2 October Count 2011 Important Dates this Year: Friday, September 23 through Friday, October 7 Count Window The Week of October 10th Optional Help Session (by appointment) Friday, October 14 th October Count Paperwork due to the Student Enrollment Center by 4:00PM Monday, October 31st Individual student period attendance validating student return if after the window – due to the Student Enrollment Center by 4:00PM

3 October Count 2011 Preparation  Continue to use your Data Quality Reports  Verify schedules Part-Time/ Full-Time status On-Line Education – need to be input into schedule like a traditional class Look at every schedule  Run the Classroom Monitor every day  Make sure to provide alternate ways of taking attendance to substitute teacher  Create your Ad Hoc reports in IC

4 October Count 2011 Preparation  Courses must have a teacher in IC  Courses can have the attendance button unmarked, if they have alternative ways of meeting CDE requirements: Optional courses - e.g. work study courses Post Secondary – transcript required Transitional – contact hours required Concurrent courses – concurrent school takes attendance

5 October Count 2011 Preparation  Make sure all attendance for the window has been entered before you run the attendance reports  Teacher verification – for students with really spotty attendance (Classroom Monitor)  Use the correct date (09/30/2011) when running Period Count in IC  Food Service Ad Hoc – only applies to schools using the Economic Survey

6 October Count 2011 Preparation  Post Secondary Must be entered in the students schedule In order to count the hours towards F/T – P/T funding the course must be approved and paid for by BVSD  Foreign Exchange students Tuition paying - will be sent out by Kim State funded – funding status based on schedule Country of Residence – Provide a list of your foreign exchange students with their country of origin to Kim

7 October Count 2011 Preparation  Homebound – We will contact Registrars directly and review funding codes  Pathways Program – Make sure classes are in the student’s schedule Provide Kim with a list of your students

8 October Count 2011 Preparation  IEP student with part time schedules- contact the SEC to verify IEPs  Truant students can get funded if: The student is in active truancy They have attended the school at least one day this year

9 October Count 2011 Reports (Tuesday, October 4nd)  Enrollment Changes New Enrollments Withdrawals  Must be monitored from opening of window to count day

16 The New October Count Forms for 2011  Wednesday, October 5 th - you will receive your excel workbook pre-populated with your schools data  There will be a data tab as well as an Attendance Worksheet tab for each grade as well as a CDE Summary Tab.  Each grade, PK through 12, has representation in the attendance worksheets. You only need to fill out the worksheets that pertain to your school

17 Your October Count Workbook  Your October Count Workbook will contain a series of tabs which will encompass almost every form you formerly printed out and turned into Student Enrollment Center.

19 Your October Count Workbook (what to do first)  On Friday, September 30th you should print your Enrollment Summary to PDF. Upon receipt of your Workbook you will want to compare each grade level to the totals represented in field 1 (Membership on Count Day) for each of your grade levels.

21  This report will give you your enrollment for the date input into the “effective date” field  Do not mark the state exclude box as concurrent students need to be accounted for and removed in another step.

25 Tab Group 1: The Attendance Worksheet (How to find the Membership on Count Day using the Enrollment Summary Report)  You will want to look for students that have an indicator of absence that covers the entire or most of the Count Day (i.e. all periods)  If a student shows attendance only in the middle of the day, you also need to provide further proof of attendance.

38 Turning in Your October Count Workbook (Sharepoint)  IC reports can be printed to PDF and submitted to SEC along with the completed workbook via SharePoint.  If you need assistance with turning in your workbook, there will be a help session The week of October 10 th. Please email me and we will set up a time.

39 Scheduled Hours  The Scheduled Hours tab of your workbook contains a worksheet which allows you to calculate a schedule in such a way as to determine part time or full time funding levels.

42 November Count Important Dates this Year: Tuesday, October 25 through Tuesday, November 8 Count Window I will provide another workbook solely filled with Preschoolers You will need to fill out the Attendance Worksheets as well as provide all the relevant IC reports. If you have a complete count by the Friday the 4 th please send them into the SEC as the count must be completed and turned into the state without errors by Thursday November 10 th
