2 Objectives In this course, you will learn how to:  Access Self Service  Update and maintain your profile  View academic and other related information through widgets  Stay connected to the outside world with social widgets  Request for academic and other related services through quick links

3 Introduction - Student The iON Self Service application provides you the summarized account of all activities part of the student life cycle such as program details, fee details, exam details, library and other academic. All this can be done online from anywhere and at anytime. With Self Service you can: View/update profile View timetable Download course content Search and reserve library material Request for transport and hostel accommodation And much more…. Let us now see how you can access the Self Service application.

4 Access Self Service Access the iON PVC website and login with your credentials. Note: PVC stands for Professional Virtual Community. It is networking site for iON users. Students can blog, debate, share media and do much more through PVC. Gd Note: This can be a slide show. This will be slide 1.

5 Access Self Service After logging into PVC, click on the Launch drop-down list on the top right hand corner and select Self Service. Slide 2

7 Features of Self Service Self Service comprises of the following features: Profile: You can update and maintain your identity in the system through the Profile section. Widgets: A Widget is a standalone or hosted application that can be installed and executed within a web page. Quick Links: A Quick Link gives you access to avail the services offered by your Institution Let us now look at these features in detail. 11 The Profile section in Self Service allows you to update and maintain your identity in the Institution. You can update your personal and academic details. To update the Self Service profile, click on edit. Gd Note: This can be a slide show and this can be slide 1. Profile WidgetsQuick Links

12 The Student profile section is displayed. Note: If you find any incorrect information that was entered during your admission, you can report it to the authorities for correction. Profile Slide 2

13 You can update your personal details such as your photo, email id, blood group, telephone number and marital status. Click on Save after entering any information. Note: The maximum size limit for photo upload is 80kb. Profile Slide 3

14 You can also update other details such as language, qualification, vaccination and disease history in the tabs available. You can also add rows to enter information under every tab. Click on Save after updating every tab. Profile Slide 4

15 Profile You can change your password from PVC thorugh the Change Password section or from the iON Webtop by selecting Webtop from the Launch drop-down list.

You also have social widgets for your entertainment. 18 Widgets — Social Widgets Social widgets will enable you to access iON services from iGoogle and use iGoogle gadgets from the Self Service application dashboard. You can socialize with the outside world through a single login into:  Facebook  Twitter  YouTube  Gmail  Sports  News …..and much more. This will ensure you stay connected and access information faster by avoiding individual website visits. To learn more about social widgets, please refer to the relevant document in the Job Aids section. 19 Widget Activities To make the best use of widgets, you need to first understand the following widget related activities: 1. Group widgets 2. Add widgets 3. Search widgets 4. Maximize widgets 5. 20 Widget Activities - Group Widgets Group widgets is an activity that needs to be performed in the initial stage when you are about to use a widget. This activity involves creation of a folder to place the widget or widgets in it. You can create as many folders as required. For example, you can create an Academics Folder to store the attendance, timetable and similar widgets together in one folder. You and similarly create other folders for different categories of widgets. Let us now see how a folder is created. Slide show Slide 1

21 Widget Activities - Group Widgets Click Create New Folder button (visible only for the first time a folder is created) available on upper right side of the screen. OR Go to the Widget Gallery. Click Create New Folder from the Add to list to add the widget to a new folder. Slide 2

24 Add widgets: To add a widget to the newly created folder, go to the Widget Gallery. From the list of widgets, select the widget and click on the Add to button. Widget Activities — Add Widgets Features of Self Service - Widgets Slide 1

25 Add Widgets On clicking on Add to, the list of folders will display. Select the folder by checking the box next to it to add the widget. Features of Self Service - Widgets Slide 2 GD Note: Show a student related folder and widget as I used ESS folder and Holiday list widget only for reference.

26 The added widget is now part of the folder you created as displayed on the screen. Slide 3: This will be the last slide of the first slide show Add Widgets

27 Search Widgets: You can search for widgets from the Self Service homepage itself. A Search field is provided on the right hand side. A search list is available to make your search easy and quick. 28 The iON Widget Gallery also offers: Search Widgets 1. Search by Solution name. 2. Search by Widget type (Business and Configurable) 3. Search by Widget/Solution or type of widget. GD Note: Need to have a clickable hotspot for business and configurable widgets. Have put 2 review notes for the content that needs to be displayed. 29 Widget Activities — Maximize Widgets Slide 1 Maximize Widgets: Every widget has a more actions section. To maximize the view of any widget, click on more actions and select Maximize.

31 Export Widgets: The Export widgets feature allows you to copy and save information from widgets. To export information from widgets, select the Export option from the more actions section. 34 Quick Links are designed to meet your educational needs in a quick and simple way. Unlike widgets that provide only information, quick links allow access into select sections of iON solutions for submitting service requests. Note: To hide the quick links, click the Quick Links tab again. Let us now look at a few case studies on quick links. 35 Quick Links—Case Studies Displayed on screen are a few student related quick links. Rahul Mehta, enrolled in the MBA batch at Adhyayan University will use these quick links for his various needs. Click on any of the quick links to learn more. GD: This is like a menu screen, learner can click each of the buttons to learn more.

36 Quick Links - Student The Student quick link is a feature designed purely for student use. You can: View your complete 360 degree profile in the Institute. Upload documents Apply for change in study location Rahul wants to check when his next fee payment is due and also his fee history. He will check this information using the Student 360 Degree quick link. Let us see how he does it. Click on the Show me button to view a demonstration.

43 The Library quick link allows you to search and request for various items available in the library such as books, CDs and journals. You can: Search for Items Check Item Status Reserve Items Give Suggestions Rahul Mehta would like to search for a particular book in the university library without going there. He will do so using the Library quick link and if available, he will place a request to reserve that book for his use. Let us see how it is done. Click on the Show me button to view a demonstration. 44 Library In the Self Service application, select the Library quick link and click on Search Catalogue to search for items.

45 Library – Search Catalogue The Search Catalogue page is displayed. It has various search criteria such as Title, Publisher Name, Author Name and Subject Index. From the Item Type drop-down list, select Books.

46 Library – Search Catalogue After selecting the Item Type as Books, click on Search. Note: For demo purpose, the search has been restricted to books.

47 Library – Search Catalogue The books found under the search criteria are displayed. Select the relevant book to check its details. Note: At any point, if you would like to return to the main screen, click on the Home link. 1 2

48 Library – Search Catalogue Third is Catalog Subject Mapping which has Subject Group and Subject Category of the book. The details of the selected book are displayed under three tabs. First is Author Details which has Author Name and Author Type. Second is Other Information which has Publication Year, Volume and pages. GD Note: Highlight each section as per the numbering order with text. 1 2 3 In order to request for this book, you will need to place a request through Catalogue reservation. Let us see how it is done.

49 Library – Catalogue Reservation Under the Library quick link, select Catalogue Reservation.

50 Library – Catalogue Reservation The Catalogue Reservation page is displayed. Click on Create to raise a request.

51 Library – Catalogue Reservation Select the relevant book from the Catalog look up and the library from Library Name look up and click on Save.

52 A confirmation message Saved Successfully is displayed. Your request has been submitted successfully. You can verify the request details by clicking on Search. Note: There is also a library widget called Issued Items that displays your library transactions. Library – Catalogue Reservation

53 Quick Links—Letter Printing The Letter Printing quick link allows you to request for letters for any official purpose. Rahul wants to apply for a new passport. Along with other documents, he also needs to submit a bona fide letter from the University to the Passport authorities. He will request for a bona fide letter using the Letter Printing quick link. Let us see how it is done. Click on the Show me button to view a demonstration.

54 In the Self Service application, select the Letter Request link under the Letter Printing quick link. Quick Links—Letter Printing

55 The letters available will be displayed. Select the Bonafide certificate for students and click on Request. Quick Links—Letter Printing

56 Enter your comments in the Remarks section and click on Create Request. The system will give a confirmation message that the request is submitted. Quick Links—Letter Printing

57 You can also track the status of your letter request through the Letter Request widget. Quick Links—Letter Printing

58 Quick Links —Academics The Academics quick link allows you to: View Faculty Information View Syllabus Details Download Course Content View Academic Calendar Rahul couldn’t attend lectures due to an illness and wants to cover up for the loss. He will download the notes and other material that was given in the last few lectures using the Academics quick link. Let us see how it is done. Click on the Show me button to view a demonstration.

62 Quick Links —Time Table The Time Table quick link allows you to: View Time Table View Attendance – Slot wise/Class wise View Slots Conducted Rahul wants to know the lectures he has next week. He will access this information using the Time Table quick link. Let us see how it is done. Click on the Show me button to view a demonstration.

66 The Exam & Grading quick link allows you to: View Exam Score Request Re-Evaluation Rahul wants to check his exam score. He will see this information using the Student Exam & Grading quick link. 67 Quick Links —Student Exam & grading To view the exam score, select Process Score View. Note: Capture Score View shows the marks given to the student. Process Score View gives the final score for the exam. For example, Rahul has got 30 marks out of 100 which is his captured score. Later on, he was given 5 grace marks and now his grand total is 35 marks. This figure of 35 marks becomes his final score available in Process Score view.

68 In the Process Score View section, select the mandatory details and click on Show Exam Hierarchy. Quick Links —Student Exam & grading

69 1.Select the relevant exam from the Exam Structure list. 2. Then, select the Subject and click on View Score. Quick Links —Student Exam & grading

71 This completes the course on Self Service. You can now access the Self Service application and perform the various widget activities and request services through quick links. you can also update and maintain your profile in Self Service. Congratulations!
