TENDER ENQUIRIES Buyer are to provide contractor /suppliers /service providers with: Eskom SHEQ Policy (EPC 32-727) Eskom EMP (TST41-120 (Environmental Requirements for the Procurement of Assets, Goods and Services) 32-726 SHE Requirements for the Eskom Commercial Process (for additional requirements TRM-FM-0081Tender Evaluation form TRM-FM 0038 - Contractor Environmental Compliance Proforma (To be signed by the contractor) This form ensures that the contractor is in compliance and also ensure that its employees, subcontractors and agents comply with, any acts, regulations, local laws and by-laws, codes of practice, South African Standards and Eskom’s SHE policy and procedures which are in any way applicable to this contract or the performance of the services under this contract. 2

3. TENDER SUBMISSION DOCUMENTATION (RETURNABLE ) Copies of the following documentation to be submitted when submitting a tender End of life cycle of equipment (disposal method). Please provide specification for the equipment (inform Eskom of any hazardous components/substances) Energy efficiency Rating (Declaration) must be included (can use or align to international rating) Name and copy of permit of the proposed registered landfill sites to be used for disposal of old floodlights or Identify components that will be recycled and who will be the authorised recycler. Submit copies of recyclers permit. Environmental Management Plan or Method statements addressing all the environmental aspects and impacts associated with project. Please refer to Eskom EMP and section 2 of the tender evaluation form (TRM-FM-0081) Signed Contractor Environmental Compliance Proforma (TRM-FM 0038). SHEQ or Environmental Policy. If the contractor has SHEQ policy, it must also include commitments to environmental compliance 3

TENDER SUBMISSION DOCUMENTATION CONTI- (ISO 14001 Compliance) Supplier can submit existing procedures Communication procedure to ensure effective communication of environmental issues with employees and client during project Internal Audit or evaluation of compliance procedure outlining the process to ensure that internal environmental audit are undertaken during the project, the checklist used, issuing and follow up on actions. Emergency preparedness plans The supplier shall identify possible emergency situations and submit effective emergency preparedness plans for all activities that could result in an emergency situations requiring urgent reaction to avert negative environmental impacts. Non Conformance, Corrective action and preventive action procedure outlining the process which ensures that organization (s) investigate environmental non-conformances to establish the cause and identify the opportunity for improvement. Management Review : Procedure or any other means (project progress meetings) used by the management to review the organization(s) environmental management system performance. Training procedure to ensure that employees are trained on the environmental legal and other requirements. Environmental incident reporting: Procedure which outline the process which ensures that all the environmental incidents during the project will be investigated to establish the cause (identify the opportunity for improvement ) and reported to Eskom Rehabilitation plan – how affected areas will be rehabilitated Energy efficiency – Identify energy efficiency initiative to be implemented during the execution of the project or existing initiative already implemented by the supplier Waste Management Plan - which includes the register of possible waste to be generated by the project, the proposed template for recording waste removed, recycled and disposed during project execution and the name and copy of permit of the proposed registered landfill sites to be used for the project.. 4
