Distance Education & Document Delivery Basic goals for our Discussion Explain use of Document Delivery for Distance Education Library Services at Portland State University Briefly cover Direct Delivery Discuss your uses of Document Delivery and ILLiad for Distance Education Library Services Discuss enhancements suggestions for the Document Delivery module Cyril Oberlander, Portland State University

Distance Education: Who, What, huh? D.E. Library Services at PSU could be termed… “Premium Service” because we are sending copies or books to our user’s home, free of charge. We manually authenticate to clear our new ILLiad customers. We generally follow a simple policy; if you live further than 10 miles from PSU and you are enrolled in a D.E. course, we will take extra care of you. Differentiating “Premium Service” is almost as tough as finding a budget for this service. Soon… we hope to have a script that uploads our ILS classifying “Off-Campus” Users according to zip code and course data.

Workflow: Distance Education = Document Delivery Borrowing Requests From Distance Ed. Users Auto-Route Document Delivery Requests

Document Del Processing 1 ILLiad doesn’t copy Title as in Lending & Borrowing Modules

Document Del Processing 2 Print Document Delivery Pull Slips Open the Word Template and Merge the dbf file

Document Del Processing 3 Paging Slip Includes mailing labels, etc. Search Stacks Update

Document Del Processing 4 Direct Link to PDF

Document Del Processing is ‘Unparalleled’ Our D.E. users can view all their requests from the website, we can’t using ILLiad’s client, however, there is a workaround. Unable to search Borrowing & Doc. Del. Requests by Username using ILLiad Client

Outside Query to see Borrowing & Document Delivery Use an external query from MS-Access to search ILLiad data tables (Read Only Access) This temporary workaround has benefits into easy querying of all of ILLiad data tables, however, we highly recommend Atlas Systems, Inc. create a User Manager Client application that helps us manage users in ILLiad.

Document Delivery needs parallel processing

Choose one set of terms & commands, etc. standardize labels. Borrowing Lending Doc. Del. Ideas: If we wand in a TN# in the wrong module, can ILLiad pop up a window asking if we want to open the other module? Beyond that, why not let us update stacks search Document Delivery in Lending?

Direct Lending: Shall we give Direct Delivery a try? Double Delivery Dilemma… Borrowing Library Lending Library 1. Request sent to Lending Library 2. Book sent to Borrowing Library Borrowing Library User 3. Book sent To User 4. Book returned To Borrowing Library 5. Book returned to Lending Library 4 Trips

Workflow: Distance Education & Remote Services Are we ready to send materials from the lending library directly to the borrowing library user? Details for one example found at Direct Delivery: http://www.lib.pdx.edu/services/ill/DE/DirectDelivery.html

Workflow: One idea for Direct Delivery uses ‘smart’ shipping systems: FedEx and UPS Borrowing Library Lending Library Request Sent to Lending Library with Direct Delivery Info. Borrowing Library User Book sent to Borrowing Library User ILL# added as Tracking ID#. Ship Email Alert Active. Return Info. & Label included. Email “ILL# received” Update OCLC Check Out Item Book returned to Lending Library (same shipping details) Email ILL# “Returned” Update OCLC Check In Item Can ILLiad/OCLC adopt this method?

Discussion of Document Delivery How are you using Document Delivery Module? What do we want from the Document Delivery Module? Parallel Processing / Interactive Processing with Lending and/or Borrowing. Automated Request Processing to Commercial Document Suppliers. (Why not automate EmailRouting?) Any scripts to run Awaiting Doc. Del. Processing through a check of full-text holdings? Other ideas?

Discussion of Distance Education How are you processing Distance Education / Remote User Library Services? What practices or suggestions do you have for handling remote deliveries? Are you interested in participating in the Direct Delivery Resource Sharing Pilot? Other comments, enhancements or ideas?
