2 PURPOSE OF THIS TEMPLATE When do I use this template? ►At this stage, the Account Director will meet in person with the nonprofit for the first time. How should I use this template? ►This template is intended to guide the Account Director in assessing whether the nonprofit is ready for the Service Grant. ►Remove and customize slides as needed for your particular project. ►Send the final agenda to the rest of your team at least 48 hours before the meeting. 3 VOLUNTEER MANAGEMENT ASSESSMENT ►1-2 weeks prior to the Site Visit, the Account Director should distribute the Volunteer Management Assessment to the Executive Director. Each Nonprofit Team member must complete the assessment prior to the site visit and be prepared to discuss the results with the Account Director during the site visit. 5 MEETING GOALS ►Ensure that the nonprofit understands the Service Grant process including the scope, key deliverables, and approval process ►Decide whether or not to award the Service Grant. If awarded, the Account Director and nonprofit sign the Service Grant Award ►Set expectations and notify nonprofit team of any preparation they should complete ►Discuss the nonprofit’s Volunteer Management Assessments MEETING MATERIALS Quickstart Guide and Service Grant Award, available on Taproot Intranet PREPARATION Account Director reviews and refines blueprint documents, nonprofit’s website and application Nonprofit gathers communication materials for Account Director ATTENDEES Account Director Entire nonprofit team Board member

6 DISCUSSION DISCUSSION POINTS ►Why does the nonprofit need this Service Grant? Is the need clear, well understood, and important? ►What is the scope of the Service Grant project? ►What is the role of the Account Director? What are the roles of each member of the nonprofit team? ►What key deliverables will this Service Grant produce? ►When will we hold the Kickoff Meeting? ►What are the results of a basic assessment? What areas are particularly strong or in need of improvement, according to the nonprofit ?
