On opening the ART you must select the option on the top left tab

Your first step will be to enter the clients name, date of birth and Medicare Number (Or DVA if applicable) and aboriginality status

Now choose how to send the IVC (Identity Verification) code. See next page for explanations

Display IVC- This will show the IVC on the page. You must then record the IVC for the client for later use to setup access to the PCEHR. Send IVC to Mobile phone – This will send the IVC to a designated number ** Caution this may take up to 24 hours ** Send the IVC to an email address- This will send the IVC to a nominated email address ** Caution this may take up to 3 hours to be received**

Now ask the client what information they would like to be stored in their records

Finally choose how you have verified the identity of the client

Arrows indicate most relevant to your clients

If you have a formed scanned and at hand you can upload it by pressing attach

Note If you choose not to upload the scanned registration form at that time then your organisation must send or fax it to Human services or retain a copy for three years

Once you have filled it all out you can press submit

Once you have submitted you will now get this confirmation screen

This is what you will get if you ask to display the IVC

This is what you can expect from an email

This is what notification from the phone will look like

Caution The IVC must be activated in 30 days or it will become inactive The clients PCEHR/IHI does not become inactive if they do not use the IVC. If the client has let the IVC become inactive and they wish to get a new one they must call DHS on 1800 PCEHR 1 and request a new one

What does this all mean Once you have submitted the clients details using the A.R.T. they now have an active Individual Health Identifier (IHI). This IHI will allow their PCEHR to be used by any Clinical Information System, i.e. Communicare, Best Practice etc, that is 1.Enabled to use the PCEHR 2.The health organisation is signed up to the PCEHR. Please contact your manager if you have any question about this.
