http://GroupWise.AdvisorEvents.com Breaking News: Microsoft to pay Novell $536 Million Settlement Novell stocks up 9%!!! According to Tay Kratzer: “For predatory practices and damage to the Netware market. Novell also announced that there is still a suit pending against Microsoft regarding damage to the WordPerfect Suite. Microsoft has not been willing tom settle until now on that suit, but you can imagine they will do now!”

http://GroupWise.AdvisorEvents.com Agenda Why use a PDA? Cost of Ownership and Return on Investment Limited devices How to get (GroupWise) data on these devices? Cradle-based versus Server- based Are there any standards? Demonstrations Concluding remarks Warning This session contains information known to the State of California to cause a disease called “information overflow”. These slides also contain information that could make you happy, but some small print could also damage your eyes. You’re advised to read the full articles in the GroupWise Advisor magazine

http://GroupWise.AdvisorEvents.com Why a PDA? Is that the same question as: Why a mobile phone? Discussion 5 years ago: “Do you really need a mobile phone?” Who in this room does not have a mobile phone? Mobile phones are converging with PDA’s BlackBerry – PDA->phone - with keyboard BlackBerry – PDA->phone - with keyboard Treo600 (Palm) – PDA->phone - with keyboard Treo600 (Palm) – PDA->phone - with keyboard SonyEricsson P800/P900 – Phone->PDA - no keyboard SonyEricsson P800/P900 – Phone->PDA - no keyboard PocketPC -> SmartPhones PocketPC -> SmartPhones High-speed wireless available WiFi internal/hotspots WiFi internal/hotspots GSM/GPRS GSM/GPRS UMTS – starting up UMTS – starting up

http://GroupWise.AdvisorEvents.com Choosing the right PDA or phone Decision to use a certain type of PDA or phone is still quite often a personal decision, not a corporate decision IT Department tries to set a standard, but business needs of the individual key personnel (quite often management) do not always correspond with the preferences of their own IT people, resulting in an large variety of device types. “I need a PDA with a keyboard” “I need a PDA with a keyboard” “I need a small mobile phone with Word, Excel and PowerPoint” “I need a small mobile phone with Word, Excel and PowerPoint” “My old Palm is still running well, why should we dump it?” “My old Palm is still running well, why should we dump it?” “My HP 720 might be old, but the keyboard is superior” “My HP 720 might be old, but the keyboard is superior” “I need a PDA with battery that lasts for 2 weeks” “I need a PDA with battery that lasts for 2 weeks” “I don’t like the Nokia9210 from Pierre, too bulky.” “I don’t like the Nokia9210 from Pierre, too bulky.” Supporting such a diversity will result in high costs Buying is not too expensive (< € 500) Buying is not too expensive (< € 500) Supporting is expensive (> € 2.500) Supporting is expensive (> € 2.500)

http://GroupWise.AdvisorEvents.com Low cost in buying High cost of ownership Total Cost Ownership (TCO) Estimated total TCO of PDA per business user is $3,000 a year Add wireless capability, total rises by $1,392 to $4,392 PDA’s standard issue for workers -> understanding handheld TCO is critical TCO of wireless devices is directly related to their capabilities Increased processing power & advanced applications requires greater investment Total Impact The expenses associated with adding a wireless modem or PC card are comprised primarily of hardware, support and service fees These costs include training to use devices, and deploying them to workforce. Enterprises: “What are benefits (ROI) of additional $1,392 for connectivity?” Wireless enables real-time communications; integrating voice and data will increase productivity and connectivity Such benefits are difficult to quantify Determining Return on Investment (ROI) Actual ROI varies widely, depending on user and applications in handheld device Companies that go beyond the return on specific mobile applications -- linking technology investments to sales revenue, customer support and internal operations goals -- will be better equipped to define a mobile ROI The view of Gartner (according to Gartner report 2002)

http://GroupWise.AdvisorEvents.com Breakdown of Cost of ownership Breaking down TCO for integrated wireless PDA 60% cost is capital, including hardware, software and network services 30% operations: technical services, application management and development 10% for administrative expenses With service costs having the biggest impact on capital expenditures -- at $50 to $100 a month -- businesses should consider consolidating providers, bundling services and negotiating contracts to reduce the total cost of ownership Need for Wireless Businesses need the addition of wireless mobility, because to keep up with the competition. They need to contact their clients more quickly and be able to provide immediate feedback Among the factors enterprises should consider in determining the costs of ownership related to mobile technology are an increase in productivity and a subsequent increase in revenue, improved accuracy associated with constant communication and lower costs based on improved efficiency The view of Gartner (continued)  To be able to manage these costs you need a flexible solution to connect those devices to your GroupWise system  You could consider using ZENworks for Handhelds to manage these devices TCO = Total Cost of Ownership Good News: With GroupWise & the GroupWise partners we can do it a lot cheaper!

http://GroupWise.AdvisorEvents.com Growing number of still limited devices PDA ’ s and phones are incredibly sophisticated devices, with a processor and memory size which is often magnitudes faster and larger then the first IBM PC, but resources are still very limited in comparison to a desktop or laptop Memory: limited amount of storage device memory, starts with 16MB, not more then 64 Mb device memory, starts with 16MB, not more then 64 Mb additional memory cards additional memory cardsInput/output quite often no real keyboard quite often no real keyboard limited screen sizes limited screen sizes This makes them less suitable to create large e-mails and do other sophisticated stuff without additional devices such as an external keyboard This makes them less suitable to create large e-mails and do other sophisticated stuff without additional devices such as an external keyboard Connections: connect to your system or the internet via Indirect connections: Indirect connections: – Basic synchronization software will quite often enable to use the IP stack of the computer to connect the PDA to any IP-based source, for example enabling you to browse to certain web pages Direct connections: Direct connections: – PDA or phone uses GSM, GPRS, WiFi, or any other means to connect to the Internet and the ability to connect to different services. Consider: – bandwidth (limited with GSM, better with GPRS, much better with WiFi) – security (encryption and/or VPN is necessary when synchronizing corporate data) Managing expectations. Of course your users need to receive, read and even edit a 2 Mb Word doc as an e-mail attachment on a PDA with 16 Mb of memory connected via 9.600 kb GSM. This might seem ridiculous to you, but to them the size of 2 Mb might not even be visible; quite often such a size doesn’t mean anything else to them but a number.

http://GroupWise.AdvisorEvents.com How to get data on the device? Basically three methods to access GroupWise data: 1.Presented as “live data” 2. Synchronized to the native data-store of the device, using native applications 3. Synchronized to a separate data-store, using custom applications Service Provider firewall DMZ firewall 1 2 4 1 33 1

http://GroupWise.AdvisorEvents.com How to get data on the device? 1/3 Live Data – GroupWise Webaccess and the likes Presented as “live data”, using a server (3, 4). GroupWise 6.x has wireless support via out-of-the-box WebAccess, you can view the complete mailbox via WAP/WML, HDML, Simple HTML or any other User Interface that could be added to WebAccess. Requirements: Requirements: – Suitable browser on the device – IP-connection to the WebAccess server, more secure with SSL, if supported by the device Issues: Issues: – Requires a stable connection – User will have to login and maneuver to the correct folder or option Examples: Examples: – GroupWise WebAccess 6.0 & 6.5 – Several vendors, like AppSwing & Teamware, have enhanced or improved this model, making it even more user-friendly Service Provider firewall DMZ firewall 1 2 4 1 33 1

http://GroupWise.AdvisorEvents.com How to get data on the device? 2/3 Synchronize via cradle & server Synchronize to the device applications, using a cradle (2) or a server (3,4). The GW data needs to be converted to the device format and synchronized to the native data-store on the device. Requirements: Requirements: – Cradle or server software with a proper (IP-)connection – Almost always (small) application on device (even Puma!!!), but not on native SyncML devices Issues: Issues: – Conflict resolution “What to do with data that was changed on both sides in between syncs” – Mapping of data, some of the newer GroupWise 6.5 address book fields (like birthday) are not always supported – Some problems with translated GW versions (Puma -> non-English address books!) – Determining changes on either side Examples: Examples: – Advansys – LinkWise – JP Mobile - SureWave – Messaging Architects - GWAnywhere – PumaTech - IntelliSync – Quartz Development – PortaMail – Toffa – SyncWisePro/SyncWiseEnterprise Service Provider firewall DMZ firewall 1 2 4 1 33 1

http://GroupWise.AdvisorEvents.com How to get data on the device? 3/3 Remote (GroupWise) Store & (GroupWise) Application Synchronized to a local (GroupWise) remote store, using cradle (2), server (3,4) or client application on device (1). The application and data store can be optimized to use device’s resources in most efficient way and there is no need for field mapping. Some applications even have look and feel of GroupWise to reduce learning curve. Requirements: Requirements: – Cradle or server software and a proper (IP-)connection – A (small) application and a data-store on the device Issues: Issues: – Determining changes on either side – Conflict resolution “What to do with data that was changed on both sides in between syncs” – Memory usage for application and data Examples: Examples: – Nexic - Synchronis with a GW client on Palm and PocketPC – NotifyLink with a separate mail-client and data-store for e-mail on BB – Omni-TS with OmniMobile, separate data-store and client connected to WebAccess Agent Service Provider firewall DMZ firewall 1 2 4 1 33 1

http://GroupWise.AdvisorEvents.com Cradle based Cradles are everywhere: PDA’s: almost all of the PDA’s are being delivered with a cradle or some other way to connect to a computer PDA’s: almost all of the PDA’s are being delivered with a cradle or some other way to connect to a computer Phones: even most of the (more advanced) phones can connect to your computer via a cradle, cable, infrared or Bluetooth to update and/or backup at least the address book Phones: even most of the (more advanced) phones can connect to your computer via a cradle, cable, infrared or Bluetooth to update and/or backup at least the address book Standard software like HotSync or ActiveSync to: Collect, deliver and/or synchronize the data on the device Collect, deliver and/or synchronize the data on the device Additional software to enhance the basic cradle-sync, like: Advansys - LinkWise Advansys - LinkWise Nexic - Synchronis Nexic - Synchronis Puma - IntelliSync for GroupWise & Exchange (their biggest revenues seem to come from Outlook/Exchange market!!!) 18 http://GroupWise.AdvisorEvents.com Using ActiveSync or HotSync for Remote Sync from desktop via IP Palm HotSync and PocketPC ActiveSync can be configured on any desktop computer to accept remote connections Enables user to connect to his computer & sync remotely via IP Disadvantages: Desktop should be reachable from the Internet via IP (security issues) Desktop should be reachable from the Internet via IP (security issues) Desktop should be always logged on for remote sync calls Desktop should be always logged on for remote sync calls Not easy to configure and maintain in a larger environment Not easy to configure and maintain in a larger environment Not very scalable, more like “peer-to-peer” Not very scalable, more like “peer-to-peer” Use the keyword “Remote Hotsync” or “Remote ActiveSync” on Google to find more information

http://GroupWise.AdvisorEvents.com Are there any (open) standards? Cradle-based: no standards, every solution is proprietary Server-based: Open Standard – SyncML Sponsored by Ericsson, IBM, Lotus, Matsushita Communication, Motorola, Nokia, Openwave, Starfish Software and Symbian Sponsored by Ericsson, IBM, Lotus, Matsushita Communication, Motorola, Nokia, Openwave, Starfish Software and Symbian Also supported by leading wireless companies (> 450) Also supported by leading wireless companies (> 450) Describes wireless synchronization between many data-sources in general, including collaboration and databases Describes wireless synchronization between many data-sources in general, including collaboration and databases Embedded in several mobile phones Embedded in several mobile phones SyncML clients available for PocketPC & Palm (not for BB) SyncML clients available for PocketPC & Palm (not for BB) Vendors offering GroupWise SyncML solutions: Toffa – SyncWiseEnterprise a true SyncML server Toffa – SyncWiseEnterprise a true SyncML server Messaging Architects – GWAnywhere supports SyncML devices Messaging Architects – GWAnywhere supports SyncML devices JP Mobile – SureWave is based on SyncML JP Mobile – SureWave is based on SyncML Teamware – Teamware Mobile Server can offer data to SyncML devices Teamware – Teamware Mobile Server can offer data to SyncML devices Quartz Development announced to develop a SyncML server Quartz Development announced to develop a SyncML server

http://GroupWise.AdvisorEvents.com Cradle Based versus Server Based Cost structure can be a bit more complex, with server and client based license fees. Con:Software, maintenance and support costs can be directly coupled to a user; however, these costs generally are higher than with a server based solution. Pro:Most server based solutions offer a true ”anywhere – anytime” solution: as long as the PDA can use IP to connect to the server a sync can be accomplished. This will work with WiFi, GSM/GPRS, CDPD, and other channels. Pro:Although some sync software can be configured to support LAN-based sync, the result is that the client-p.c. should be left online, logged into the network and the firewall should allow traffic to the ports in use. The resulting LAN-based sync is quite often cumbersome. Con:The user can use any p.c. with the standard sync software, which quite often supports “guest” accounts, to connect to the sync server Pro:Most often the user can only install the standard sync software on one or two PC's; quite often the user wants/needs to sync at the office and at home. The local sync software install is usually tied to the user's account and PDA. Even if multiple sync software installs are possible the resulting syncs might not always be correct. Con:There is a larger risk for SPOF's, which can be reduced by a multi-server installation with failover or load-balancing Con:In general, a distributed model presents less SPOF’s (Single Points of Failure) Pro: The current solutions all depend on the GroupWise Win32 client API, which makes it necessary to use a Windows server with a GroupWise client installed. This could present scalability and stability issues. Con:GroupWise information is accessed via the user's PC. As long as the GroupWise client is running or accessible the device can perform a sync, requiring no more load on the system than if the user was browsing their mailbox, making it a scalable solution. Pro:The server will (and should) most often be a US version of Windows2000 with a US version of the GroupWise client, resulting in no language problems. The user doesn’t notice this. Pro:Additional software doesn’t always support all the languages necessary; Pumatech’s IntelliSync for example doesn’t support the Dutch GroupWise address book. Con:Server install, the user (most often) doesn’t need any software on the desktop; a single server can often serve hundreds of users. Pro:Additional software is often not easily manageable (difficult ZEN snapshots, easily “disturbed”), resulting in high maintenance costs and expert helpdesk skills Con:No additional software is required on the desktop, normal ActiveSync/HotSync is used; most solutions do require a small applet on the PDA Pro:Additional software on top of ActiveSync/Hotsync needs to be installed on the desktop of a user, making these computers an exception to a corporate standard; quite often a solution will install additional software on the PDA as well Con: Server basedCradle based

http://GroupWise.AdvisorEvents.com Server-based: Push or Pull? Pull: User driven: “Push Sync Button” Traditionally, most PDA’s, like Palm and PocketPC, have hardware-button either on hardware-button either on – the cradle – the device soft-button on soft-button on – the device – the desktop computer Pushing the button will start the synchronization Push : Server driven: server will push new information to device Server will frequently (more or less continuously) look for new information Server will frequently (more or less continuously) look for new information Server tries to push new information towards device Server tries to push new information towards device Quite often always on-line, either via an analog network in USA and Canada or via GPRS Quite often always on-line, either via an analog network in USA and Canada or via GPRS Device can either beep or buzz the user awake (sometimes literally :-) Device can either beep or buzz the user awake (sometimes literally :-) Push can be very useful, but costly in some mobile networks There is one other important thing to consider: do I want to be notified of every new item immediately (commonly called: “push”) or will the user take some action to collect new information (“pull”)? Some server-based solutions offer what’s called a “semi-push” mechanism:  Notification via for example an SMS message  Notifies the user or device that new information is available  Sometimes even invoke device application to start synchronization

http://GroupWise.AdvisorEvents.com Your biggest challenge: Your biggest challenge: Biggest challenge often: Do I satisfy the needs of my users? Do I satisfy the needs of my users?or Do I buy nice piece of technology? Do I buy nice piece of technology? Focus should be on “Feature Mapping”: It’s those tiny details making a user unhappy It’s those tiny details making a user unhappy Result: solution not being used well enough Result: solution not being used well enough No PDA- solution CAN map 100% GW features Feature mapping GroupWise*PDA-solution GW 6.5 Address Book Fields 5% PDA Address Book Fields Shared/Read-only System Address 5% Changes made in Address Book Group Appointments, change and delete 0% Support for Group Appointments ??? 37 http://GroupWise.AdvisorEvents.com Some final things to consider A PDA or phone has limited resources Depending on your needs, you might want to remove unnecessary messages from the device, but leave them in your GroupWise mailbox to further process them Or you might want your GroupWise mailbox to reflect the deletions you made during the day on your device These devices will somehow be part of your corporate network If a PDA or phone gets lost, valuable information could get lost as well Quite often users create a small file with all kinds of interesting information, like passwords, on their device; they will certainly store telephone numbers on it You should decide on a policy for lost or stolen devices and enforce that policy with ZENworks for Handhelds or other tools Not every solution supports the downloading of attachments: This is not as bad as it seems: downloading a large attachment via relatively slow link on a device with limited memory resources and quite often limited viewing capabilities can be cumbersome. Consider using PDF files, which are relatively small and which can be viewed without these risks of unwanted modification When choosing a device: Beware: your own personal favorite device might not be the best corporate choice The costs of supporting several device types with different software versions will be much higher than you and your organization can probably afford However, these devices are definitely all around us now and they will soon become an important part of GroupWise collaboration environment
