2 BusinessObjects XI R2 Upgrade February 21, 2007 2 Background May 2006: most recent UL meeting presentation about the upgrade June 2006: we delayed go-live due to critical issues Since then: we worked with the vendor to resolve critical issues Now: we’re moving forward

3 BusinessObjects XI R2 Upgrade February 21, 2007 3 Why Upgrade? Our current version (version 5) is no longer supported Users have asked MAIS to provide Data Warehouse reporting over the Web Note: This upgrade affects only BusinessObjects users – use of the Data Warehouse through any other tool is unaffected.

4 BusinessObjects XI R2 Upgrade February 21, 2007 4 BusinessObjects Version XI Release 2 (XI R2), which includes:  BusinessObjects InfoView: The Web- based interface for running reports  BusinessObjects Web Intelligence (WebI): The Web-based product for creating, editing, formatting, and drilling into reports New Version

5 BusinessObjects XI R2 Upgrade February 21, 2007 5 BusinessObjects moves to the Web  No more Citrix  Log in with Kerberos password – no Citrix password or BusinessObjects password  Available through Wolverine Access  Can use XI R2 from anywhere, e.g., when traveling  User reports are stored within XI R2, rather than on workstation – can run them even when not using your workstation  Users share reports through XI R2 – no need to download them from Web page, network drive, e- mail, etc. What’s New in XI R2?

6 BusinessObjects XI R2 Upgrade February 21, 2007 6 Exporting to Excel exports data from all report tabs at once Mac support using Safari Two types of licenses to meet user needs  Some users only run reports (InfoView only)  Some users create, edit, format, and drill into reports (WebI)  See handout “InfoView and Web Intelligence” What’s New in XI R2? 7 BusinessObjects XI R2 Upgrade February 21, 2007 7 InfoView Abilities Run (including respond to prompts) Print Save Export data to Excel, PDF file, or.csv (text) file Note: InfoView users can’t modify reports or queries at all (e.g., they can’t add a sort). But they can export data to Excel and add a sort in that program. Training  Not required for current users  Not required for new InfoView users (in near future)

8 BusinessObjects XI R2 Upgrade February 21, 2007 8 WebI Abilities Run Print Save Export data to Excel, PDF file, or.csv (text) file Create ad hoc reports Modify queries (e.g., add an object to results, add a condition or prompt) Modify reports (e.g., modify formatting, create a crosstab or chart, create formulas and variables) Drill

9 BusinessObjects XI R2 Upgrade February 21, 2007 9 Timeframe User testing February 19 – March 2 Go/delay decisions on March 8 and March 29 Go-live date to be set and communicated after March 8 go/delay decision – tentatively April 2007

10 BusinessObjects XI R2 Upgrade February 21, 2007 10 Parallel availability: V5 & XI R2 After XI R2 goes live  Version 5 and XI R2 will be available in parallel for some time to provide flexibility t Version 5 will be available to current users only t Universe enhancements, new & modified repository reports will be made in XI R2 only  Length of parallel availability period TBD based on go-live date and U-M business cycles  Enables users to complete reporting related to U-M business cycles

11 BusinessObjects XI R2 Upgrade February 21, 2007 11 Impact on Users Interface changes  InfoView & WebI have different look & feel than current version  Won’t run BusinessObjects under Citrix  Will log in using Cosign and MToken (90% of BusinessObjects users already have MTokens) Functionality changes  No ability to import data from Excel; however, can export to Excel  No user objects; however, can create variables instead  In XI R2, repository reports will be categorized by business process in addition to data area (universe) Licensing change  Two types of licenses (InfoView vs. WebI) Report change  Must convert version 5 reports to XI R2

12 BusinessObjects XI R2 Upgrade February 21, 2007 12 Converting Reports Repository reports  MAIS will convert & make available at go-live User reports  Process for submitting reports will be somewhat different than what we announced in June 2006 based on our experience with repository report conversion  Details on the process will be announced  Users will send reports to MAIS for conversion after go-live  Prepare now: t Delete reports you no longer need t Think about which reports you need to use after the go-live

13 BusinessObjects XI R2 Upgrade February 21, 2007 13 Support for Users E-mail communications to users Upgrades section of the MAIS Web site Interchanges  Interchanges with demonstration of InfoView & WebI for all BusinessObjects users t Just before and after the go-live Training  No required training for current BusinessObjects users  Optional eLearning courses on InfoView and WebI basics, optional classroom training on intermediate WebI features Documentation and delta materials
