1 Payroll and Time/Labor Changes Upgrade to Version 9.0 HRMS Unit Liaison Meeting April 18, 2008 AGENDA:  Gross Pay Register (GPR) Access  Time/Labor Changes  Departmental Preparation Before Upgrade

2 Gross Pay Register (GPR) Access  GPRs will no longer be available in Vista Plus after the upgrade  GPRs will be available… Via Corporate Documents in the Payroll Data Warehouse (no fee for Business Objects license and no training required for access) Via Report Manager in HRMS M-Pathways- HEPROD – complete GPR Via UM Reports in HRMS M-Pathways- HEODS using Run Control Parameters – departmental GPR

3 Gross Pay Register (GPR) Access (Cont’d)  Access via HRMS M-Pathways will require a security role and an M-Token Access to the complete GPR via Report Manager in HEPROD and to the departmental GPR via UM Reports in HEODS will be added to the following, existing HRMS M-Pathways security roles at upgrade:  HR APPT VIEWER  HR TOTAL APPOINTMENT VIEW USER  PY VIEWERS  TL TIME ENTRY USERS  HM MAIS SUPPORT STAFF  PY MAIS FUNC STAFF  TL MAIS FUNC STAFF Individuals with these security roles will automatically have access after the upgrade

4 Gross Pay Register (GPR) Access (Cont’d)  New HRMS security role There are 185 current users of GPRs in Vista Plus that do not have any of the listed security roles A new security role, PY GROSS PAY REGISTER USER, will be created and provide access only to GPRs in HEPROD and HEODS New security role not available until mid-June OARS Access Requests must be submitted If the individual does not currently have any M-Pathways security roles, then “Access and Compliance” must be completed (DCE101 in MY LINC)

5 Report Manager – Complete GPR in HEPROD  Access to the complete GPR will be available using Report Manager  Complete GPR will be run centrally and be available for departmental access  Searching the GPR.pdf for specific field values will permit the printing of specific GPR pages  This will not be the same search/consolidation functionality available in Vista Plus

6 Report Manager – Complete GPR in HEPROD (Cont’d)  Report Manager Access path: Wolverine Access  University Business M-Pathways Student Administration & Human Resource Management System  Reporting Tools – Report Manager  In Report Manager Choose the “Explorer” tab Expand the PY Gross Pay Registe section Double click on the appropriate GPR based on date  Click on the.pdf document and use the Search function in the “EDIT” menu in Acrobat Reader to find specific values, e.g. department ID

7 UM Reports – Departmental GPR Run in HEODS  It is possible to run a report that selects a portion of the GPR  This will only be available in HEODS  The following selection criteria will be part of the GPR Run Control Pay Period End Date On-cycle vs. Off-cycle payroll One of the following:  Department ID(s)  Emplid(s)  Project/Grant(s)

13 Timekeeper Access to Gross Pay Data  Departmental timekeepers will continue to have access to Gross Pay data, via 2 PeopleSoft queries, for individuals in their static groups By Emplid: MTL_GROSS_PAY_BY_EMPL By static group: MTL_GROSS_PAY_BY_GROUP

14 Time/Labor Changes  Timekeeper cannot enter his/her own time data, unless department is using self-service New security enhancement paralleling controls recommended by University Audits Time data should be entered by back- up timekeeper or a timekeeper in another department

15 Time/Labor Changes (Cont’d)  Elapsed Time Page renamed “Timesheet”  Timesheet will display full pay period for both biweekly- and monthly-paid staff  Timesheet has hour totals and customizable features  Rapid Time and Mass Time functionality will be eliminated  Field name for “Account Code” will change to “Combo Code” (Shortcode)

18 Departmental Preparation Before Upgrade  Decide which option for printing GPRs best suits your departmental needs  Identify individuals who will need access to print GPRs in HRMS M-Pathways or the Payroll Data Warehouse and process OARS Access Requests  Find data entry solution for departmental timekeepers’ personal time information  Send departmental timekeepers to Time/Labor Interchange (schedule on next slide)
