4 4 Using the Rights Management Client The following permission options are available when sending an e-mail: Unrestricted Access – This is the default setting. All e-mails are set up with unrestricted access unless another option is selected. Do Not Forward – This option can be used for confidential e-mails that should not be forwarded to anyone other than the original recipient. This option still allows the e-mail to be printed. Read-only – This option prevents any changes from being made to the original e-mail. This option still allows for printing and forwarding. ReadOnly-NoPrint-NoForward – This option is the highest level of security for an e-mail. Microsoft Windows Rights Management Presentation

5 5 Using RMS in an E-mail with permissions Composing an E-Mail With Permissions To create an e-mail with permissions: 1.Create a new e-mail. 2.Select Permission from the File drop-down list. 3.Select the applicable permission. Select Applicable Permission The status window above the address field will be updated to reflect the permission level of the e-mail. 1.Compose the e-mail. 2.Add recipients. 3.Select Send. 6 6 Using the Client With Word, Excel, and PowerPoint The following options are available in Microsoft Word, Excel and PowerPoint when creating a new document. Unrestricted Access – This is the default setting. All documents are set up with unrestricted access unless another option is selected. Do Not Distribute – This option enables custom read/write permissions to be set up for a document. Read-only – This option prevents any changes from being made to the original document. 7 7 Limitations of RMS The following issues are limitations of RMS for ValueOptions users:  RMS only works with Microsoft Office products – Outlook 2003, Word 2003, Excel 2003, and PowerPoint 2003 are items that can be RMS protected within ValueOptions.  RMS works only with ValueOptions users or those with Windows Live accounts– RMS locked documents can not be used to send to other organizations outside of ValueOptions, unless the target has a Windows Live account and are setup for RMS already proper authentication or support cannot be guaranteed outside of VO personnel however. 8 8 In closing - The benefits of using RMS Today’s easy distribution of digital content allows sensitive information to reach people who were never intended to receive it. Rights Management service (RMS) helps you prevent sensitive information from getting into the hands of the wrong people, whether by accident or carelessness. RMS essentially helps you control your files even after they have left your desktop! Ensure privacy and security with your co-workers on sensitive information files and emails. Restrict e-mail with internal ValueOptions employees to “read only” “Do not forward” or “ReadOnly-NoPrint-NoForward” Restrict Word, Excel, and PowerPoint files read/write ability and email/print possibilities.
