5 What are the advantages and disadvantages? Advantages: Cost Access anywhere Less computing resources Disadvantages: Need internet! Security Ownership

6 You already use it every day! Your email (UIC email is all on the cloud!) Amazon Kindle Pandora, Spotify, and SoundCloud Google Docs (Office and Adobe are moving in this direction) Facebook and Twitter Citation managers like EndNoteWeb & Mendeley

7 Your Box - Creating a Box Account  To create a Box account visit:  bit.ly/factbox  Choose Chicago campus  Authenticate using your UIC netID & password

8 Box Sync – “Virtual Hard Drive” 1. Go to box.com/settings/sync 2. Log in 3. Download the Box Sync application 4. Follow the prompts of the installer 5. Accept License Agreement terms 6. Choose Finish 7. Enter email & password (associated w/acct.) & choose Submit

9 Uploading Files from Desktop 1. Go to box.com and Log in to your account 2. Click on the New button at the top of the page and click New Folder 3. Click on the Upload button and choose Upload Files 4. Choose your file/s and the folder it should be uploaded to…voila!

10 Uploading Files via Email  Generate an email address specific to the folder you want to send the file to  Great for student papers! 1. Right-click on the folder you want to upload to 2. Mouse over Upload to this Folder & click Email Files to this Folder 1. Pop-up window will appear – check Allow uploads to this folder via email

11 Uploading Folders to Box  Should be able to click dropdown arrow next to Upload & choose Upload Folders, but this can be problematic at times…Java seems to be the culprit  That’s why Box Sync is a life saver!

12 Downloading Files from Box Downloading one file: 1. Click on dropdown menu next to the file & select Download Downloading multiple files: 1. Check off box next to files 2. Go to top bar & select Download

15 Sharing & Managing Files  Couple ways that you can share files/folders  Create a link – Access (level of privacy), Send  Invite collaborators via email (automatic access as collaborators) You can also share from Box Sync (PC)

16 More Management Options  You can choose not to offer your collaborators the ability to share the file/folder further  Hide collaborators  Disable commenting  Disable shared links

17 Commenting & Assigning Tasks  You can comment on any file and tag a teammate whose attention you need (no need to overflow your inbox)  You can directly assign tasks related to any file (with a specific due date)  You can have discussions related to particular folders

18 Version History * If there are various versions of a file, you’ll be able to see that indicated by a little blue box under the file name with the version number (e.i. V29) 1. You can click on the blue version box 2. click on the the downward arrow and select 'File Properties’, then ‘Version History’ from the sub menu. 1. On this pop­up window you can: 1. revert back to an older version of the document by choosing "Make Current," 2. download and older version by choosing "Download," or 3. delete a previous version by choosing the red "X”.

19 Activity in Your Box  Explore toolbar to see all the activity in your Box & more!  Comments/tasks  File movement (including that with collaborators)  All your folders (default display)  Conduct searches  List of collaborators  Box Apps!!!

20 Box & Google Docs 1. Click New button 2. Click New Google Doc or New Google Spreadsheet 3. Create a name for your document and choose Okay 4. Sign into your Google account 5. Choose Grant Access to allow Box to connect to your Google account 6. Start editing!

21 Box & Google Docs  Concurrent editing:  Click the menu button on the right side of the file  Choose Edit from the menu  Using Google Docs to edit other files:  Click the menu button on the right side of the file  Choose More Actions  Choose Edit with Google Docs

22 Giving Access to Your Box Files from a Website The Box Widget allows you to embed folders from your account onto any website, blog, or social networking service that supports HTML embed code. 1. Click downward arrow next to the folder & choose ‘Share’ 2. Choose ‘Embed Folder in Your Site’ 3. A pop-up window will appear with the embed code. You can also choose who can access this folder. You can even preview the embed.
