2 ClubRunner What is a Clubrunner Website A large data base of information which is stored and retrieved when required A web portal (not downloaded software) accessible from any computer anywhere when you have internet access available

4 ClubRunner Calendar for upcoming District events Access useful content aimed for club executives and Rotarians Access the publicly available Club and District Info Access links to other websites related to Rotary and District 9780 1-877-4MY-CLUB Our public face

5 ClubRunner Start at the District homepage, located at: www.rotary9780.org Click on the Login link at the top right. This opens Admin Section where all Rotarian only information is accessed Logging In 1-877-4MY-CLUB

6 ClubRunner What does ClubRunner do behind the public pages? Integrates the district database with Rotary International Produces unlimited reports Maintains organizational charts with committee structures Maintains club executive/director listings, Generates password-protected district directories Tracks and report club attendance Sends out targeted and personalized email communication Manages event registration and reporting Allows every club to login and maintain their own information 1-877-4MY-CLUB

7 ClubRunner Once logged in, any Rotarian in the District can: Update their own membership profile View and download district directory reports Search for members in the online directory Register for any District event (if the event is set up for online registration) Access District Committees and view/post info if a member of that committee What can every member do? 1-877-4MY-CLUB

8 ClubRunner Everything a regular member can do, plus: Specify current and next year’s club executives Update their club information such as meeting time, date, location, and website address Report monthly attendance Register members for district events (if event is set up to allow this) Update their club membership listing What Can Club Executives Do? 1-877-4MY-CLUB

9 ClubRunner Member Profile Rotarians DOB and gender are listed here – This is where District Dashboard draws its data from

10 ClubRunner Club Attendance Report 1-877-4MY-CLUB So easy to use, yet many clubs still use pen and paper Fill in the numbers All Clubs are requested to use the District Site to enter their attendance figures, to ensure that the Membership growth or decline is recorded accurately. This is where the District draws its membership data Number of Members refers to final count as of end of month

11 ClubRunner What Club’s Need to do Ensure that ALL their members are listed on the District Site (via member profiles) Delete the names of those who are no longer members (resignations etc) Maintain as complete a record as possible of age and gender of members Update email addresses as a matter of priority

12 ClubRunner All members can download a Word or PDF version of the District Directory, which is generated from all the data on the website District Directories & Reports 1-877-4MY-CLUB IF MEMBER INFORMATION IS KEPT UP TO DATE, THIS DISTRICT DIRECTORY WILL ALWAYS BE CORRECT – UNLIKE THE PRINTED VERSION

13 ClubRunner COMMITTEE FUNCTION Allows you to create user lists across clubs in the district Create email lists Upload and store relevant documents Information only accessible to Rotarians listed as members of the committee (group) Initial set up is via webmaster

14 ClubRunner Committee (or Group) Management Create as many different groups as you need and communicate directly with them through the website email centre. e.g. all AG’s, AG Clubs, AG Services, District Committee’s etc Upload documents Send emails to committee members Create subcommittees 1-877-4MY-CLUB
