It is everyone’s responsibility to ensure that messages sent internally and externally provide an appropriate level of security, integrity, and privacy. Trustworthy Messaging ensures that: Get and Use a Digital ID Sensitive content is protected. Confidential messages are not leaked. Messages are tamper-free and authentic. Only current and relevant information is available. Employees’ privacy is protected. A Digital ID allows you to digitally sign messages and files, to send encrypted messages, and to read encrypted messages from other people using Secure Multipurpose Internet Mail Extensions (S/MIME) technology. Using a Digital ID with S/MIME assures others that the message they receive is really from you and that it has not been altered by anyone else, and prevents the message from being read if intercepted. To enroll in S/MIME and obtain a Digital ID, go to Insert URL here and add yourself to the appropriate distribution group. Prevent Information from Being Leaked Whether accidentally or intentionally, employees sometimes relay information outside of the intended audience—it may be next year’s budget, trade secrets, or a performance review. Help prevent this by using the Information Rights Management (IRM) tool in Outlook. IRM instantly prevents anyone from forwarding, printing, modifying copying, or even making a screen capture of your message. Digitally Sign Sensitive Documents Let your recipients know that a message is really from you and that it arrived without being tampered with. A digital signature provides recipients with a way to authenticate a message’s Digital ID against a third-party certificate. Encrypt Sensitive Documents Messages can be intercepted, or even accidentally sent to the wrong person. Protect your message’s content by encrypting it. For messages sent internally or externally, as an added safeguard, encrypt by using S/MIME and your Digital ID. In this guide you will learn the best practices for ensuring that your messages are trustworthy.

2 2 of 2 Keep Information Up-to-Date In a collaborative environment, out-of-date documents can cause confusion and incorrect or unnecessary revisions. Avoid this sort of confusion by setting an expiration date and time for messages and their attached documents. When using IRM, the message and any attachments are no longer accessible after the message expiration date has passed. This is useful for conducting polls with Outlook, distributing files that are time-sensitive, and distributing regulatory information. Note If IRM has not been used, the message and any attachments are still accessible after the message expires. Save time for yourself and your team by creating and using a Distribution List (DL) for groups of people that you work with on sensitive documents. Anyone on the DL will be subject to any IRM permissions set by the sender. Use IRM with Distribution Lists
