19 16 Steps to Matching Gift Success

20 Turning Data into Dollars Determine the 10-20 largest matching gift eligible employers of your friends and donors and make your corporate fundraisers aware of that potential revenue stream for when they interact with the companies. Ensure your major gift officers are informed about their prospects who are Matching Gift eligible. Matching gifts and major gifts go together and having knowledge of details like preferred matching rates and if the prospect is a board member of the company is powerful information to add into a negotiation for the next gift.

21 Establish and maintain good follow-up processes for reminding matching gift programs of matches requested and pending fulfillment. –

22 Create awareness and promote your matching gift program by: Including reminders (leaflets/brochures/customized text) on matching gift potential in all appeals and acknowledgments. Highlighting successes where possible. Offering a toll free matching help line or similar assistance to donors who might need help in determining match eligibility. Including awareness copy in all newsletters, emails, magazines. Incorporating an embedded link to website page in all electronic correspondence through which donors can check their matching gift eligibility and possibly obtain the actual forms they need to complete and submit. Using Post-it note reminders from time to time.

23 Be aware of the total matching gift potential for the fiscal year and consistently measure how you are doing. Clearly define staff roles and responsibilities for matching gift solicitation and fulfillment processes. Have clearly scheduled and maintained programs for the collection and maintenance of employer information on your donors and keep it up to date especially on recent donors (last 3-4 years

24 Take advantage of the information you store in your donor database by producing customized fact sheets with the donor’s specific company guidelines and your special message. Send out reminders to those matching gift eligible donors that include matching gift forms and employer update cards. Ensure that your telefund callers have a script for verifying and asking for employer information and reminding alums and donors alike of the possibility of matching gifts; input or import matching data into phonathon software.

25 Keep abreast of current matching gift trends and program strategies by participating in listserv discussions and other educational opportunities. Obtain a copy of Matching Gift Administration as a reference and training guide. 26 Develop a cross functional matching gifts workgroup – particularly effective for larger and more complex organizations where a focus group with members from multiple units can help define best matching gift strategies and processes for the organization. Produce packets with matching gift forms and instructions that can be provided at meetings with potential donors. Thank donors who have secured matches and/or provided employer updates and also companies that make you aware of any changes in their matching gift program parameters. -
