It is divided into different sub-systems to support various departments in record handling on a common interactive platform. 3 This sub-system facilitates the enrollment transactions of the university. 4 EDP Department will build-up templates which will be used during enrollment EDP - University Profile - Classrooms - Fees - Courses - Subject Offerings - Curriculum - etc… This sub-system facilitates the enrollment transaction of the university. It has the capability to build up and maintain records that will be used prior to, during and after the enrollment such as university profile, classrooms, templates of tuition and miscellaneous fee, courses, subject offerings, etc.

5 The main concentration of this sub-system is to register, control, and assess students. Sample Process : Issuance of Student Number REGISTRAR The Registrar will issue student number generated by the system to the students who wish to enroll

6 It has also the capability of checking the conflict on schedule of subjects, room assignment and faculty schedule during controlling and assessment. COLLEGES College Department controls student based on the advised subjects After controlling the subjects, fees will be assessed and an assessment form will be printed and issued to student for payment. 7 It generates different reports such as assessment of fees, section list, class list, enrollment statistical report, student account such as balances and other school related reports. Sample Process : Report Generation COLLEGES Reports

8 Another feature of the sub- system is that all students will be given 72 hours to pay the assessed amount. Failure to pay will automatically delete the student from the reserved slot. 10 This sub-system handles all the payment transactions of the university. Since it was designed to be an integrated application system, students’ assessed fees will be automatically retrieved by the cashier by keying in the student number. At the end of the day, the Cashier generates reports such as Daily Abstract Report and Statement of Collection Report that are submitted to the Accounting Office. 11 One of the best features of SUPREMO is to generate assigned teaching load for each faculty member per semester. The Teaching Load sub-system has the capability to automatically separate the regular load from the part-time load, which depends on the declared official time of the faculty. 12 This sub-system is capable to build-up and maintain employees’ profile as well as their official time, salary details, leave credits, loans and deductions which are used in the payroll and time monitoring system Screenshot of Employee Profile

13 This sub-system monitors the login and logout of all employees - regular and part-time. It uses a smart card and a biometric device to secure the entry of each log. The output of this sub-system is used to generate payroll report. Screenshot of TMS Module

14 This sub-system facilitates the payroll of the employees. It is divided into 4 categories. Payroll System Flow - Regular - Contractual - Part-timer - Student Assistants The output of the Time Monitoring System will be the input of this sub-system to generate Regular Payroll, Contractual Payroll and Allowances of the Student Assistants. While the record stored in the Teaching Load together with the output of the Time Monitoring System will be used to generate Part-time Payroll. 15 This sub-system facilitates the encoding of grades of the students. It allows the faculty to encode the grades of students in subjects included in their teaching load. Once encoded, the faculty prints and submits the Student Grading Sheets to the Registrar’s Office. FACULTY MODULE Screenshot of Grades Data Entry Module

16 This grading system is part in the Registrar Module which only the Registrar has an access to. It is divided into 3 sub-modules: Data Entry, Approval and TOR Generation. When the registrar staff encodes a grade, it will be temporarily stored in the approval list. Only the Dean of SRAS using his own password approves it. 17 The SUPREMO SOS will be migrated to a more sophisticated database platform and the said application will be used and will connect to the SQL Database early January next year. The said project is in connection to the upgrading of the technology used for the last 6 years.

18 Additional features to be introduced will provide requested reports that will be submitted to other government agencies. DBM CHED Other features such as network security protocol will be included and the new platform of SUPREMO SOS will be transformed to a more dependable and reliable SUPREMO Plus.
