2 Organizing an Event or Activity “Task Procedure”  Ref; Gold Star Manual 411.10 Task Procedure is the whole process by which a leaders makes their reconnaissance, create plans and issues orders to complete a task. It is the primary procedure for planning and organizing a complex event. These procedures ensures that the task is planned and completed in a timely and orderly manner.

3 Sequence of Task Procedure  1. Receive Warning Order – the brief outline of what’s happening.  2. Make quick time appreciation  3. Do a quick reconnaissance  4. Prepare and transmit warning order  5. Receive Operations Order

5 Warning Order  Content: a. What the activity is; b. Who’s involved in the activity; c. Brief description of resources required; d. Place and time that the formal orders will be held; e. Where the group is expected to meet to received the formal orders

6 Time Appreciation  The most difficult element of planning any activity is calculating the time required for each stage.  A detailed time appreciation is calculated starting from when the task needs to be finished. (D Day example – June 6, 1944 beach landings in Normandy)  There are four steps in formulating a detailed time appreciation: –How much time do I have? –What must be done? –How long will each task identified in stage 2 take? –What is the logical sequence?

7 Reconnaissance  After completing a quick time estimate, you will need to do a quick reconnaissance (recce) to get information on the location, routes, environmental dangers, facilities available etc. Often the quick recce is done using maps and getting feedback from others who have been in the area  Detailed recce is your opportunity to study the location and resources in depth.

8 Orders Once you’ve completed the quick recce, you are ready to pass on the WngO (warning order) to your team. Cover just the ‘need to know’ points at this time. Send them off to start working on their job tasks. This allows you time to work out the details from the leadership perspective. 9 Operations Order  Situation: what’s the general issue at hand.  Mission: what are we going to do  Execution: how are we going to do it. a. General outline: b. Grouping – explanation of how teams and individuals will be organized c. Tasks – a detailed breakdown of each individual’s job. d. Coordinating Instructions: timings of phases, routes, areas, safety plans plus, plus, plus

10 Operations Order Service Support – contains all details for support of the activity: transportation, medical, training equipment, food, comms equipment, orders of dress Command and Signals – the chain of command indicating all areas of responsibility. Signals includes code words and emergency response details in the event of a crisis situation.

11 Task  Divide into your groups of four that you will be working on. Brainstorm on some potential ideas for your project and complete the Leadership Checklist top half. Send the electronic copy to your Staff Cadet and to Major McCue. (15 minutes)  Complete a warning order and operations order for the following using the template provided. Warning Order will be completed by end of this class and Operations Order complete for submission next Thursday 20 Sept.  Situation: The School Council has been tasked to organize social events to celebrate holidays and other special calendar days. Valentine’s Day is the next upcoming special day and the students are requesting a dance be conducted.  Mission: …….  Execution…  Service Support…  Command and Signal….
