6 www.toastmasters.org Pick the date early Club – June to Mid-August Area – July to September Division – July to September Remember: The date is worked backwards from the District Contests and 2 weeks is allowed in between each level of the contests Find a Contest Chair Find a chair even before the date is finalized. Club and Area: Usually someone who is looking for a CL project (#8) and does not want to compete. Division: Can be a High Performance Leadership Project Planning Tips

7 www.toastmasters.org Contest Chief Judge Club: usually someone who does not want to compete. Area and Division: The Division Chief Judge is responsible for these two levels. Provide a copy of the rule book (electronically) to all key roles (Chair and Chief Judge) Download the latest speech kits from Toastmasters International Use a planning sheet with all the required roles filled out Use a detailed agenda Remember to allow for time in the agenda for Award Presentations Remember the Speech Times go an extra 30 seconds. Notify the next level of winners within 48 hours Club – Area Governor/ Area Contest Chair/ Division Chief Judge Area – Division Governor/ Division Contest Chair/ Division Chief Judge Division – District Contest Chair and District Chief Judge Try to have 2 separate toastmasters, one for each contest. This will spread the workload out a bit. Remind the Contest Toastmasters about the 1 minute of silence between speeches. Let the Toastmasters know how much time they have for the interview part of the program. Planning Tips

9 www.toastmasters.org For the Area and Division ask for the following additional roles Chief SAA (Can also act as one of the Contest SAAs) General Volunteers Registration Have a Volunteer Role Sheet for all other volunteers minus the contest roles. Practice speech introductions in a contest format prior to the contest. For example: Speaker – Speech Title – Speech Title - Speaker (Humorous) Speaker – Topic – Topic – Speaker (Table Topics) Planning Tips

10 www.toastmasters.org Remember to try and find new and experienced Toastmasters to fill roles in order to allow for more experience in future contests. Remember even with a contest chair, you are still responsible for the contest and that it meets all the Toastmaster requirements. Planning Tips
