipment must be returned to the vendor.

2. Scheduling a Pickup  Schedule a pickup by going ONLINE to kraft.cleanlites.com (there is no “www” before the web URL) you should save this address in your bookmarks: kraft.cleanlites.com *Instructions will also be in the E Waste Information Package mailed to your facility. 9 http://kraft.cleanlites.com

2.1 Scheduling a Pickup  Scheduling will be done completely online.  Go to kraft.cleanlites.com (there is no “www” before the web URL) you should save this address in your bookmarks: kraft.cleanlites.com *Instructions will also be in the E Waste Information Package mailed to your facility. 10

2.2 The Order Form  Fill out the order form as completely as possible. If an item is not relevant you may leave it blank. *Instructions will also be in the E Waste Information Package mailed to your facility. 11  The “Other” box is where you denote the need for asset serial recording. Serial # recording is provided at a charge ($5 per item). Requesting serial # recording should be restricted ONLY to sensitive data containing devices i.e. hard drives and tapes.

2.3 Inventory of Items  We ask that you give us the best estimate for number of items.  Items will be weighed and counted by Cleanlites Reps upon arrival at our facilities.  The most important part of the form is the estimated weight and number of pallets. *Instructions will also be in the E Waste Information Package mailed to your facility. 12

2.3 Submitting  Hit submit once you have filled out relevant forms.  If you hit it by accident that’s ok just fill out the form again, the first form will be ignored. *Instructions will also be in the E Waste Information Package mailed to your facility.  A receipt confirmation will be sent to your email address and a copy will be sent to Kraft IS 13

2.4 Pickup Coordination & BOL  A Cleanlites rep will call or email to coordinate a pickup date and time that is mutually agreed upon by both parties  After pickup is scheduled, a Bill of Lading (BOL) will be emailed to the SSE Manager for the driver.  SSE Manager or Shipping/Receiving Manager must have the BOL ready to go for the driver, otherwise the driver will not accept pickup. 14

2.4 Pickup Coordination & BOL 15  Cleanlites uses our own fleet of trucks for shipments within 200 miles of our facilities. For all other shipments we rely on Third Party LTL Carriers.  The companies used are likely to change but the driver will always have the BOL to show at the security gate for entry.

3. Containerization & Safety These containerization and safety notes will be included in the E Waste Package and at kraft.cleanlites.com 16  The “E Waste Safety & Containerization” link on the website is where you can view the E Waste Safety & Containerization policies covered in the following slides.

3.1 EHS Guidelines  There are no National E Waste Safety Regulations currently in place,  Using our provided labels will ensure compliance in all US states.  Some states treat E Waste as Universal Waste, others do not, our labels cover all of these states. No additional paperwork is required by SSE Managers. These containerization and safety notes will be included in the E Waste Package and at kraft.cleanlites.com 17

3.2 Packaging Basics  Materials should be as organized as possible in terms of type of waste (computers, phones, appliances etc.)  As mentioned before, a rough count is required but a full inventory will be performed by Cleanlites employees upon arrival at our facilities. These containerization and safety notes will be included in the E Waste Package and at kraft.cleanlites.com 18 Items in our warehouse properly segregated by type

3.3 Using Gaylord Boxes  The best option for packaging e waste is by 3ft Cubic boxes or “Gaylords” on pallets.  E Waste can be stacked, placed, or tossed into these boxes and filled to the top.  We highly suggest in cases of more than 1 pallet, that all pallets are at least 3ft tall. Multiple small lightweight pallets are very expensive to transport These containerization and safety notes will be included in the E Waste Package and at kraft.cleanlites.com 19

3.4 Using Shrink-Wrapped Pallets These containerization and safety notes will be included in the E Waste Package and at kraft.cleanlites.com  Stacking larger items and shrink- wrapping them is an acceptable alternative to gaylords  It is important that the shrink- wrapped items are roughly the size of a gaylord (H=3’ L=4’ W=4’).  If you have a few big items and many small items, it is OK not to segregate and instead throw them all in a gaylord box. 20

3.5 The Universal Waste Label  This is a sample of the Universal Waste Label which we will mail to all Kraft locations.  The labels will be premade for each facility to include the facility’s address.  The labels sent to you will have this option checked off: “Universal Waste – Electronics for Recycling”.  Two labels must be attached to all containers at the time the e-waste is first introduced into the container.  Every container on every pallet must have two labels. The shipment cannot leave the facility unless it has this label.  The label should be applied to the container, so that it is visible. 21

3.6 Filling Procedure  Before introducing any waste to the pallet, peel and attach two labels to the gaylord.  Make sure they are still attached at the time of pickup  If more labels are needed, you can use the online order form to have more mailed to you. 22

3.5 The Wrong Pallets 23 These pallets do not get good grades:  Items are not segregated  Nothing is on pallets  Nothing is shrink wrapped  Gaylords are breaking  Some items are loose  No Universal Waste Label  A third party driver would not pick this up instead the driver would leave and cost additional money.

3.6 The Perfect Pallet This pallet gets an A+ because:  Items are in a gaylord  Everything is on one pallet  Gaylord is shrink- wrapped  Universal Waste Label is attached and clearly visible 24

3.6 Ordering Containers & Labels  Cleanlites can provide Gaylord boxes if needed.  The section of the order form titled “containers needed” is where you can order boxes  Boxes are sent via FedEx with a shipping charge  A shipping charge for these boxes will be issued to Kraft IS.  You can also order additional labels using the order form 25

4. Points of Contact 26  Here is where you can find the points of contact information on the website.

4.1 Points of Contact Sheet  Included in the E Waste Package will be a physical copy of the E Waste Contact Sheet.  Cleanlites does not supply specific names because personnel may change and all staff members will be able to answer your questions.  Simply say you’re with Kraft and you have a question regarding a pickup. Cleanlites Points of Contact can be accessed at kraft.cleanlites.com and will also be mailed in the e waste package This is what the contact sheet looks like 27

4.2 Who & When Cleanlites has one primary point of contact and three additional secondary contacts for shipments. You will be provided a breakdown of this list.  Primary contact - for general questions, the same for every SSE manager initial contact  Secondary contact - varies depending on your location and is for shipping/receiving questions and follow-up  Kraft IS – Questions concerning invoices, billing etc. Cleanlites Points of Contact can be accessed at kraft.cleanlites.com and will also be mailed in the e waste package This is what the contact sheet looks like 28

4.3 Examples a.I need to schedule a pickup but I can’t access kraft.cleanlites.com b.I have scheduled a pickup but the truck did not come when I was told c.I am unsure about how my items may be packaged d.I would like a copy of the invoice sent to Kraft Accounting Cleanlites Points of Contact can be accessed at kraft.cleanlites.com and will also be mailed in the e waste package Cleanlites Primary Contact Cleanlites Secondary Contact Kraft IS = = = = 29

5. Billing & COD Information  Cleanlites will invoice Kraft IS with a PO# provided by Kraft IS. The same PO will be used for all E Waste Pickups Nationwide  Cleanlites Will E-Mail Certificate of Destruction(COD)/Bill of Lading (BOL) and Invoice to Kraft IS and to the SSE Manager. All three of these will be one PDF.  SSE Manager shall keep COD for their records 30

5.1 Specific Charges  Kraft IS has agreed to pay for e-waste costs. Charges incurred by Kraft IS will include:  Shipping Costs  Serial Recording ($5 per asset)  This should be used only on sensitive data containing devices i.e. hard drives and tapes  CRT Disposal (15c per lb)  Shipping for Containers  Leaded Glass Recycling (present in some microwaves)  Please note that while Kraft IS is providing payment, SSE Managers should do their best to keep costs efficient.  Pricing is based on $ per 1,000 pounds; therefore, MAKE SURE the shipment DOESN’T go over 1,000 pounds to keep costs down. 31

5. Billing & COD Information  In the near future Cleanlites Web Portal will allow SSE Managers to see specific breakdowns of their recycling history, metrics, and prices.  This change will be coming mid 2015 and Cleanlites will make sure that all pertinent customers are aptly trained.  For now, the copy of the COD sent to SSE managers is detailed enough. 32
