3 Intro to ELM - Key Terms  ELM – Enterprise Learning Management  Production – the ‘live’ ELM system  Sandbox – the ‘practice’ ELM system  LMS – Learning Management System  Learner ID – an ELM number assigned to every state employee  Not the same as the state employee ID (Empl ID or SEMA4 ID)  SEMA4 – the state payroll system  Facility – the institution (college campus)  Room – the physical location of training  Classrooms, Computer labs, WebEx (virtual classroom) 3

Navigate to the State of MN Self Service site 2. Enter your State ID# and Password and click Sign In

8 Administrative Portal Navigating ELM: Production vs. Sandbox 8 4. Navigate to the Learning Management-Production folder *Choose Learning Management-Sandbox if you wish to practice procedures before entering active information into Learning Management-Production

9 Administrative Portal Navigating ELM: Production vs. Sandbox  Production:  Blue background  ‘Live’ area (refreshes every night)  Stay in ‘Enterprise Learning Management’ folder  Careful not to change Statewide Settings.  Do not use Folder ‘Set Up ELM’  Sandbox:  Green background  ‘Practice’ area  Wiped clean the first Sunday of every month 9

16 Entering Room Information 4. Select your Building *Tip: click the Description to sort alphabetically *If you need a building added, contact Sarah Bjorstrom 16

17 Entering Room Information 5. Verify: Mail Drop Location, Facility Address, and Facility Contacts *Edit and Save if necessary (Vendor & Organization Name may be left blank) *You may add additional Contacts by clicking the + button and performing a search 17

Enter Room Details Select Room Type Add Room Number (optional: Room Name & Floor Number) Select Room Status – leave as Active Add Max Occupancy – number of seats available in room Select Equipment – if applicable (populate equipment in advance) Select Accommodations – if applicable 20

21 Entering Room Information 9. Click Add Attachment (if you wish to add a map or other details)  Browse for attachment – if applicable  Click Upload to add attachment 21

22 Entering Room Information 10. The MnSCU Learning Environment should always be the Primary Learning Environment  Click OK to Save  *or Apply to remain on the same page and continue editing 22

28 Entering Instructor Profiles 3. Click the Search button to populate a list of existing MnSCU instructors  *If you don’t see the instructor listed, navigate to the Add a New Value tab 28

29 Entering Instructor Profiles 4. Select Add a New Value  a search field will appear with Learner ID “0” 5. Click on the search icon (magnifying glass) to look up Instructor’s Learner ID 29

30 Entering Instructor Profiles 6. A Look Up Learner ID search field will appear 7. Enter search parameters (use full or partial names) and click Look Up 30

31 Entering Instructor Profiles 8. Choose the Instructor you wish to add by clicking on the Learner ID or the Name fields 31

32 Entering Instructor Profiles 9. The Learner ID for the chosen instructor will populate the search box. Click Add 32

Add Instructor Details  Status – leave as Active  Course Item Name - if a course is existing, you may link the instructor to the course in this area  *When creating new courses it is best to add the instructor to the pool first then create the course and link the instructor after the course is active 33

34 Entering Instructor Profiles 10. Add Instructor Details  Facility – use the search icon to find your Institution  *For easy viewing, sort facilities alphabetically by clicking on the Description header  Choose Save to complete entry 34

36 Demo of Creating a Course  Production  Please WAIT to create courses in Production until after in-person training  If you need a course added to ELM before you receive training, email Sarah Bjorstrom to discuss requirements  Sandbox  Feel free to work in the Sandbox and experiment with the features  It is ALWAYS recommended that you test your courses in the Sandbox first until you become a super user 36
